Travel Journey KC – Terms & Conditions
Please review these Terms and Conditions carefully before confirming your travel booking.
By submitting payment, you certify that you understand and agree to the terms outlined below.
Credit Card Authorization
By submitting payment, you certify that you are the authorized cardholder and authorize Travel Journey KC or its designated supplier, tour operator, or cruise line to charge the listed amount to your credit card. You confirm that all information on your confirmation invoice is accurate and that you have reviewed these Terms & Conditions and the appropriate Travel Insurance Plan details.
Without travel insurance, all payments are 100% non-refundable and non-transferable.
Charges may appear from the supplier, airline, or tour operator rather than directly from Travel Journey KC. Payments may take 3–5 business days to fully process and appear on your statement.
By authorizing payment, you acknowledge and agree as follows:
I authorize Travel Journey KC to charge the credit card or bank account indicated on this invoice for the noted amount on today’s date. This payment is for the services described on the invoice. I understand that returns, refunds, and cancellations are at the discretion of Travel Journey KC. I certify that I am an authorized user of this credit card or account and that I will not dispute the payment with my bank or credit card company, so long as the transaction corresponds to the terms indicated on this invoice.
Consultation & Planning Fees
All consultation and planning fees charged by Travel Journey KC are non-refundable and non-transferable. These fees compensate our team for the time, expertise, and resources invested in creating your customized travel proposal prior to booking.
Consultation fees include (but are not limited to):

Researching destinations, accommodations, flights, and excursions tailored to your preferences.

Preparing one personalized travel proposal based on your goals, budget, and desired experience.

Communicating with suppliers and vendors to confirm availability, pricing, and package options.

Providing professional recommendations and insider expertise to ensure your trip design reflects your travel vision.
Once a proposal is approved and booking begins, post-booking services provided by Travel Journey KC are complimentary, including reservation management, itinerary updates, and client support leading up to travel. However, if changes are requested after proposal approval, such as revisions to destinations, dates, or accommodations, these adjustments will be subject to applicable change fees starting at $50, as outlined in the Reservation Changes policy.
Please Note: The prices provided are part of a preliminary quote and may vary based on promotional terms, conditions, and availability until a deposit is made. Any changes to your travel itinerary may incur additional costs to cover the necessary research and document updates. If you choose not to book within 14 days of receiving your travel proposal, it will be considered inactive and will require new research. To reactivate and update your proposal, a research fee equal to 50% of the original planning fee will apply before work can resume.
Payments & Cancellations
A non-refundable, non-transferable deposit is required at the time of booking to secure your reservation. Your booking is not confirmed, and payment is not deemed received, until Travel Journey KC issues a confirmation invoice.
Final Payment:
Final payment due dates are listed on your invoice. It is the traveler’s responsibility to ensure timely payment. Failure to pay by the due date will result in automatic cancellation of the reservation and forfeiture of all prior payments, unless travel insurance is purchased.
If insurance is purchased, supplier insurance guidelines will apply. All final payments must be approved by Travel Journey KC.
Refunds:
All payments made to Travel Journey KC are non-refundable and non-transferable due to binding contractual agreements with hotels, airlines, and other vendors. This policy allows us to secure competitive package rates and offer flexible payment plans.
Cancellations:
All cancellations must be made in writing and emailed to info@traveljourneykc.com.
If a cancellation request is received before the final payment date, the non-refundable deposit will be forfeited. Additional supplier or vendor fees may apply.
Cancellations are subject to a minimum fee of $100 per person by Travel Journey KC, plus any applicable supplier/vendor penalties. Cancellations within 75 days of departure may incur fees from 25% to 100% of the total invoice amount.
Remaining balances may be refunded or applied as a future travel credit, valid for 365 days from the date of cancellation approval. Credits are non-transferable and hold no cash value.
If you do not receive a written acknowledgment of your cancellation within 48 hours, please call (404) 464-6685 to confirm receipt.
For group bookings, if one traveler cancels, the reservation must be rebooked and requoted at current rates, which may result in higher pricing for remaining travelers. All travelers on the same reservation are jointly responsible for ensuring timely payments.
Note: Travel Journey KC cancellation fees are separate from supplier fees and must be paid before cancellation processing.
Reservation Changes
Any modification to an existing reservation—including name corrections, date changes, or service removals—will incur a $100 per-person change fee, plus any additional supplier fees.
Airline name changes typically require cancellation and rebooking, subject to new availability and fares. Replacing a traveler constitutes a cancellation and is subject to full cancellation penalties.
A Traveler Requested Itinerary Change Form must be submitted via email to info@traveljourneykc.com. Changes will not be processed until the applicable fee(s) are paid.
Reinstatement of Reservations
If your reservation has been canceled and you wish to reinstate it within 14 days, a $150 reinstatement fee (or $200 for international tours) will apply and must be paid prior to reconfirmation.
Late or Declined Payments
Failure to submit payment by the stated deadline may require a vendor extension. If granted, a $100 extension fee will be added. If denied, the reservation will be automatically canceled without refund.
Declined payments are not automatically reprocessed. After two declined attempts, a $100 late payment fee per personwill apply. The traveler must update payment information and submit a valid form of payment before processing continues.
It is the traveler’s responsibility to ensure correct payment details (name, billing address, phone number, card type, number, expiration, and CVV).
Chargebacks & Payment Disputes
By authorizing payment, the traveler agrees not to initiate a credit-card chargeback or dispute for any reason related to:

Dissatisfaction with travel arrangements or services received.

Disagreements regarding cancellations, delays, or supplier changes.

Refund requests for non-refundable deposits, consultation fees, or travel components.
All concerns must be communicated in writing to info@traveljourneykc.com for resolution.
If a chargeback is initiated, Travel Journey KC reserves the right to dispute and recover any related costs, including administrative, legal, and processing fees, and to suspend any future travel arrangements until payment is resolved in full.
By booking with Travel Journey KC, the traveler acknowledges and agrees that:

Travel Journey KC acts solely as an agent between the traveler and third-party suppliers (e.g., airlines, hotels, tour operators).

Charges may appear from these suppliers directly on your credit-card statement.

Chargebacks initiated against supplier charges may result in loss of booking, forfeited payments, and additional fees.
Travel Protection (Insurance)
Travel insurance is strongly recommended. Without appropriate travel protection, travelers understand and accept that cancellations, interruptions, or delays may result in the loss of up to the full cost of travel services.
Travel Journey KC staff are not authorized to answer technical questions about insurance coverage. It is the traveler’s responsibility to accept or decline insurance at the time of purchase.
If you choose to decline travel insurance, you acknowledge and accept full responsibility for any loss, injury, or financial hardship resulting from unforeseen events.
Travel Documentation
Passports & Visas:
Travelers are solely responsible for securing valid travel documents. Passports must be valid for at least six (6) monthsbeyond the date of return. Non-U.S. citizens must check entry requirements with the consulates of their destinations.
Travel Journey KC is not responsible for denied boarding, deportation, or travel disruptions caused by improper or missing documentation.
Document Delivery:
Electronic travel documents are sent approximately two weeks prior to departure, provided final payment has been received. Paper copies (if requested) incur a $25 mailing fee. Check documents immediately and report any errors within 48 hours.
Travelers with Children
Children under 18 must be accompanied by an adult. Cruise passengers must be at least 6 months old, traveling in a cabin with an adult 25+.
If a minor travels with only one parent or a non-parent, a notarized Child Travel Consent Form is required.
Travelers with Disabilities
Travel Journey KC will make reasonable efforts to accommodate travelers with special needs but cannot guarantee accessibility in all destinations. International hotels and transportation providers may not comply with ADA standards. Travelers must notify Travel Journey KC at the time of booking regarding any disability or mobility device.
Airline Policies
All airfare is quoted in economy class unless otherwise stated. Seat assignments, flight times, and routes are subject to airline control. Travelers must confirm all flights 24 hours before domestic and 72 hours before internationaldepartures.
Airline name corrections or rebookings may incur full ticket-value penalties plus a $100 revision fee. Airlines may require immediate ticket issuance for heavily booked flights, overriding standard payment timelines.
Travel Journey KC is not responsible for schedule changes, lost luggage, or airline-imposed penalties.
Luggage
Each airline sets its own baggage policies. Travelers are responsible for all checked and overweight baggage fees. Travel Journey KC is not liable for lost, stolen, or damaged luggage or personal items. We strongly recommend travel insurance with baggage coverage.
Cruise Itineraries
Cruise lines reserve the right to modify itineraries or substitute ships without notice. Travel Journey KC is not responsible for such changes or related expenses, including canceled or modified airline arrangements.
Group Bookings
All travelers in a shared reservation are jointly responsible for payments. Cancellations or changes by one traveler may result in increased costs for remaining travelers. Group reservations cannot be divided after booking.
Supplier Responsibility
Travel Journey KC acts solely as a booking agent for independent suppliers (airlines, hotels, ground operators, cruise lines, etc.). Each supplier operates under its own terms and conditions, available on their websites. Travel Journey KC assumes no responsibility for supplier acts, errors, or omissions.
Limitation of Liability
Travel Journey KC is not liable for injury, property damage, delay, loss, accident, or irregularity resulting from acts or omissions of third-party suppliers, weather conditions, political instability, health risks, or other causes beyond its control.
In any case, Travel Journey KC’s liability is limited to the commission and fees paid by the traveler directly to Travel Journey KC.
Governing Law
These Terms & Conditions are governed by the laws of the State of Georgia, without regard to conflict-of-law principles. Any disputes will be resolved exclusively in Fulton County, Georgia.
COVID-19 Travel Advisory
Travel during and after the COVID-19 pandemic involves known risks and may be subject to evolving restrictions such as testing, mask mandates, or quarantine requirements.
Travel Journey KC is not liable for disruptions, expenses, or cancellations arising from COVID-19 regulations or related circumstances. Travelers are responsible for staying informed of all destination entry and re-entry requirements prior to departure.
