Melanin Ultimate Travels Terms & Conditions!


We’re excited to have you cruising with us! Before we set sail, here’s everything you need to know to make your trip smooth and unforgettable.

 ⚠️ Important⚠️

1. Booking and Payments

  • Submitting your request does not guarantee a confirmed booking or lock in pricing. 
  • A deposit is needed to lock in your spot. (Deposit amounts depend on the cruise line and your itinerary.)
  • Payments are NOT automatically processed. All reservations are processed manually.
  • 💳 Payments must be submitted using the credit card authorization form only. All payments must be submitted through Melanin Ultimate Travels.
  • We do not accept CashApp, Venmo, PayPal, Zelle, or phone payments. (However, you can use the cards linked to those platforms.)
  • ⏳ Pricing and availability are subject to change until your deposit is received and confirmed.
  • Final payment is due based on cruise line’s payment schedule.
  •  A monthly payment schedule will be set up based upon the amount of the room & the final payment due date via invoice upon booking. If you are unable to make the payment, please email me in advance and with the expected date of payment. (monthly payments allows you to not have a huge payment in the end).
  •  You must utilize the invoice to submit all payments. An automated payment reminder will be emailed to you one week prior to each scheduled payment date.

  • Please make all payments on time — missing deadlines could mean losing your spot and any funds already paid.

2. Cancellations, Changes, and Refunds

  • Life happens! If you need to cancel, the cruise line’s cancellation policies apply, along with a $25 Melanin Ultimate Travels service fee.

  • Changes (like name corrections or cabin upgrades) might have additional costs, depending on the cruise line.

  • Refunds, if available, follow the cruise line’s rules. We'll be your advocate, but final decisions come from the cruise line.

  • All cancellations and/or changes must be received in writing via email only to:Teresa@melaninultimatetravels.com.
  • All deposits are non-refundable, unless you opt to pay a higher deposit or select a refundable rate. 

3. Travel Insurance

  • We highly recommend travel insurance to protect your investment for your peace of mind — it covers unexpected cancellations, medical needs, and more.

  • You can purchase coverage through the supplier, the cruise line, or on your own. If you choose to decline coverage, we will have to sign a waiver. If travel insurance is not purchased before the final payment of departure clients must sign a waiver acknowledging they have declined travel protection from Melanin Ultimate Travels, and or the suppliers/vendors.

4. Required Travel Documents

  • U.S. Citizens cruising to some international destinations usually needs a valid passport (with at least 6 months' validity after your trip).

  • Some closed-loop cruises (cruises departing and returning to the same U.S. port) may allow a birth certificate and government-issued photo ID — but we still recommend a passport just in case!

  • It's your responsibility to ensure all documents are current and correct before travel. So PLEASE check your documents

5. Health and Safety

  • Please make sure you meet all vaccination, testing, and health requirements set by the cruise line and ports of call.

  • Unfortunately, we can’t be responsible if you’re denied boarding for missing any health documentation.

6. Our Role

  • Melanin Ultimate Travels acts as your travel coordinator, connecting you to the best cruise lines and travel experiences.

  • We aren't responsible for actions or decisions made by the cruise line, airlines, hotels, or other third-party vendors.

7. Itinerary Changes

  • Sometimes the unexpected happens — cruise lines may adjust itineraries, ports, or schedules for your safety or operational needs.

  • If this happens, we’ll keep you updated and help you navigate the changes.

8. Agreeing to These Terms

  • By booking with us, you’re confirming you’ve read, understood, and agree to these friendly (but important) terms.

  • Agent does charge a $10.00 per person planning service fee that is added to total package.

  • Name changes are allowed with a $25 name change fee up until the final payment date. After final payment date name changes will incur a $50 name change fee.

  • All final payments are due no later than 04/03/2026.

  •  All travel documents will be sent 14-21 days prior to departure.

  •  All cancellations and/or changes must be received in writing via email only to:Teresa@melaninultimatetravels.com.

 
 
 

This Credit Card Authorization will be placed on file for your reservations. This form is to book only your hotel, flight, cruise and any optional excursions or private transportation accommodations that is added to your vacation package. Only the accommodations that is in your package will be charged.

I understand that travel insurance for cruise is not included in my cruise vacation package but can be added unless client chooses not to include.  MELANIN ULTIMATE TRAVELS DOES NOT issue refunds. In the event of a cancellation, I will use the  travel insurance provider as a means to receive any refunds(see terms and conditions of the travel insurance provider.)I understand that I may see charges from Melanin Ultimate Travels and their Travel Partners and that records will be provided to me to confirm that I submitted or authorized payment(s).

NOTE: Your card may not be automatically charged by completing and submitting this form; however, completing and submitting this form does give the agent the right to charge the card for the amount and purpose authorized above.

* I agree to submit a new credit card authorization form if I must change my credit card information at any time before the final payment is completed.

* I agree that if the payment cannot be drafted, I will contact Melanin Ultimate Travels immediately to provide another payment method. 

I, the above-named authorized credit card user, give Melanin Ultimate Travels and/or it's Travel Partners(vendors) authorization to charge my credit card for the purposes detailed above. I understand that this form is a legally binding contract and that by affixing my signature to this form, I will be held responsible for all agreed upon charges. This credit card is authorized for only the charges noted above. 

This payment is for the services described on the invoice. I understand that all payments made to Melanin Ultimate Travels are non-refundable and non-transferrable. I certify that I am an authorized user of this credit card and that I agree I will not dispute the payment or file a charge back with my credit card company or chargeback through their bank/financial institution, so long as the transaction corresponds to the terms indicated on this invoice. Traveler will utilize their travel insurance in the event that they can no longer attend the planned trip. Traveler agrees to not file a chargeback in violation of Melanin Ultimate Travels Refund Policy. In the event that a chargeback is requested and/or processed, Traveler agrees to repay Melanin Ultimate Travels for the full amount and be responsible for any fees incurred in recouping payment, including attorney’s fees.
