Terms & Conditions

By submitting any payment, authorizing charges, accepting an invoice, or participating in this experience, all travelers acknowledge that they have read, understood, and agreed to the following Terms & Conditions. These terms apply to all travelers listed on the reservation 1. Booking Authorization & Acceptance

Submitting payment confirms acceptance of these Terms & Conditions, supplier rules, cruise line policies, and all conditions associated with this trip.

2. Electronic Signature Clause

Payment submission, digital acceptance, invoice approval, online authorization, or use of a payment link shall be treated as the traveler’s electronic signature and legal agreement to these Terms & Conditions.

 3. Non-Refundable Deposit

The initial deposit of $149 per person is required to secure your reservation.

This deposit includes:

$50 Traces of Sunlight Travel booking / curation fee

Supplier deposit toward your cruise reservation

 

Deposits are non-refundable and non-transferable unless otherwise stated in writing.

 

 4. Cancellation Policy / Refunds

All cancellation requests must be submitted in writing.

Cancellation penalties, future cruise credits, and any eligible refunds are determined solely by the cruise line and/or supplier based on:

* Date cancellation is made

* Fare type booked

* Promotional terms selected

* Supplier policies active at that time

 

Traces of Sunlight Travel does not issue refunds for cancellations, including but not limited to:

* Booking fees

* Planning fees

* Curation fees

* Deposits

* Service fees

* Amounts subject to supplier penalties

If any refund is approved, refund timelines are controlled entirely by the cruise line or supplier.

Travel insurance is strongly recommended to protect your investment.

 5. Monthly Payments & Final Balance

Payment plans may be available. Travelers are responsible for making all payments by the due dates provided.

Failure to make timely payments may result in cancellation and loss of monies paid.

Final payment dates will be provided at booking.

 

 6. Charge Decline / Payment Failure Clause

Traveler is responsible for maintaining valid payment methods, sufficient funds, and bank approval.

Traces of Sunlight Travel is not responsible for cancellations, pricing increases, lost promotions, or penalties caused by declined cards, expired cards, fraud holds, insufficient funds, or missed payments.

 

 7. Pricing Subject to Change

All rates are subject to change until deposit is received. Pricing and cabin inventory are based on availability.

 8. Booking Fee / Service Fee

The Traces of Sunlight Travel booking fee covers administrative work, planning, reservation management, payment tracking, supplier coordination, communication, and curated group support.

This fee is earned upon booking and is non-refundable.

9. Government ID / Travel Documents

All travelers are solely responsible for obtaining and bringing proper travel documentation required for boarding.

Acceptable identification may include:

* Valid passport (strongly recommended). Passport should be valid for at least six (6) months beyond the cruise return date and be in good condition.

OR

* Original state-issued birth certificate (no photocopies / no hospital certificates) plus a government-issued REAL ID / star ID driver's license or state ID, if permitted by the cruise line.

Travelers are responsible for verifying all identification requirements directly with the cruise line.

No refunds will be issued for denied boarding due to missing, expired, damaged, invalid, or incorrect documents.

 10. Name Accuracy

Names on reservations must match government-issued identification exactly. Name correction fees may apply after booking.

11. Travel Insurance Recommended

Travel protection is strongly recommended.

If travel insurance is declined, traveler accepts full financial responsibility for cancellations, illness, delays, missed connections, weather disruptions, medical issues, and other uncovered losses.

12. Cabin Assignments

Guarantee cabins may be assigned later by the cruise line. Specific deck, cabin number, or location cannot be guaranteed unless specifically selected and paid for.

 13. Cabin Occupancy Changes

If one traveler cancels from a shared cabin, remaining travelers are responsible for any resulting price increases, re-pricing, or single supplement charges.

Roommates are responsible for their own payment arrangements. Traces of Sunlight Travel does not mediate roommate disputes.

14. Group Participation Rules

This is a Traces of Sunlight Travel curated group experience. To participate in official group activities, travelers must book through Traces of Sunlight Travel under the official reservation.

Although this is a public sailing, travelers who book outside of Traces of Sunlight Travel will not be included in:

* Curated group activities

* Hosted meetups

* Communication channels

* Planning support

* Group benefits

Outside bookings do not grant access to the hosted group experience.

15. Conduct / Harmony Clause

All travelers are expected to conduct themselves respectfully toward fellow guests, cruise staff, vendors, and the host.

Disruptive behavior, bullying, harassment, fighting, repeated negativity, excessive intoxication, or disturbances may result in removal from group activities without refund.

16. Alcohol Responsibility

If beverage packages are included, travelers remain solely responsible for alcohol consumption and personal behavior.

Traces of Sunlight Travel is not liable for incidents resulting from intoxication or personal choices.

17. Missed Ship / Late Arrival

Travelers are solely responsible for arriving at the port on time with all required documents.

No refunds will be issued for missed embarkation due to traffic, flight delays, oversleeping, weather, negligence, or poor planning.

 18. Flights & Transportation

Flights, hotels, transfers, parking, rideshare services, and transportation booked separately are subject to the terms of those suppliers and are not included unless specifically stated.

Any independently booked arrangements are not managed, monitored, coordinated, or handled by Traces of Sunlight Travel.

Traces of Sunlight Travel is not responsible for delays, cancellations, missed connections, baggage issues, pricing changes, or service failures related to independently booked travel.

 19. Supplier Changes

Cruise itineraries, ports, schedules, entertainment, dining options, or inclusions may change at any time due to weather, safety, operations, or supplier discretion.

Traces of Sunlight Travel is not responsible for supplier changes.

20. Force Majeure

No refunds or liability for events beyond control including but not limited to hurricanes, storms, pandemics, strikes, acts of war, civil unrest, transportation interruptions, government restrictions, or acts of God.

21. Medical / Mobility / Physical Ability Requirements

Travelers are solely responsible for ensuring they are physically able to participate in this trip, including walking distances, standing for periods of time, stairs, ship movement, boarding procedures, excursions, and general travel activity.

Each traveler is responsible for managing their own:

* Health conditions

* Medications

* Mobility limitations

* Stamina

* Personal wellness

If disability accommodations, mobility assistance, or special needs are required, they must be communicated in advance so requests may be submitted to suppliers. Accommodations are not guaranteed unless confirmed directly by the supplier.

Traces of Sunlight Travel, the host, and fellow travelers are not required to alter schedules, reduce pace, miss activities, physically assist, provide medical care, or slow down group movement due to one traveler’s limitations.

Travelers should book only if this experience aligns with their health, mobility, and comfort level.

22. Pregnancy / Health Restrictions

Travelers are responsible for reviewing supplier policies related to pregnancy, health conditions, medical clearance, and fitness to travel.

 23. Minor Children / Parental Responsibility Clause

If a traveler chooses to bring minor children on this trip, the parent, legal guardian, or accompanying responsible adult remains fully responsible for the child at all times.

Traces of Sunlight Travel, the host, and fellow travelers are not responsible for supervising, entertaining, transporting, disciplining, feeding, monitoring, or caring for any child.

Parents/guardians are solely responsible for:

* Child supervision at all times

* Compliance with cruise line age rules and policies

* Safety around pools, balconies, elevators, stairs, ports, and public areas

* Behavior and respect toward other guests

* Bedtime routines, meals, medications, and daily needs

* Any damages, charges, injuries, or incidents involving the child

The group itinerary and adult activities will not be altered to accommodate childcare needs.

Travelers bringing children should do so only if they are prepared to fully manage their child throughout the trip.

24. Minor Travel Consent / Custody Requirements

If a minor child is traveling without both legal parents or guardians present, the accompanying adult may be required to provide written permission from the non-traveling parent or legal guardian.

Travelers are solely responsible for obtaining any required documents, which may include:

* Notarized travel consent letter

* Custody orders

* Guardianship documents

* Birth certificate

* Identification documents

* Any documents requested by the cruise line or authorities

Failure to provide proper documentation may result in denied boarding with no refund.

 25. Legal / Custody / Eligibility Disclaimer

Traces of Sunlight Travel does not get involved in custody disputes, visitation disagreements, parental conflicts, guardianship issues, child support matters, or family court matters.

Traces of Sunlight Travel does not determine or guarantee whether a traveler or child is legally permitted to travel.

26. Criminal Background / Travel Eligibility Disclosure

Traces of Sunlight Travel does not investigate, interpret, or advise whether a traveler may cruise or travel with a criminal background, arrest history, pending charges, warrants, probation, parole, immigration issue, or other legal matter.

Each traveler is solely responsible for independently verifying their legal ability to travel directly with the proper authorities, cruise line, or legal advisor.

No refunds will be issued if travel is denied due to legal restrictions.

 27. Photography / Media Release

Photos and videos may be taken during group activities for promotional, social media, or memory purposes. Participation grants permission unless written opt-out is submitted before sailing.

28. Communication Responsibility

Travelers are responsible for reviewing all emails, invoices, reminders, updates, and instructions regarding this trip.

Failure to read communications does not remove traveler responsibility.

 29. Chargebacks / Payment Disputes

By authorizing payment, traveler acknowledges charges are valid for services rendered.

Improper chargebacks may result in denial of future bookings, collections efforts, cancellation of services, and submission of payment records as evidence.

 30. Host Role Disclaimer

Traces of Sunlight Travel acts as an independent travel advisor and curator connecting travelers with third-party suppliers.

Traces of Sunlight Travel is not the cruise line, airline, hotel, transportation provider, or excursion operator and is not liable for their acts, omissions, delays, injuries, losses, or service failures.

31. Personal Preferences / Experience Expectations

Traces of Sunlight Travel is responsible for coordination and curation of the group experience only.

Individual enjoyment is based on personal preferences, participation, expectations, and attitude.

Traces of Sunlight Travel is not responsible if a traveler does not enjoy:

* The cruise line

* Food or beverage options

* Cabin size or layout selected

* Onboard entertainment

* Music selections

* Crowd atmosphere

* Weather conditions

* Port stops

* Other guests onboard

* Activities offered or not offered

* Failure to participate

* Personal mood or mindset

* Perceived vibes or atmosphere

Travelers are encouraged to research the ship, itinerary, dining, entertainment, and cabin category before booking.

Failure to participate in group activities does not create entitlement to refunds or credits.

32. Host Availability / Shared Time Clause

The host will be balancing responsibilities while also enjoying the vacation experience.

There should be no expectation that the host will be physically present, available, or accompanying travelers at all times throughout the cruise.

The host may divide time between travelers, group coordination, personal downtime, dining, excursions, entertainment, relaxation, and necessary logistics.

This is a hosted group experience, not a personal assistant or one-on-one concierge service.

 33. Lost / Stolen / Damaged Property

Traces of Sunlight Travel is not responsible for lost, stolen, forgotten, misplaced, or damaged luggage, money, passports, phones, jewelry, medications, or personal property.

34. Public Complaints / Resolution Clause

Travelers agree to bring concerns directly to the host first so reasonable efforts can be made to address issues before public complaints are made.

35. Release of Liability / Assumption of Risk

By participating in this trip, traveler voluntarily assumes all risks associated with cruise travel, transportation, excursions, water activities, nightlife, sightseeing, walking tours, and independent exploration.

Traveler releases Traces of Sunlight Travel, its owner, agents, representatives, contractors, and affiliates from liability for loss, damage, injury, illness, death, delay, inconvenience, or expense arising from this trip, including but not limited to:

* Seasickness

* Slips, trips, falls, or accidents

* Drowning or water-related incidents

* Illness or medical emergencies

* Theft or damaged property

* Missed flights or missed embarkation

* Negligence or acts of third-party suppliers

* Behavior of other travelers or members of the public

* Weather events or natural disasters

* Emotional distress or disappointment

* Transportation interruptions

* Supplier cancellation or service failure

Traveler agrees to hold harmless and indemnify Traces of Sunlight Travel from claims arising from participation in the trip.

36. No Verbal Promises Clause

Only written confirmations, invoices, and written terms issued by Traces of Sunlight Travel are binding.

Statements made in conversation, group chats, social media comments, or by other travelers are not contractual promises.

37. Independent Traveler Responsibility Clause

Traveler is responsible for reviewing all booking details including names, dates, pricing, cabin category, payment schedule, and trip information upon receipt.

Failure to review confirmations does not transfer responsibility to Traces of Sunlight Travel.

38. Jurisdiction / Venue Clause

These Terms & Conditions shall be governed by the laws of the State of Florida.

Any dispute arising from these terms shall be handled in the State of Florida.

39. Severability Clause

If any portion of these Terms & Conditions is found unenforceable, all remaining sections shall remain in full force and effect.

 40. Acceptance of Terms

By submtting payment, traveler confirms:

* Understanding of these Terms & Conditions

* Acceptance of supplier rules and cancellation policies

* Responsibility for travel documents

* Responsibility for conduct and personal decisions

* Understanding that travel includes risks and variables outside host control

* Agreement to all terms listed above
