Booking Form Completion

The name of each traveler must match the name on the US Passport Book. If a name requires correction after booking, the name change fee will apply. Deposits must be received the same day be all travelers sharing the same room for the booking to be confirmed. For example, if only one traveler in the room is able to deposit, the room must be booked under single occupancy. Once the additional traveler is added, the invoice will be adjusted to reflect the applicable rate.

Cancellation Policy

The initial down payment of $200 per person plus options is now due. The balance will be divided into equal payments due by the 15th of every month, with the exception the final payment, due September 1, 2026. A 4% processing/convenience fee is added to all electronic payments. Once the initial deposit has been made, the cancellation policy is as follows:

An agency fee of $75 per person will apply in addition to the cancellation penalty and will be charged prior to processing the cancellation. All fees must be collected prior to processing any changes.

Travel Insurance

Pricing for travel insurance will be provided once the deposit is processed. Travel insurance must be paid in full when added and must be added by September 1, 2026. Travel insurance pricing that includes cancel for any reason must be added and paid in full within 72 hours of processing the deposit.  A separate invoice will be sent to process the payment for travel insurance.

Changes in Occupancy

Please know that it is your responsibility to be sure that whoever you choose as your roommate/travel mate for your selected travel event is also making their monthly payments. We can provide roommate account summaries upon request.

Cancellation of a person or persons in a package that involve a change in room configuration or category (for example, from double occupancy to single occupancy or from oceanview to balcony) are subject to the rates in effect at the time the cancellation is made. If the change is made after the deposit is made, a $75 change fee will be implemented, in addition to the difference in pricing if applicable.

Name Changes
Name changes on the land only portion of the vacation are allowed up to 14 days prior to departure; October 29, 2026. A $100 name change fee applies to all reservations, if a roommate is changed. This fee is in addition to any cancellation policies incurred by the roommate that cancels. If a roommate cancels, and a replacement can't be found, the reservation will be rebooked and subject to the rates based on the remaining occupant(s) in effect at that time. A maximum of two name changes are allowed per room. In the event name changes are not allowed, the reservation will need to be cancelled and rebooked at the prevailing rate.

Citizenship Requirements/Fitness to Travel
The only acceptable proof of citizenship for this destination is the US Passport Book. All travelers must have a valid US Passport book, with at least 6 months of validity. The US Passport Book must be valid until at least May, 20, 2027.

If you don't have your passport information when completing the booking form, you can provide it later. You are responsible for making sure that you can meet the needs of taking this vacation including and not limited to physical and legal limitations. GDS Travel Solutions will not be held responsible for any denials or exclusions as a result.

Monthly Payment/Abandonment of Reservation

After you make your first deposit, you are required to make monthly payments, or your booking may be cancelled for abandonment of reservation. This event is designed to allow for flexible monthly payments. Monthly payments are due on the 15th of each month. If you find yourself in a difficult financial situation and cannot make monthly payments, please email us immediately. If two months have passed without payment or communication, an initial notice of cancellation will be sent. If no communication or payment is made after the initial notice, the reservation will be cancelled. All previous payments will be forfeited and the cancellation policy in effect at that time will be applied. This may cause financial impact on the remaining roommates. Final payment is due September 1, 2026. If you fail to make your final payment by the due date, your reservation will automatically cancel with penalties. If the trip can be reinstated, a reinstatement fee of $100 per person will apply.

Issuance of Travel Documents

Provided full payment is received no later than your Final Payment Due date, travel documents and travel instructions will be sent via email and/or mail within 14 days of travel.

Credit Card Transactions & Chargebacks

If for any reason, any travel service vendor is unable to provide the services for which you have contracted, your remedy lies against the vendor, and not against GDS Travel Solutions. In the event that payment has been made to by credit card, you agree that you will not seek to charge back your payment. If GDS Travel Solutions incurs any costs, including but not limited to attorneys' fees, to recover any payments charged back by your credit card company, you agree that you will be liable for these costs. If the credit card is declined, you guarantee that you will settle any amounts owed via money order or cash immediately.

Force Majeure

There may be times when either party is unable to perform, or complete performance, under the travel contract for reasons out of each other’s control. These are called force majeure events and, if they occur, make performing under the contract inadvisable, commercially impracticable, illegal, or impossible. Events that may trigger this provision include but are not limited to, acts of God, acts of government, acts of war or civil unrest, insurrection or revolts, military action, strikes or other labor activities, criminal or terrorist activities of any kind, or the threat thereof, pandemics, epidemics, illnesses or health conditions prevalent in the area of travel, earthquakes, hurricanes, lightning, and explosions, unexpected legislation, or any other event outside the reasonable control of either party. In the event that a force majeure event occurs, the parties will look to and follow the cancellation policies of the suppliers, what is stated in the travel proposal, and these terms & conditions. Any changes to those policies are at the sole discretion of the supplier (if applicable) and Travel Agency. Passengers will be informed of their options if a force majeure event occurs. Pricing is based on current rates and availability at the time of booking. In the event of any pricing adjustments after a deposit is received, the client will be notified, and the necessary adjustment will be made to the reservation. GDS Travel Solutions is not responsible or liable for rate changes imposed by the resort, airline, or other travel suppliers. 

Acknowledgement of Disclosures

You acknowledge that the disclosures, terms and conditions apply to all travelers, if you are completing the booking form on behalf of all travelers in your party. You acknowledge that you are completing this booking form electronically and is enforceable by law the same as if you signed a physical copy.  GDS Travel Solutions will not be held responsible for anything outside of its control. You will receive an electronic copy of the disclosures with your travel confirmation.

Air Details

A Group Air option has not been selected for this group because at the time the agreement was constructed, air rates were not available or comparable. As such, travelers will be responsible for confirming personal air itineraries. Air itineraries must be confirmed at least 21 days prior to departure. Travel documents will not be released until a flight reservation can be confirmed. Transfers will not be confirmed until a flight reservation can be confirmed. GDS Travel Solutions can assist travelers with flight arrangements and will offer the air inclusive option to the group. Once air rates become available the group can opt to add a group air option.

Air Inclusive Option

A budget for airline tickets is set at the beginning of the group payment schedule. For this itinerary, the budget is $750.00. The passenger must add a deposit of $75 to their initial deposit, and pay an additional minimum of $75 with each payment until the budget threshold is met. GDS Travel Solutions will research to find what is felt to be the best pricing available for the itinerary. If the budget threshold is met, GDS Travel Solutions will purchase the tickets on the traveler’s behalf. If the amount of the ticket is less than the budget threshold, the difference minus any ticketing fees will be immediately refunded to the traveler. If the amount of the ticket is higher than the threshold amount, GDS Travel Solutions will contact the traveler beforehand to confirm the purchase and the traveler will immediately pay the difference. Travel documents will not be released to any passenger with a balance. Participation in the air inclusive option is optional.

Booking Form Instructions

When completing the booking form. Use the pull-down menu to select the number of travelers that the form covered by the form. If one person is completing the form for a Double Occupancy Booking, only select 1 Traveler, and select the appropriate Double Occupancy Rate. 

If the form is being completed by one person for two travelers sharing the same room, select 2 travelers from the pull-down menu and complete the booking form for each traveler. 

 Bookings will not be confirmed until all roommates' information is received.
