PNS Travels LLC – Terms and Conditions

The purchase of travel services from PNS Travels LLC constitutes a contractual agreement between the traveler(s), customer(s), and/or purchaser(s) (collectively referred to as “Traveler,” “You,” or “Your”) and PNS Travels LLC (“PNS Travels,” “We,” “Us,” or “Our”).

By submitting payment, approving an itinerary, or using our services, you acknowledge that you have read, understood, and agree to these Terms and Conditions.

Emergency Support

PNS Travels LLC provides emergency assistance for travelers who are currently in destination or departing within 48 hours.

Role of PNS Travels LLC

PNS Travels LLC acts solely as a travel advisor and booking agent. We arrange travel services on behalf of independent third-party suppliers including airlines, cruise lines, hotels, tour operators, transportation providers, and excursion companies.

These suppliers are independent entities and are not owned, operated, or controlled by PNS Travels LLC.

Accordingly:

• PNS Travels LLC is not responsible for the acts, errors, omissions, or performance of travel suppliers
• Supplier schedules, services, and accommodations cannot be guaranteed
• All bookings are subject to the terms and conditions of the respective supplier

Your legal recourse for issues with travel services lies with the supplier providing the service.

Travelers are responsible for reviewing current travel advisories issued by the U.S. Department of State:

Pricing

Travel prices are subject to change until full payment has been received.

Once full payment is made, prices will not increase except for:

• government taxes or fees
• supplier-imposed fuel surcharges
• currency exchange fluctuations

If a pricing error occurs due to human, supplier, or system error, PNS Travels LLC reserves the right to correct the price and issue an updated invoice.

Deposits and Final Payment

A minimum deposit of $200 per person is typically required at the time of booking unless otherwise stated.

Additional deposits may be required by travel suppliers.

All deposits are non-refundable.

Final payment is generally due 60 days prior to departure unless otherwise specified.

Certain travel services, including airfare or promotional rates, may require full payment at the time of booking.

Failure to submit payment by the due date may result in cancellation of the reservation and forfeiture of all payments made.

Travel Planning Fees

PNS Travels LLC may charge a non-refundable travel planning fee of $50 per person for itinerary development, research, and supplier coordination.

If a booking is confirmed within 14 days of payment, the planning fee may be applied toward the itinerary.

Changes and Cancellations

Most travel services are non-refundable.

If you cancel your travel arrangements, cancellation penalties may apply and can be up to 100% of the total cost of the trip regardless of whether travel has commenced.

Once a booking has been confirmed, PNS Travels LLC reserves the right to charge a $50 non-refundable change fee per booking for itinerary changes requested by the traveler.

Supplier change or cancellation penalties may also apply.

If PNS Travels LLC incurs any supplier penalties due to your cancellation, you agree to reimburse PNS Travels LLC for those charges.

Shared Accommodation Responsibility

If travel is booked based on double occupancy or shared accommodations and one traveler cancels or fails to pay their portion, the remaining traveler(s) are responsible for the balance.

Failure to pay the remaining balance may result in cancellation of the booking and forfeiture of payments.

Credit Card Authorization and Chargebacks

By submitting payment, you confirm that you are an authorized user of the credit card used for payment and authorize PNS Travels LLC to charge the agreed amount.

You agree not to initiate a credit card dispute or chargeback for charges that comply with the agreed booking terms.

If a dispute arises, you agree to contact PNS Travels LLC directly to resolve the matter prior to contacting your credit card company.

If a chargeback is initiated improperly, you agree to reimburse PNS Travels LLC for any resulting costs, including administrative fees, chargeback fees, collections costs, or legal fees.

Travel Insurance

PNS Travels LLC strongly recommends purchasing comprehensive travel insurance to protect your travel investment.

Travel insurance may cover trip cancellation, illness, injury, delays, and lost luggage.

PNS Travels LLC is not an insurance provider and is not responsible for the submission, processing, or outcome of insurance claims.

Travel Documentation

Travelers are responsible for obtaining and carrying all required travel documents including passports, visas, and health documentation.

Passports must typically be valid for at least six months AFTER the date of return travel.

Travelers are responsible for verifying entry requirements with the appropriate government authorities.

Failure to obtain proper documentation may result in denied boarding or entry, and all resulting costs are the traveler’s responsibility.

Health Requirements

Travelers are responsible for complying with health requirements, vaccination requirements, and testing requirements for their destination.

Government authorities or travel suppliers may require health documentation prior to boarding or entry into a country.

Travelers must comply with all local regulations.

Flight Schedules

Airlines may change flight schedules without notice.

Travelers should reconfirm flight times directly with the airline at least 24 hours prior to departure.

Travelers must arrive at the airport at least:

• 2 hours before domestic flights
• 3 hours before international flights

Failure to arrive on time may result in loss of the reservation.

Additional Supplier Fees

Hotels, cruise lines, and rental agencies may charge additional local taxes, resort fees, or incidental charges that cannot be prepaid.

Most suppliers require a credit card at check-in for incidentals.

Force Majeure

PNS Travels LLC shall not be liable for delays, cancellations, or disruptions caused by circumstances beyond our control including but not limited to:

• natural disasters
• weather events
• pandemics or disease outbreaks
• government travel restrictions
• airline cancellations
• acts of war or terrorism
• civil unrest
• labor strikes

In such cases, refunds are subject solely to the policies of the travel suppliers.

Group Trip Conduct

For hosted group trips organized by PNS Travels LLC, travelers are expected to behave in a respectful and responsible manner toward fellow travelers, hosts, suppliers, and local communities.

PNS Travels LLC reserves the right to remove any traveler from a group experience without refund if the traveler engages in disruptive, illegal, unsafe, or disrespectful behavior.

Travelers removed from a trip will be responsible for all additional expenses incurred.

Photography and Media Consent

During hosted group trips, photographs or videos may be taken by PNS Travels LLC or other travelers for marketing or promotional purposes.

By participating in the trip, you grant PNS Travels LLC permission to use such images or videos for marketing, social media, website, and promotional materials without compensation.

Travelers who do not wish to appear in media should notify PNS Travels LLC in writing prior to travel.

Limitation of Liability

PNS Travels LLC is not liable for any injury, loss, damage, delay, inconvenience, or expense arising from the acts or omissions of travel suppliers or from events beyond our control.

If liability cannot be legally excluded, it is limited to the amount paid for the travel services arranged by PNS Travels LLC.

PNS Travels LLC shall not be responsible for consequential or indirect damages.

Electronic Acceptance

These Terms and Conditions may be accepted electronically, by written signature, by email confirmation, or by payment of an invoice.

Payment of an invoice constitutes acknowledgment and acceptance of these Terms.

Governing Law

These Terms and Conditions shall be governed by the laws of the State of Maryland.

Any legal disputes shall be resolved exclusively in the courts located within the State of Maryland.
