Group Trip Booking Terms & Participant Agreement

These Trip-Specific Booking Terms apply to this group experience and must be read in conjunction with the full Blue Journeys, LLC Terms & Conditions, available at:

By submitting a deposit or any payment toward this reservation, you acknowledge that you have read, understood, and agree to both these Trip-Specific Booking Terms and the full Blue Journeys, LLC Terms & Conditions.

These terms govern your participation in the group travel experience and outline the responsibilities, policies, and conditions associated with your booking.


 

Payment Policy

All payments to Blue Journeys, LLC are strictly non-refundable and non-transferable. Travelers are strongly encouraged to purchase travel insurance to protect their investment.

Transfer of funds and/or credit to another person is not allowed.

A non-refundable and non-transferable deposit of $450.00 per person is required to secure your reservation.

To maintain an active reservation, a minimum of 50% of the total invoice amount must be paid by June 5th, 2026.

Final payments are due by September 15th, 2026. Any reservation not paid in full by this date will be automatically canceled, and all payments made will be forfeited.

A monthly payment plan will be automatically calculated based on the date of booking. This payment plan is optional; however, all payment deadlines must still be met. 

Invoices will be updated after each payment is submitted and payment reminders will be emailed monthly. Failure to receive a reminder does not relieve the traveler of their responsibility to meet all payment deadlines.

Payments may be made on your reservation through your invoice 24 hours a day at your convenience.

 


 

Chargeback & Payment Dispute Policy

By submitting any payment toward this reservation, the traveler acknowledges and agrees that all payments made to Blue Journeys, LLC are non-refundable and non-transferable as outlined in these booking terms.

The traveler expressly agrees not to initiate any credit card chargeback, payment dispute, or reversal for services rendered, partially rendered, or reserved in accordance with these agreed-upon terms.

In the event a chargeback or payment dispute is initiated, Blue Journeys, LLC reserves the right to dispute the claim and provide all relevant documentation, including but not limited to this agreement, booking confirmations, invoices, communication records, and payment history, as evidence that the traveler knowingly accepted these terms at the time of booking.

The traveler further agrees that initiating a chargeback or dispute in violation of these terms constitutes a breach of this agreement, and Blue Journeys LLC reserves the right to pursue all available remedies to recover disputed funds, including any associated fees, costs, or damages to the fullest extent permitted by law.


 

Reservation Name Accuracy

All reservations must be made using the traveler’s full legal name exactly as it appears on their government-issued passport.

It is the traveler’s responsibility to ensure all information submitted is accurate at the time of booking. Blue Journeys, LLC is not responsible for any issues, delays, or additional costs resulting from incorrect or mismatched traveler information.

Any name change or correction after booking is subject to any fees, penalties, or restrictions imposed by airlines, hotels, or other travel suppliers.


 

Roommate & Occupancy Policy

Each traveler sharing a room and paying separately must complete their own registration and submit a deposit to secure their portion of the reservation.

Travelers selecting double occupancy are individually responsible for ensuring their roommate remains current on all payment deadlines.

If a roommate fails to make required payments, cancels their reservation, or is removed from the trip for any reason, the remaining traveler will be responsible for the applicable single occupancy rate and any resulting price difference.

It is the responsibility of the remaining traveler to secure a new roommate if they wish to maintain double occupancy pricing. 

Blue Journeys, LLC is not responsible for resolving personal disagreements between roommates.

If a roommate conflict results in a request for separate accommodations, any additional costs associated with room changes or new bookings will be the sole responsibility of the travelers involved and will be subject to hotel availability.


 

Bedding Requests

Bedding preferences (e.g., one bed or two beds) are considered requests only and are not guaranteed.

All bedding configurations are assigned by the hotel and are subject to availability at the time of check-in. While Blue Journeys, LLC will submit your preference to the hotel, we are not responsible for final room or bedding assignments.

No refunds or credits will be issued based on bedding configuration.


 

Passport & Travel Documentation

All travelers must have a valid passport book with at least two blank pages and an expiration date that meets the entry requirements of the destination country.

For this specific trip, passports must be valid for at least six (6) months beyond the return date.

Travelers are solely responsible for obtaining and presenting all required travel documentation, including but not limited to passports, visas, and any additional documents required for international travel.

Blue Journeys, LLC is not responsible for denied boarding, entry refusal, delays, deportation, or additional costs resulting from a traveler’s failure to obtain or present proper documentation, or from any government-imposed restrictions, including but not limited to those related to criminal history, legal matters, or immigration status.

Travel requirements, including passport validity, visa requirements, and entry regulations, are subject to change at any time. Travelers are responsible for verifying all requirements prior to departure.


 

Visa Requirements

Visa requirements vary by destination and are subject to change at any time.

Travelers are solely responsible for determining and obtaining any required visas or entry permits prior to departure. Blue Journeys, LLC is not responsible for denied boarding, entry refusal, delays, or additional costs resulting from a traveler’s failure to obtain the necessary travel documentation.

Travelers are also responsible for confirming that they are eligible for international travel and are not restricted from entering the destination country due to visa status, prior travel history, or other governmental regulations.

Travelers are encouraged to review official government or embassy resources for the most up-to-date entry requirements and travel information for the destination country.

Blue Journeys, LLC does not guarantee the accuracy, completeness, or timeliness of information provided by third-party sources, and travelers remain responsible for independently verifying all requirements.


 

Health Requirements

Health and entry requirements vary by destination and are subject to change at any time.

Travelers are solely responsible for ensuring they meet all health-related entry requirements for their destination, including but not limited to vaccinations, testing, or other medical requirements, if applicable.

Blue Journeys, LLC is not responsible for denied boarding, entry refusal, delays, or additional costs resulting from a traveler’s failure to meet health or medical requirements.

Travelers are encouraged to review official government or health authority resources for the most up-to-date information prior to departure.


Destination-Specific Information – Thailand

Passport & Entry Requirements – Thailand
Travelers must comply with all entry requirements for Thailand. Passports must be valid for at least six (6) months beyond the date of arrival and meet all applicable entry standards.

Visa Requirements – Thailand
A visa is not required for U.S. citizens traveling to Thailand for tourism stays of up to 90 days.

Travelers are required to complete the Thailand Digital Arrival Card (TDAC) within 72 hours prior to arrival.

Entry requirements are subject to change. Travelers are responsible for verifying current visa requirements and eligibility prior to departure.

Health Requirements – Thailand
Currently, there are no COVID-19 vaccination or testing requirements for entry into Thailand.

Health requirements are subject to change at any time. Travelers are responsible for verifying current guidelines prior to departure.

Additional Entry Considerations
Requirements may vary based on nationality. Travelers who are not U.S. citizens are responsible for confirming their individual entry requirements.


Traveler Communication

Travelers are responsible for providing accurate and up-to-date contact information, including email address and phone number, at the time of booking.

Travelers are also responsible for regularly monitoring their email and any designated communication channels for updates, confirmations, and important trip-related information.

Blue Journeys, LLC is not responsible for missed communications due to incorrect contact information, email filtering, spam settings, or a traveler’s failure to review provided communications.

Failure to review or respond to communications does not relieve the traveler of their responsibility to comply with all booking terms, deadlines, or travel requirements.

If you believe you are not receiving communications, please notify Blue Journeys, LLC promptly at 513-578-9880 so we can assist.


 

Flights & Airport Transfers

Flights are not included unless explicitly stated as part of the travel package or selected as an add-on service.

Clients who purchase flight add-on through Blue Journeys, LLC will have their flights coordinated and managed as part of their travel experience, including applicable airport transfers.

Clients who choose to book their own flights are solely responsible for their flight arrangements. 

Airport transfers are only included for travelers who arrive and depart within the designated group travel window. Travelers arriving outside of the specified window or on independently booked flights may be required to arrange and cover the cost of their own transportation. 

Blue Journeys, LLC is not responsible for flight delays, cancellations, missed connections, schedule changes, or any disruptions related to independently booked airfare.


 

Itinerary Modifications & Destination Substitution

Blue Journeys, LLC reserves the right, at its sole discretion, to modify any aspect of the travel experience, including but not limited to accommodations, itinerary, travel suppliers, excursions, and destination, when deemed necessary due to safety concerns, operational requirements, vendor availability, governmental advisories, or other circumstances beyond the Company’s control.

In the event of a destination change or other material modification, Blue Journeys, LLC will provide a comparable or enhanced travel experience. Such modifications shall not be considered a cancellation of the trip.

All payments made to Blue Journeys, LLC remain non-refundable and non-transferable. Modifications to the travel experience, including destination changes, do not constitute grounds for cancellation or refund.

Clients will be provided with reasonable notice of any material changes and will be given the opportunity to confirm participation in the updated experience or select from alternative options, which may include travel credit or rescheduling opportunities at the sole discretion of Blue Journeys, LLC.

Continued participation in the trip or failure to respond by the stated deadline will constitute acceptance of the modified travel experience and all associated terms.


 

Hotel Incidentals

Hotels may require a valid credit or debit card upon check-in to cover incidental charges during your stay. These charges may include, but are not limited to, room service, minibar usage, property damage, or additional services requested by the traveler.

All incidental charges are the sole responsibility of the traveler and are not included in the travel package. Blue Journeys, LLC is not responsible for any incidental charges incurred during the stay.


 

Tours & Events

All tours, excursions, and events included in the travel package are provided as part of a curated group experience and are not offered on an individual or a la carte basis.

Participation in scheduled tours and events is optional; however, no refunds, credits, or substitutions will be provided for any unused or missed activities.

Participation in any private tour or event arranged by Blue Journeys, LLC is limited to registered travelers only. Non-registered guests are not permitted to join group activities.

Blue Journeys, LLC is not responsible for missed tours, excursions, or scheduled activities due to traveler lateness, scheduling conflicts, delays, or failure to follow provided instructions.

It is the traveler’s responsibility to arrive on time and be prepared for all scheduled activities.


 

Travel Delays

Blue Journeys, LLC is not responsible for missed transfers, scheduled activities, or itinerary changes resulting from airline delays, flight cancellations, missed connections, or traveler-related scheduling issues.

Travelers are responsible for ensuring they arrive within the designated group arrival window in order to participate in included transfers and scheduled activities.

Travelers arriving outside of the designated arrival window or experiencing travel disruptions may be required to arrange and cover the cost of their own transportation and accommodations as necessary.

No refunds or credits will be issued for missed portions of the itinerary due to travel delays or disruptions.


 

Travel Insurance

Travel insurance is not included and is strongly recommended to protect your travel investment.

If travel insurance is purchased, any request for reimbursement must be submitted directly to the travel insurance provider. Blue Journeys, LLC does not issue refunds and is not responsible for the approval, denial, or outcome of any insurance claims.

Coverage, eligibility, and claim determinations are made solely by the insurance provider in accordance with the terms of the policy. Blue Journeys, LLC does not provide, interpret, or guarantee insurance coverage.

Travelers are responsible for reviewing their policy details and understanding the scope of coverage, including any exclusions or limitations.


 

Traveler Conduct & Group Experience

Blue Journeys LLC group trips are curated travel experiences that include, but are not limited to, group excursions, events, and social activities.

Participation in group activities is voluntary; however, choosing not to participate does not qualify for any refunds, credits, or substitutions.

Travelers are expected to conduct themselves in a respectful and responsible manner toward fellow travelers, and local partners at all times.

Blue Journeys, LLC reserves the right, at its sole discretion, to remove any traveler from group activities or the trip entirely if their behavior is deemed disruptive, unsafe, abusive, illegal, excessively intoxicated, or in violation of local laws or group standards.

If a traveler is removed from any portion of the experience due to misconduct, no refunds or credits will be issued, and the traveler will be solely responsible for any additional costs incurred, including but not limited to transportation, accommodations, or early departure arrangements.

Blue Journeys, LLC is not responsible for any losses, damages, or expenses incurred as a result of a traveler’s removal from the trip.


 

Personal Responsibility

Travelers acknowledge that travel and participation in group activities may involve inherent risks, including but not limited to personal injury, illness, accidents, property damage, or unforeseen circumstances.

By participating in this travel experience, each traveler voluntarily assumes all risks associated with travel and related activities.

Travelers are solely responsible for their personal safety, belongings, and well-being throughout the duration of the trip.

Blue Journeys, LLC is not responsible for any injury, loss, damage, or expense arising from a traveler’s participation in the trip, except where required by law.


Media & Photography Release

Blue Journeys, LLC may capture photographs, video, or other media during the trip for marketing, promotional, and commercial purposes.

By participating in the trip, travelers grant Blue Journeys, LLC a non-exclusive, royalty-free, perpetual right and permission to use, reproduce, and distribute their image, likeness, voice, or appearance in any media format, including but not limited to social media, website content, marketing materials, and promotional campaigns.

Travelers who do not wish to appear in promotional content must notify Blue Journeys, LLC in writing prior to departure. While reasonable efforts will be made to honor such requests, Blue Journeys, LLC cannot guarantee that all images or recordings will exclude such individuals, particularly in group settings.

No compensation will be provided for the use of such media.


 

Trip Host Role

Blue Journeys, LLC group trips may be hosted or supported by representatives of Blue Journeys, LLC and/or local on-site hosts, coordinators, or tour guides who assist with logistics, coordination, and overall experience management.

For trips where a Blue Journeys, LLC representative is not present, on-the-ground coordination will be managed by designated local hosts, coordinators, or tour guides.

All hosts, whether affiliated with Blue Journeys, LLC or local partners, act solely in a coordination and facilitation capacity and do not serve as tour operators or direct providers of travel services.

All transportation, accommodations, tours, and excursions are provided by independent third-party suppliers. Blue Journeys, LLC is not responsible for the acts, omissions, or performance of any third-party providers.


 

Agreement

By submitting a deposit or any payment toward this reservation, you acknowledge and agree that you have read, understood, and accepted these Trip-Specific Booking Terms, the Participant Agreement, and the full Blue Journeys, LLC Terms & Conditions.

These documents constitute a legally binding agreement between you and Blue Journeys, LLC and govern your participation in the travel experience.

By submitting payment toward this reservation, the traveler acknowledges and agrees that all payments made to Blue Journeys LLC are non-refundable and non-transferable as outlined in these booking terms.

The traveler further agrees not to initiate a credit card chargeback or payment dispute for services rendered in accordance with the agreed booking terms.

In the event that a chargeback or payment dispute is initiated, Blue Journeys LLC reserves the right to present this agreement, booking confirmations, invoices, and payment records to the financial institution as evidence that the traveler knowingly accepted these policies at the time of booking.

 


 

Reservation Name Accuracy

Your reservation must be made in your full legal name exactly as it appears on your passport.

Any name change or correction will result in a $50.00 fee added to your invoice.

 


 

Roommate & Occupancy Policy

Each roommate paying separately must complete a registration form and submit a deposit.

Travelers booking double occupancy should ensure their roommate is making timely payments toward the reservation.

If a roommate fails to make payments or cancels their reservation, the remaining traveler will be converted to the single occupancy rate.

If your roommate cancels, you will be responsible for the single occupancy rate and any difference in cost unless you obtain another roommate.

Blue Journeys LLC is not responsible for resolving personal disagreements between roommates.

If a roommate conflict requires a room change, any additional costs associated with separate accommodations will be the responsibility of the travelers involved and subject to hotel availability.

 


 

Bedding Requests

Bedding preference is considered a request. Bedding configuration cannot be guaranteed, though your preference will be submitted to the hotel.

 


 

Passport & Travel Documentation

All travelers must have a valid passport book with at least two blank pages and an expiration date no earlier than June 15, 2027.

Travelers are responsible for ensuring they possess the proper travel documentation required for international travel.

Passengers must have at least one entirely blank (unstamped) visa page in their passport each time entry is sought into the United Arab Emirates (UAE).

This page must be separate from endorsement or amendment pages at the back of the passport.

UAE government regulations may prohibit airlines from boarding passengers without the required blank visa page. Extracts or copies of documents are not acceptable.

 


 

Visa Requirements

A visa is not required for travel to Thailand for U.S. citizens visiting for 90 days or less. However, the free Thailand Digital Arrival Card (TDAC) must be completed within 72 hours of arrival. All travelers booked will get assistance.

Health Requirements

At this time, there are no COVID-19 entry or exit requirements for Dubai.

Proof of COVID-19 vaccination is not required but is recommended by the Dubai government.

COVID-19 entry restrictions may change at any time and updates will be distributed if necessary.

 


 

Traveler Communication

Travelers must ensure that accurate email contact details are provided so each traveler receives all correspondence, confirmations, and receipts.

 


 

Flights & Airport Transfers

If you book your flight outside of the Emirates flight offered in the package, you must arrange your own airport transportation.

 


 

Itinerary Modifications

Blue Journeys reserves the right to make necessary changes to the accommodations, itinerary lineup, travel suppliers, tours, and excursions.

 


 

Hotel Incidentals

The hotel may require a credit card upon check-in for incidental charges during your stay.

These charges are the responsibility of the traveler.

 


 

Tours & Events

Tours and events included in the package are not a la carte.

If you choose not to attend a scheduled tour or event, no refund will be provided.

For any private tour or event curated by Blue Journeys, participation is limited to registered travelers only.

Blue Journeys LLC is not responsible for missed tours, excursions, or scheduled activities due to traveler lateness or scheduling conflicts.

No refunds or credits will be issued for missed activities.

 


 

Travel Delays

Blue Journeys LLC is not responsible for missed transfers, activities, or itinerary changes resulting from airline delays, missed flights, or traveler scheduling conflicts.

Travelers arriving outside the designated group arrival window may be responsible for arranging their own transportation to the hotel.

 


 

Travel Insurance

Travel insurance is not included but is strongly recommended to protect your investment.

 


 Smart Traveler Enrollment Program (STEP)

Blue Journeys strongly recommends that all travelers enroll in the U.S. Department of State Smart Traveler Enrollment Program (STEP) prior to international travel.

Enrollment allows U.S. citizens to receive important travel alerts, safety updates, and enables the nearest U.S. Embassy or Consulate to contact you in the event of an emergency while abroad.

Trip Host Role

Blue Journeys group trips may be hosted by representatives of Blue Journeys LLC to assist with logistics and coordination.

The trip host facilitates the experience but does not act as a tour operator or service provider for third-party suppliers.

All transportation, accommodations, tours, and excursions are provided by independent third-party suppliers.
