By signing below, I agree to the charges as disclosed on this invoice and have authorized Ten Palms Travel and/or its principal suppliers to charge the provided card. I will not dispute charges as presented in the invoice as presented below. I also accept all terms and conditions as listed below on behalf of myself and all parties listed in this invoice. I understand that by signing this invoice, I am responsible for advising all members of my traveling party of the contents included herein.
Cancellation Penalties:
VIRGIN VOYAGES CANCELLATION PENALTIES
You have the most flexibility outside of 120 days prior to your departure date. If you're booking at this time, you have a 7-day grace period after making your initial deposit to request a full refund on your deposit and any other payments made. Refunds will be issued to your original form of payment.
After the 7 day grace period (but still before the 120-day mark), you can receive a full refund on any payments, not including your deposit. For your deposit, you can request a Future Voyage Credit at this time.
From 119 days up to 45 days from your departure date, your available options are:
- Receive a “Future Voyage Credit” in the amount paid that can be applied to a new sailing up to 1 year after the original Voyage date.
- Change to a new Voyage date up to 1 year after original Voyage date.
- Change names on the reservation; permissible up to 48 hours before your Voyage sailing date.
- Submit an insurance claim if travel protection (aka travel insurance) was purchased.
At 44 days from your departure date, all funds paid are final. But you do have the option to transfer, sell, or otherwise have someone go in your place up to 48 hours before your Voyage.
If you have chosen to purchase travel insurance, it works as a reimbursement for the fees listed above should you need to cancel your trip for a covered reason as set forth by the policy. The cost of the travel insurance is non-refundable.
Additional purchased for air, pre-cruise packages, and shore excursions will be disclosed at time of booking these services.
Virgin Voyages additional terms and conditions will be found on your booking confirmation that will be sent to you directly after booking. By booking your trip with us, you are also agreeing to the Virgin Voyage ticket contract that can be found here.
Documents Required for Travel:
Domestic Travel:
All U.S. citizens must have a government issued photo ID or a passport to travel domestically. Identification must match airline tickets (names, dates of birth, and gender) exactly. TSA requires all states to have Real ID compliant identification by May 7, 2025. It is the traveler's responsibility to ensure that their identification is compliant with federal and airport regulations. Children under the age of 16 do not need government issued identification to travel domestically, but it always advisable to travel with birth certificates. International Travel:
All U.S. citizens (even infants) must have a valid passport BOOK (valid for 6 months upon return from the trip) in order to travel by air internationally. Passports CARDS are not valid for air travel. Real ID identification is not valid for international travel. Ten Palms Travel shall NOT be held liable should passengers decide to book and pay for a trip without having already secured appropriate travel documentation. Passport issuance and renewal times can vary greatly depending on a variety of factors. Ten Palms Travel will not be held responsible for any cancellation penalties incurred to our clients due to inability to obtain proper travel documentation. Travel insurance does not cover cancellation fees for customers who are not able to obtain valid travel documentation.
Cruise Passengers:
A parent, grandparent, or legal guardian must accompany all cruise passengers under the age of 21. While passports are HIGHLY recommended for cruise passengers, you may also use your government issued photo ID AND an original or certified copy of your birth certificate, if you are on a closed loop cruise departing and returning from a US port. Copies must have either a raised seal or a multi color embossed seal. In addition, if your ID name reads differently from your birth certificate, it is wise to bring documentation showing the name change (marriage certificate, divorce decree etc….) . If you are cruising with minors whose parents/guardians will not be traveling, you must have a notarized letter granting permission for travel. Please note that pregnant women over 24 weeks gestation will be denied boarding a cruise ship with no refund for provided. For this reason, it is important to review the various travel protection policies made available to you to ensure coverage. Please be advised that if you wish to choose to travel on a cruise without a passport, you will not be able to fly home from a foreign country should you need to cut your trip short due to an emergency.
An Important Note Regarding Foreign Travel/Criminal Liability:
Ten Palms Travel shall not be held liable for advising clients of their ability to travel as it applies to legal reasons. We will not ask you for information regarding your criminal history. If you have a felony/misdemeanor on your record (including DUI/DWI), outstanding child support payments etc... it is possible for you to be denied entry into a country or to be denied entrance back into the United States upon return from your trip. It is the traveler's responsibility to make certain that their record is cleared for international travel by consulting with the appropriate legal authorities. It is VERY IMPORTANT that you review your specific situation with an attorney and/or appropriate legal authorities before booking or paying for your trip if you are doubtful. Ten Palms Travel will not be held responsible for any cancellation penalties incurred to our clients due to inability to travel for legal reasons.

Involuntary Itinerary Changes:
Occasionally, travel suppliers will make itinerary changes to your bookings due to circumstances outside of their control. These changes may include (but are not limited to) changes in tour times, inability to proceed with a tour as agreed for various reasons, changes to a cruise itinerary, flight modifications, delays, or cancellations etc... Should you experience such a disruption during your trip, Ten Palms Travel will advocate on your behalf to obtain a resolution to your satisfaction with the travel supplier; however, Ten Palms Travel will not be held responsible for a travel suppliers ultimate decision to make these changes/modifications or the extent in which they will offer refunds or additional compensation.
By authorizing payment, you also agree to the following:
- Travel dates presented in the invoice and/or itinerary are correct. You have reviewed the final itinerary and approve of all components listed on the itinerary and on this invoice.
- Ten Palms Travel/Travel Planners International (TPI) and /or their agents and offices, shall act only as agents for passengers and do not assume any liability whatsoever for individual tour operators, airlines, hotels, cruise lines, car rental companies, consolidators, rail companies, and other travel suppliers that are part of your itinerary. Ten Palms Travel/Travel Planners International cannot control and will not be responsible for bodily injury, property or other damage or loss caused by factors beyond our control, including but not limited to flight delays, airline turbulence, transportation accidents, war, terrorism, weather, quarantine, sickness, government restrictions, regulations or actions, mechanical breakdowns, acts of God, fires, earthquakes, floods, climatic aberrations, acts of civil unrest, strikes, riots, theft, disease or accidents, or failures related to the public internet, telecommunications lines or facilities, or third party technology systems, other unforeseen circumstances, or any other cause beyond our control, including your physical, medical or mental disabilities, your failure to obtain valid travel documents, failure to ensure ability to travel due to criminal history, or your failure to follow travel instructions, and individual choices that result in harm to oneself or others. Under no circumstances shall Ten Palms Travel be liable for any special, incidental or consequential damages arising from the foregoing. For additional coverage, travel insurance (either purchased through Ten Palms Travel or independently) is available.
- Ten Palms Travel collect's authorization for payment of services to various travel companies. Your card is charged directly by the supplier (cruise line, hotel, or tour operator) in most cases. Should you need to cancel your trip and are due a refund by the travel supplier, you are subject to the supplier's policies and refund processing times. Ten Palms Travel will serve as an advocate on your behalf with assistance in obtaining any monies due to you from a supplier and will place phone calls and emails on your behalf. Ultimately, the refund is processed by the supplier as listed on your credit card statement. Ten Palms Travel has provided you with complete cancellation penalties as provided by the supplier(s) in this invoice. Ten Palms Travel is not responsible for direct refunds from travel suppliers unless Ten Palms Travel is shown as the vendor of record on your credit card statement.
- Ten Palms Travel takes protection of your personal information very seriously. Credit card information is stored via an encrypted, password protected, PCI compliant system. Your card number is only provided to the suppliers listed on this invoice when absolutely necessary to secure your booking via their secured online portals or over the phone in rare circumstances.
- In order to maintain your privacy and reduce the amount of sales emails/phone calls you might receive, we will NOT provide your telephone number or email address directly to the supplier(s) unless absolutely necessary Conversely, travel insurance companies and cruise lines do require this information upon booking. If you have purchased a travel insurance policy through Ten Palms Travel, we will provide phone numbers and email addresses to the insurance company to ensure the legitimacy of your policy.
- By authorizing payment today and entering your payment details, you are authorizing Ten Palms Travel to book and pay for travel on your behalf with our principal suppliers. Your card is not charged immediately at the time of authorization, nor does an authorized charge by you guarantee that the transaction will process due to a variety of factors including, but not limited to, your personal credit line, daily spending limits, or fraud alerts associated with your account. Ten Palms Travel will make the payment on your behalf and email you a receipt once the transaction has been completed. Please be advised that payments will be made within 24 business hours of authorization. Payments authorized on national holidays and outside of our normal business hours will be processed on the next business day. If your transaction is denied, we will send you written notification and options for additional steps you may need to take for your transaction to process. If your total authorized transaction is greater than $3,000, it is always a good idea to call your bank to let them know a large transaction will be processed as fraud protection is the most common reason for charges to be denied.
- Your travel advisor has offered you travel insurance to cover your trip. It is not a required purchase, but is recommended as a supplement to protect your from cancellation penalties and unforeseen travel circumstances as advised above. Ten Palms Travel shall not be held liable for decisions made by insurance companies in regards to reimbursed expenses.
- I authorize Ten Palms Travel or its suppliers to charge the credit card or bank account indicated on this invoice for the noted amount. This payment is for the services described on the invoice and in the final itinerary which I have approved. . I certify that I am an authorized user of this credit card and that I will not dispute the payment with my credit card company, so long as the transaction corresponds to the terms indicated on this invoice.
- Ten Palms Travel will provide you with full trip details and specific instructions to follow to ensure a successful vacation. It is the responsibility of our clients to follow these instructions as provided. Ten Palms Travel shall not be held liable for negligence on behalf of our clients in regards to situations such as (but not limited to), checking in for flights, calling to ensure transfer pick up times, failure to arrive on time for excursion pick up, completing proper check in procedures for cruises, obtaining correct documentation and/or pre-testing and vaccinations for travel etc...
- Ten Palms Travel shall not be held liable for personal behavioral decisions made by you during your vacation. Resorts and cruise lines have standards of conduct expectations and basic rules and regulations that must be followed so that guests are able to avoid harm and injury. Failure to abide by these expectations puts yourself and others at risk. Ten Palms Travel will not be held responsible for any act of harm or injury that occurs to yourself or others due to negligence or disregard of supplier policy by our customers. Examples include but are not limited to becoming overly intoxicated and becoming injured, failure to abide by noise policies and being asked to leave a resort, harm that may arise if you become involved in an altercation with another hotel guest or employee etc...
- Your itinerary discloses each travel supplier that is involved in your vacation. By authorizing payment, you are agreeing to the individual passenger contract and terms of service for every airline, hotel, tour operator and cruise line as set forth in the terms and conditions on the supplier website. To view these terms of service, please visit the supplier websites, call them, or ask us and we will direct you to the correct resource.
Health Disclaimer
- Please note that travel during global pandemics is at your own risk. Please ensure that you are fit to travel and understand the risk of infection in the areas to which you are considering travel. It is also advisable to check with your employer and your state government regarding quarantine rules upon returning home from any trip.

Ten Palms Travel shall not be held liable for any difficulties and inconveniences that may occur either in destination, during travel, or upon returning home from your vacation. Risks include, but are not limited to: possible infection with COVID-19 or other communicable diseases, unexpected flight delays/cancellations, closures of resorts and/or areas of resorts, tour cancellations, port of call cancellations and/or excursion cancellation, and in-destination quarantine should you become ill during your trip.
- As your travel advocates, we will work to make your experience the best one possible and assist you should any inconveniences occur; however, we cannot control the outcome of situations that arise, nor can we control the actions of a specific travel supplier in their response to their policies.

After reasonable inquiry, Ten Palms Travel has provided you with the best available information we currently have regarding the pandemic-protective policies and practices of the suppliers involved, but the supplier(s) may not apply those policies as diligently as the policies suggest.

We will provide you with updates as they are received until your trip departs, but we cannot guarantee complete information as the pandemic continues to evolve.

Ten Palms Travel will not be responsible for lapses in information, changes in supplier policy, or negative outcomes for travel that takes place during the COVID-19 pandemic. Please review supplier cancellation penalties carefully as listed in this document before authorizing payment. They are contractual and binding.
- We will provide you with all travel requirements and restrictions that we are knowingly made aware of by government entities; however, the final responsibility in understanding vaccination and travel requirements (associated to Covid 19 or otherwise) is solely upon the traveling individuals.
- By signing this document, you have been informed and are aware of the risks of traveling during a global pandemic and assume full responsibility for any health, financial, and emotional risks therein.
