Thank you for allowing me, Robin Terpstra , your Travelmation, LLC travel agent assist you with your next vacation! I am excited to help you with your travel. The following terms & conditions (the "Agreement") describe what you can expect from me. The terms "we", "us", and "our" refer to Robin Terpstra , with Travelmation. LLC and the term "you" refers to the individual who signs this agreement.

Submission of this form allows Robin Terpstra , Travelmation, LLC to contact you by email and phone. 

Payment

You agree to pay deposits and final payments on time or early. If a payment plan or partial payment is needed, please request so and complete a payment authorization form.

Prior to Departure

You agree to supply Robin Terpstra, Travelmation LLC with all things requested for booking. These things may include an information form, a copy of your passport, or a photo of your ID. You agree to pay fees on time. You agree that all information provided to Robin Terpstra, Travelmation, LLC is accurate. If you provide any false information to Robin Terpstra, Travelmation, LLC you are responsible for any consequences that may incur.

Clients are responsible for reviewing the dates, times, payment due dates, and cancellation policy for reservations made on their behalf by Independent Contractors with Travelmation LLC. All information mentioned can be found within the confirmation of booking sent to you by your Travelmation LLC Travel Agent. Please review these details carefully.
 
Travelmation LLC acts as a sales agent for any airline, hotel, car-rental company, tour operator, cruise line, or other service provider named in your itinerary.

Independent Contractors with Travelmation LLC operate as advisors to clients, it is up to the passengers to ensure that all legal requirements are met, which may or may not affect the ability of the passengers to travel.
 
Travelmation LLC is not responsible for acts or omissions of the Suppliers or their failure to provide services or adhere to their own schedules. Travelmation LLC will work with any clients should such circumstances arise, always striving for the highest satisfaction of the client. 

Travelmation LLC assumes no responsibility for and shall not be liable for any refund, personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be caused by: (1) any defaults, wrongful or negligent acts, or omissions of the Suppliers; (2) any defect in or failure of any vehicle, craft, equipment, or instrumentality owned, operated, or otherwise used or provided by the Suppliers; or (3) any wrongful or negligent acts or omissions on the part of any other party not under Travelmation LLC’s control.

Travelmation LLC also strongly recommends Travel Insurance, which can be purchased through by Independent Contractors with Travelmation LLC., and a waiver must be signed if declined. No representation or description of the insurance made by our staff constitutes a binding assurance or promise about the insurance. You agree to hold us harmless for your election not to purchase travel insurance or for any denial of claim by travel insurer as it relates to COVID-19 or any other claim under the policy.

Passengers are required to carry proper identification when traveling. Ultimately the traveler is responsible for understanding & obtaining the proper travel documents in advance of travel. I understand that the Transportation Security Administration (TSA) requires me to carry a government-issued identification card in order to board a flight. I have been advised that the name, date of birth and gender that appears on the identification card must exactly match the same such data that is listed on my airline ticket and in my booking records. I acknowledge that my failure to strictly comply with these requirements may result in denied boarding or an undue delay at an airport security checkpoint causing me to miss my flight.

I understand that the airline tickets, tours or other products I am purchasing are subject to supplemental price increases that may be imposed after the date of purchase. Post-purchase price increases may be applied due to additional costs imposed by a supplier or government.I understand that if traveling internationally, I must have a valid passport and, depending upon my destination and nationality, I may need to obtain one or more visas.

Note to Client: Passport and visa information may be obtained by contacting the Travel Agent Section of the U.S. State Department at 202.647.5225 or by visiting the State Department’s Web site at travel.state.gov. Non-U.S. passport holders should be sure to contact the embassies of their destination and transit countries to obtain entrance requirements. To obtain medical information, you may contact the Centers for Disease Control at 404.332.4559 or visit the CDC’s Web site at www.cdc.gov

Departure

You will follow the instructions given to check in and reach your destination. Should you need assistance, you will contact the appropriate parties according to the the type of assistance request.

I further understand and acknowledge that travel to many parts of the world may involve the risk of a variety of hazards to my health and/or safety, including but not limited to disease, crime, terrorism, and warfare.  Because each traveler’s risk tolerance is different, Travelmation LLC is not in a position to mandate whether I should travel to any particular place at any particular time.  Rather, to assist me in making an informed decision, I should refer to objective third-party sources of travel information.
 
For medical information, Travelmation LLC recommends contacting the Centers for Disease Control at (877) FYI-TRIP or www.cdc.gov/travel.

After Your Return

You will be asked to review your experience including the booking process with Robin Terpstra, Travelmation LLC and the trip itself. This is voluntary but highly requested and helpful.

Cancellation

Should you cancel, you are responsible for any cancellation fees. You will be made aware of the exact fee prior to booking. If you'd like to recover any funds, you must have agreed to purchase the travel protection and ensure that the coverage meets all things you need.

Room/mate Changes

If you make a change to your room type or amount of people in your room, you may have a new total or a change fee. You understand that your room price is based on the date of change, not the original booking, meaning it will most likely will be higher. You understand that removing a person at any time from a room will cause a higher cost for the remaining party. 

Termination of Representation 

Robin Terpstra, Travelmation LLC reserves the right to stop representing you at any time. Should Robin Terpstra, Travelmation LLC find an issue with our working relationship with you or own own ability to do the best job, Robin Terpstra, Travelmation LLC will cease all work and communication or pass your trip to another agent to handle.

DISCLAIMER AND RELEASE

Health: You agree that it is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID-19. We assume no responsibility for and shall not be liable for unsafe conditions or health hazards including pandemics or other illnesses. For information related to such dangers, we recommend going to the State Department travel website at www.travel.state.gov. For medical and health information, we recommend going to the Centers for Disease Control website at www.cdc.gov/travel.

Vaccination & Other Health Requirements: We have no responsibility for COVID-19-related requirements that travel suppliers and governments may impose from time to time, such as required vaccinations, health affidavit forms, COVID-19 screenings prior to departure or upon arrival, face coverings, or quarantines.  For the latest travel supplier requirements, check the website of each supplier. Travelmation LLC does not recommend, authorize, or support any kind of falsification of this information on behalf of the client. Any wrongdoings related to this matter will result in an immediate termination of the use of the services of Travelmation LLC.

Release: You agree to assume all risks covered in this document and release our Independent Contractors, Officers, Directors, Affiliated Suppliers, Guides, Group Leaders free of any liability, suits, claims, etc. which may hereafter arise out of the dangers and risks of travel.
