ADDITIONAL GUIDELINES:
Group Arrival & Departure Transfers:
Arrival transfer is a group transfer for all guests arriving on the same flight number and at the same time.
Any travelers arriving on a different flight number at a different time must pay extra for a private transfer.
Arrival Transfers cannot be combined for guests arriving on different flight numbers even if the arrival
times are the same.
Departure transfer is a group transfer for all guests departing on the same flight and at the same time.
Any travelers departing at a different time must pay extra for a private transfer. Departure Transfers may
be combined for guests departing on different flight numbers at approximately the same departure times.
The group transfer will be provided for the earliest departing flight.
For Guests arranging their own flights, complete flight information must be provided to your Travel Agent in
detail at least 60 days prior to the outbound departure to be included in the group arrival & departure transfers.
Seat Selection:
We are unable to assist travelers with Advance Seat Selection on Group or FIT flights even if they are
booked by Travel Agent. All passengers must contact the airline directly to select and book seats, and pay for
them if required. Please be aware that sometimes you may not be able to select, reserve or pay for seats
in advance, and you may be assigned seats only at the time of check in.
Baggage Allowance – Land Arrangements:
One piece of standard size checked luggage per person is included on tour coaches. If your group is
travelling with more than one piece each, then you must advise us prior to final payment of the group.
Additional arrangements may be required and extra costs may apply. Failure to do so could impact the
smooth running of your tour and travelers may incur costs locally.
Installment Payment:
Installment payments are acceptable after the initial deposit.
Please note, any refunds of additional or installment payments that have been made over and above
the non-refundable deposits will be subject to a $5.00 processing fee per $100 (e.g. a refund of
$500 will be charged a $25 fee); a minimum charge of $5 will apply.
This processing fee applies if the cancellation is made prior to the effective date of the penalty period for the group.
Final Payment and Document Issuance:
Final payment and valid passport copies are due no later than August 3, 2026 prior to departure.
For payments within 90 days of departure or if air tickets and documents need to be issued
immediately after payment, a certified cheque, bank draft or wire transfer must be received.
Air tickets and travel documents are sent out 30 days prior to departure.
The above are our normal final payment terms; however certain arrangements may require the
balance of payment earlier.
Cancellation policy:
I. Land Arrangements:

II. International or Domestic Air:
91 days or more before departure Loss of any non-refundable deposit paid or
as per applicable airline penalties.

Any refunds of installment or additional payments that have been made over and above the non-refundable
deposits will be subject to a $5.00 processing fee per $100 (e.g. a refund of $500 will be charged a $25
fee); a minimum charge of $5 will apply. Processing Fees apply to refunds by check or credit card.
Important Note: Cancellation penalties for some travel arrangements may differ from our general
conditions. In this occurrence, you will be advised of these addendums at the time of confirmation or prior
to any penalties becoming applicable and as soon as we are notified of these special conditions.
