We understand these are uncertain times and want to make sure you feel confident about your options if your plans change.
Deposits are NON-REFUNDABLE and NON-TRANSFERABLE.
06 days or less than 72 hours prior to arrival, or no show – No refund at all. There would be a 100% cancellation fee.
30 days - 07 days prior to arrival – There would be a 75% cancellation fee.
60 days - 31 days prior to arrival – There would be a 40% cancellation fee.
Communication is essential. If there is no communication from you and/or if your payments are not paid up to date 61 days before the trip date, we may be required to cancel the trip to avoid penalties that may be charged to you and/or Traces of Sunlight Travel. In such event, any refundable amount, excluding the non-refundable deposit, will be returned to you.
1. Booking Terms
1.1 All bookings are subject to availability at the time of confirmation.
1.2 A non-refundable deposit is required at the time of booking to secure your reservation.
1.3 Full payment must be made by the due date indicated on the booking confirmation. Failure to make payment on time may result in cancellation of your booking.
1.4 Prices are subject to change until the booking is confirmed and payment is received.
1.5 A portion of your payments may cover planning, coordination, administration, curation, hosting, vendor management, and overall group experience services, which may be non-refundable once work has commenced.
2. Changes and Cancellations
2.1 Any changes to your booking must be requested in writing. Changes such as name changes, dates, destinations, or room requests may incur additional charges and are subject to supplier approval.
2.2 Cancellations made by the client must be submitted in writing. Cancellation penalties will apply based on supplier terms and travel date proximity.
2.3 If a supplier cancels the trip, you will be notified promptly and every effort will be made to offer an alternative arrangement or refund in line with supplier policy.
2.4 Failure to make scheduled payments may result in cancellation of reservation and loss of deposits and prior payments subject to supplier terms.
3. Roommate Terms
3.1 If a traveler books at the double occupancy rate and their roommate cancels, fails to pay, is removed from the trip, or otherwise does not participate, the remaining traveler will be responsible for any additional single occupancy charges or applicable re-pricing by the supplier.
3.2 Traces of Sunlight Travel is not responsible for roommate compatibility, personality conflicts, sleeping habits, cleanliness preferences, snoring, or disputes between roommates.
3.3 If you choose to room with someone not booked through Traces of Sunlight Travel, we cannot guarantee participation in group rooming benefits or protections.
4. Travel Documentation
4.1 It is the traveler’s responsibility to ensure they have valid passports, visas, identification, and any required travel documents.
4.2 Traces of Sunlight Travel is not responsible for denied boarding, denied entry, missed travel, or losses arising from improper, expired, damaged, or invalid documentation.
4.3 Names on airline tickets and reservations must match government-issued identification exactly. Fees for corrections are the traveler’s responsibility.
5. Insurance
5.1 Travel insurance is strongly recommended to cover unforeseen events such as trip cancellations, medical emergencies, baggage loss, delays, and interruptions.
5.2 It is the client’s responsibility to purchase appropriate travel insurance. Traces of Sunlight Travel is not liable for losses incurred due to lack of insurance coverage.
6. Liability / Assumption of Risk
6.1 Traveler voluntarily assumes all risks associated with travel including but not limited to illness, injury, accidents, theft, delays, weather events, political unrest, transportation issues, excursions, food reactions, and unforeseen circumstances.
6.2 Traveler releases and holds harmless Traces of Sunlight Travel, its owner, agents, affiliates, and representatives from any and all claims, damages, losses, injuries, expenses, or liabilities arising from participation in the trip.
6.3 Traces of Sunlight Travel acts solely as an independent travel planner/intermediary and is not the provider of transportation, lodging, excursions, or third-party services.
6.4 Traces of Sunlight Travel is not liable for acts, errors, omissions, bankruptcy, negligence, cancellations, or failures of third-party suppliers.
7. Force Majeure
7.1 Traces of Sunlight Travel shall not be liable for cancellations, delays, changes, or losses caused by events beyond its control including natural disasters, hurricanes, pandemics, weather, labor strikes, terrorism, civil unrest, supplier insolvency, government restrictions, war, or acts of God.
8. Health and Safety
8.1 Travelers are responsible for ensuring they meet any health requirements for their destination, including vaccinations or medical certificates.
8.2 Travelers should consult appropriate government and medical resources regarding travel advisories and health guidance.
8.3 Travelers with medical conditions, mobility limitations, or other concerns should disclose this before booking so we may discuss suitability of the trip.
9. Conduct / Group Harmony
9.1 Travelers are expected to maintain a respectful, cooperative, and courteous attitude toward fellow travelers, staff, vendors, and local communities.
9.2 Group travel requires punctuality, flexibility, patience, and cooperation.
9.3 Any traveler whose behavior is disruptive, aggressive, intoxicated, disrespectful, unsafe, abusive, or harmful to the group experience may be removed from activities or the trip without refund.
9.4 Negative gossip, repeated complaints without seeking resolution, harassment, bullying, or behavior that damages group harmony may result in removal from the group experience without refund.
10. Missed Portions of Trip
10.1 No refunds will be given for missed flights, missed transfers, skipped excursions, late arrivals, early departures, sleeping through activities, voluntary opt-outs, or any unused portion of the trip.
10.2 Traveler is responsible for arriving at airports, meeting points, and scheduled activities on time.
11. Media Release
11.1 By participating in the trip, travelers grant Traces of Sunlight Travel permission to use photos, videos, and group content captured during the experience for marketing, promotional, and social media purposes without compensation unless otherwise requested in writing prior to travel.
12. Payment Disputes / Chargebacks
12.1 Unauthorized or improper credit card disputes or chargebacks for valid authorized charges may result in denial of future services and submission of supporting documentation to banks or payment processors.
13. Complaints
13.1 Any complaints regarding travel services should be reported promptly during the trip when possible so reasonable efforts can be made to assist.
13.2 Formal complaints after travel must be submitted in writing within 30 days of trip completion.
14. Amendments to Terms
14.1 Traces of Sunlight Travel reserves the right to amend these terms and conditions at any time.
14.2 The terms in effect at the time of booking shall govern the reservation.
15. Privacy
15.1 By booking, you consent to collection and use of information necessary to process reservations and deliver travel services.
15.2 Traces of Sunlight Travel does not sell your personal information to third parties.
16. Governing Law
16.1 These terms and conditions are governed by the laws of the State of Florida, United States.
16.2 Any disputes shall be subject to the jurisdiction of Florida courts.
Final Acknowledgment
By proceeding with your booking and paying the non-refundable deposit, you acknowledge that you have read, understood, and agreed to these terms and conditions.
