GROUP PARTICIPATION TERMS & CONDITIONS

These Terms & Conditions apply to travelers participating in a group trip organized, hosted, and/or accompanied by Travel Bliss (“Group Trip”).

By registering, submitting a deposit, authorizing payment, or otherwise confirming participation in a Travel Bliss Group Trip, each traveler acknowledges and agrees to these Terms & Conditions, all trip-specific terms, and the terms and conditions of applicable travel suppliers.

1. OFFICIAL GROUP PARTICIPATION & BOOKING REQUIREMENTS

Travel Bliss Group Trips are professionally planned and coordinated travel experiences. To be considered an official member of the group and receive group-related services, amenities, pricing, and benefits, travelers must book the designated group travel package through Travel Bliss.

Depending upon the specific trip, the package may include:

  • Hotel, resort, villa, or cruise accommodations
  • Airfare, when offered
  • Airport and/or ground transportation
  • Group excursions and activities
  • Group dining and events
  • Destination services
  • Special experiences
  • Travel Bliss gifts or amenities
  • Other components identified in the trip package

When Travel Bliss offers optional excursions, transfers, activities, upgrades, or other trip enhancements, travelers must follow the applicable booking procedures and deadlines.

Travelers may not independently book the primary accommodations designated for the group and subsequently request to participate as an official Travel Bliss group member.

2. OUTSIDE BOOKINGS & NON-GROUP STATUS

Travelers who independently book their primary accommodations or travel package through another travel advisor, agency, online travel agency, supplier, points program, rewards program, or other third party will not be considered official members of the Travel Bliss group, even when staying at the same property or traveling during the same dates.

Travel Bliss does not book travel using airline miles, hotel points, credit card rewards, certificates, or similar travel currencies unless specifically agreed otherwise in writing.

Travelers booking outside Travel Bliss are not entitled to services or benefits associated with the official group, which may include:

  • Negotiated group rates
  • Group transportation
  • Group excursions or activities
  • Group dining or private events
  • Travel Bliss welcome gifts or swag
  • Special group amenities
  • Pre-departure group assistance
  • Customized group travel information
  • In-destination Travel Bliss support
  • Preferred excursion pricing
  • Promotional certificates or vouchers
  • Other benefits specifically created for the group

Travel Bliss may, at its sole discretion and subject to availability, allow non-group travelers to purchase certain events, activities, or services separately. Participation is not guaranteed.

3. GROUP PRICING & AVAILABILITY

Unless specifically stated otherwise, advertised pricing represents starting prices and is based upon availability, occupancy, room category, contracted inventory, supplier rates, taxes, fees, and other conditions at the time of booking.

Pricing may vary based upon:

  • Single, double, triple, or other occupancy
  • Room or cabin category
  • Departure city
  • Airfare availability
  • Booking date
  • Optional upgrades
  • Additional nights
  • Additional services selected
  • Supplier inventory

A quote, advertisement, or booking page does not guarantee availability until the applicable reservation has been confirmed and the required payment successfully processed.

Once Travel Bliss's contracted or promotional inventory is exhausted, additional travelers may be quoted at the then-current available rate.

4. DEPOSITS & PAYMENT TERMS

A deposit is required to secure participation in a Travel Bliss Group Trip.

Unless expressly stated otherwise in writing, group deposits are non-refundable.

Travelers must adhere to the payment schedule established for their specific trip, which may include:

  • Initial deposit
  • Scheduled installment payments
  • Monthly payments
  • Supplier-required milestone payments
  • Final payment

Payment deadlines are firm.

Travel Bliss cannot guarantee payment extensions because group inventory, contracts, supplier deadlines, and cancellation schedules may require funds by specific dates.

Failure to make required payments may result in cancellation of the reservation and forfeiture of amounts previously paid.

Travelers are responsible for maintaining valid payment information and monitoring communications regarding payment deadlines.

5. ACCEPTED PAYMENT METHODS

Payments must be made electronically using the secure payment method designated by Travel Bliss.

Depending upon the reservation, payment may be processed directly by a travel supplier or through an authorized payment processor.

Accepted methods generally include:

  • Credit card
  • Debit card
  • Prepaid debit card where accepted by the supplier

Unless specifically authorized by Travel Bliss, cash, Cash App, Zelle, Apple Pay, Venmo, or similar person-to-person payment methods are not accepted for group reservations.

When financing services such as Klarna or Affirm are offered, approval, repayment terms, interest, fees, and financing decisions are controlled solely by the financing provider.

6. PAYMENTS BY A NON-TRAVELING CARDHOLDER

If payment is made using a credit or debit card belonging to someone who is not traveling, the cardholder may be required to complete Travel Bliss's Credit Card Authorization Form and provide requested verification documentation.

The cardholder acknowledges that they are authorizing payment toward another person's travel reservation and agrees that the payment is subject to applicable booking terms, cancellation policies, and supplier conditions.

Travel Bliss reserves the right to reject a third-party payment or cancel a reservation when requested authorization cannot be satisfactorily verified.

7. CANCELLATIONS

All cancellations must be submitted to Travel Bliss in writing.

Unless a trip's specific terms state otherwise:

Hotel/Land-Only Reservations

  • Deposits are non-refundable.
  • Cancellation may be subject to a Travel Bliss cancellation fee of $125, in addition to applicable supplier penalties.

Air & Hotel Packages

  • Cancellation after booking may be subject to a Travel Bliss cancellation fee of $250, in addition to applicable airline, hotel, tour operator, or supplier penalties.

Supplier cancellation penalties may increase as the departure date approaches and may ultimately reach 100% of the reservation cost.

Cancellation for any reason does not automatically entitle a traveler to a refund.

Any refund, credit, or future travel credit available will be determined by the applicable supplier terms and/or travel protection purchased.

8. ROOMMATE CANCELLATIONS & OCCUPANCY CHANGES

Package pricing based upon double, triple, or other shared occupancy assumes the stated number of travelers will remain in the room.

If a roommate cancels, the remaining traveler(s) may be required to:

  • Obtain an approved replacement roommate; or
  • Pay the revised occupancy rate, including any applicable single occupancy supplement.

Travel Bliss is not responsible for finding replacement roommates.

A roommate's cancellation does not automatically cancel the remaining traveler's reservation or relieve the remaining traveler of financial responsibility for the revised package price.

9. CHANGES TO BOOKED PACKAGES

Changes or modifications requested after booking may incur a Travel Bliss professional change fee starting at $75 per change request.

Changes may include, but are not limited to:

  • Name corrections
  • Traveler substitutions
  • Flight changes
  • Room or cabin changes
  • Occupancy changes
  • Date changes
  • Transfer changes
  • Adding or removing travel components
  • Reservation restructuring

The Travel Bliss fee will be based upon the complexity of the requested change.

Travel Bliss change fees are separate from any fees, fare differences, penalties, or additional costs imposed by airlines, hotels, cruise lines, tour operators, or other suppliers.

All applicable fees must be paid before the change is processed.

Changes are subject to supplier approval and availability and therefore cannot be guaranteed.

10. TRAVEL PROTECTION

Travel protection is included with certain Travel Bliss Group Trips and offered separately with others. The applicable booking page or proposal will identify whether coverage is included.

Depending upon the specific policy or supplier protection plan, coverage may provide benefits for:

  • Trip cancellation
  • Trip interruption
  • Future travel credit
  • Emergency medical expenses
  • Emergency medical evacuation
  • Travel delays
  • Baggage loss or delay
  • Other covered events

Some plans provide future travel credit rather than a cash refund. Optional upgraded coverage, including cash-refund benefits, may be available for an additional cost.

Travel protection premiums are generally non-refundable once purchased unless the specific policy provides otherwise.

Travelers are responsible for reviewing the actual policy, including covered reasons, exclusions, limitations, deadlines, and claim procedures.

Travel Bliss does not administer insurance claims, determine eligibility, or guarantee that a claim will be approved.

11. DECLINING TRAVEL PROTECTION & ASSUMPTION OF RISK

When travel protection is optional, Travel Bliss strongly recommends that every traveler purchase comprehensive coverage.

A traveler declining coverage acknowledges and voluntarily accepts the financial risks associated with traveling without insurance.

These risks may include losses resulting from:

  • Illness or injury
  • Family emergencies
  • Trip cancellation or interruption
  • Medical emergencies
  • Weather or natural disasters
  • Airline disruptions
  • Missed connections
  • Government actions
  • Baggage issues
  • Supplier insolvency
  • Other unexpected circumstances

Travelers understand that supplier cancellation penalties apply according to the supplier's terms regardless of the reason for cancellation.

To the extent permitted by law, travelers declining travel protection agree to release and hold harmless Travel Bliss, its owners, employees, independent contractors, affiliates, and representatives from financial losses that would otherwise have been eligible for coverage under an appropriate travel protection policy.

12. AIRFARE & FLIGHT ARRANGEMENTS

Airfare is included only when specifically identified as part of the group package.

When airfare is offered through Travel Bliss, travelers must comply with all airline payment, ticketing, baggage, identification, and schedule requirements.

When airfare is not included, travelers are responsible for arranging their own transportation to and from the destination.

Travel Bliss may establish recommended or required arrival and departure windows when group transfers or activities are involved.

Travelers arriving outside designated transfer windows may be responsible for arranging and paying for their own transportation.

Travel Bliss is not responsible for missed transfers, hotel nights, excursions, events, or other services resulting from independently booked flight delays, cancellations, or schedule changes.

13. EXCURSIONS, EVENTS & GROUP ACTIVITIES

Travel Bliss Group Trips may include scheduled activities, excursions, dining experiences, nightlife, tours, transportation, photoshoots, or other special events.

Travelers are responsible for:

  • Reviewing the itinerary
  • Arriving at designated meeting locations on time
  • Following instructions provided by Travel Bliss or suppliers
  • Meeting physical or eligibility requirements for activities
  • Returning to transportation at designated times

Travel Bliss and its suppliers are not required to delay the group because a traveler is late or unavailable.

Missing a scheduled activity due to tardiness, illness, oversleeping, independently arranged activities, transportation issues, or other personal circumstances does not automatically entitle the traveler to a refund or replacement activity.

14. GROUP ITINERARY CHANGES

Travel Bliss reserves the right to modify the timing, order, location, transportation, restaurant, activity, excursion, or other itinerary component when reasonably necessary.

Changes may occur because of:

  • Weather
  • Supplier availability
  • Transportation issues
  • Operational requirements
  • Safety concerns
  • Participation levels
  • Government restrictions
  • Local conditions
  • Circumstances beyond Travel Bliss's reasonable control

Travel Bliss will make reasonable efforts to preserve the overall quality and intent of the experience and, when practical, provide a comparable alternative.

Reasonable itinerary modifications do not constitute cancellation of the trip and do not automatically entitle travelers to refunds.

15. TRAVEL DOCUMENTS & ENTRY REQUIREMENTS

Each traveler is responsible for ensuring they possess all documentation required for travel.

Depending upon the destination, this may include:

  • Valid passport
  • Required passport validity
  • Visa
  • Entry authorization
  • Government-issued identification
  • Health or vaccination documentation
  • Documentation for minors
  • Other destination-specific requirements

The name submitted for the reservation must match the traveler's government-issued travel documentation.

Travel Bliss may provide general information regarding destination requirements; however, travelers remain responsible for verifying and satisfying requirements applicable to their citizenship, residency, destination, and personal circumstances.

Failure to possess required documentation may result in denied boarding or denied entry without refund.

16. TRAVELER CONDUCT & GROUP EXPERIENCE

Travel Bliss Group Trips are shared experiences. Travelers are expected to conduct themselves respectfully toward fellow travelers, Travel Bliss representatives, hotel and resort employees, drivers, guides, vendors, and local communities.

Travel Bliss reserves the right to discontinue assistance or remove a traveler from group activities when behavior involves:

  • Harassment
  • Threats or intimidation
  • Abusive or disruptive conduct
  • Illegal activity
  • Excessive behavior that materially disrupts the group
  • Failure to comply with reasonable safety instructions
  • Conduct that jeopardizes the safety or enjoyment of other travelers

Any costs associated with removal, alternate transportation, accommodations, or other arrangements resulting from a traveler's conduct are the traveler's responsibility.

Removal from an activity or group experience due to conduct does not entitle the traveler to a refund.

17. PERSONAL RESPONSIBILITY & FREE TIME

Travel Bliss Group Trips may include designated free time during which travelers may explore independently.

Activities undertaken outside the official Travel Bliss itinerary are at the traveler's own discretion and responsibility.

Travelers are responsible for returning to designated meeting locations at the required time.

Travel Bliss is not responsible for privately arranged transportation, excursions, dining, nightlife, activities, or other services purchased independently by travelers.

18. SPECIAL ASSISTANCE & ACCESSIBILITY

Travelers requiring accessibility accommodations, mobility assistance, dietary considerations, medical equipment arrangements, or other special services should notify Travel Bliss before booking whenever possible.

Travel Bliss will communicate reasonable requests to applicable suppliers but cannot guarantee accommodations or services controlled by third parties.

Travelers are responsible for determining whether the physical requirements of the destination, accommodations, excursions, or activities are appropriate for their individual needs.

19. PERSONAL EXPENSES & INCIDENTALS

Unless specifically listed as included, travelers are responsible for personal expenses including:

  • Hotel or resort incidental deposits
  • Resort fees payable locally
  • Destination taxes
  • Baggage fees
  • Airline seat assignments
  • Meals and beverages not included
  • Gratuities
  • Spa services
  • Optional activities
  • Room service
  • Mini-bar charges
  • Transportation outside official group arrangements
  • Personal purchases

Travelers should be prepared to provide a valid credit or debit card at check-in when required for incidentals.

20. CHARGEBACK POLICY

By submitting payment, travelers acknowledge that they have reviewed and agreed to these Terms & Conditions, trip-specific terms, and applicable supplier cancellation policies.

Travelers agree not to initiate a credit or debit card chargeback for properly authorized charges that are consistent with these terms.

This includes disputes involving:

  • Non-refundable deposits or payments
  • Properly assessed cancellation penalties
  • Services rendered
  • Change of mind
  • Failure to travel
  • Missed flights, transfers, activities, or accommodations
  • Failure to purchase travel protection
  • Supplier schedule changes
  • Failure to review provided Terms & Conditions

Travel Bliss may challenge improper or fraudulent chargebacks using signed agreements, invoices, payment records, supplier terms, booking records, authorization records, and correspondence.

To the extent permitted by law, Travel Bliss reserves the right to seek recovery of costs, fees, collection expenses, or legal expenses resulting from an improper or fraudulent chargeback.

21. TRAVEL BLISS'S ROLE & LIMITATION OF LIABILITY

Travel Bliss acts as a professional travel advisor, group organizer, host, planner, and booking facilitator.

Travel services are provided by independent third-party suppliers, including airlines, hotels, resorts, cruise lines, tour operators, destination management companies, transportation providers, excursion operators, restaurants, and insurance companies.

Travel Bliss does not own, operate, manage, or control these independent suppliers.

Accordingly, Travel Bliss is not responsible for acts or omissions of suppliers, including:

  • Delays or cancellations
  • Schedule changes
  • Overbooking
  • Lost or delayed baggage
  • Supplier service failures
  • Property conditions
  • Transportation disruptions
  • Weather events
  • Strikes
  • Natural disasters
  • Government actions
  • Other circumstances outside Travel Bliss's reasonable control

Travel Bliss is generally subject to the same supplier policies, restrictions, and remedies as its travelers.

Travel Bliss will provide reasonable assistance when problems arise with services booked through Travel Bliss but cannot guarantee refunds, credits, upgrades, compensation, or any particular supplier resolution.

22. TRAVEL BLISS HOSTING THE GROUP

A Travel Bliss representative may travel with and host certain Group Trips.

Travel Bliss's presence at the destination provides group coordination and reasonable assistance but does not constitute continuous personal concierge, supervision, security, medical assistance, or individual traveler management.

Travelers remain responsible for their own personal decisions, belongings, conduct, health and safety precautions, compliance with laws, punctuality, and participation in scheduled activities.

Travel Bliss representatives are also subject to supplier schedules, destination conditions, transportation disruptions, emergencies, and circumstances outside their reasonable control.

23. COMMUNICATION RESPONSIBILITY

Travelers must provide accurate contact information and monitor Travel Bliss communications before and during travel.

Important information may be communicated through:

  • Email
  • Text message
  • Travel Bliss booking platform
  • Group messaging platforms
  • Electronic travel documents
  • Other designated communication methods

Travelers are responsible for reviewing payment reminders, itinerary updates, meeting times, documentation requests, supplier notices, and final travel information.

Failure to read or respond to communications does not waive payment deadlines, cancellation penalties, meeting times, documentation requirements, or other applicable terms.

24. GROUP MINIMUMS & TRIP VIABILITY

Certain Travel Bliss Group Trips depend upon minimum participation requirements established by Travel Bliss or its suppliers.

If participation falls below the required minimum, Travel Bliss may modify:

  • Accommodations
  • Transportation
  • Excursions
  • Private events
  • Included amenities
  • Group activities
  • Pricing or package structure

If a trip cannot reasonably operate because minimum participation is not reached, travelers will be advised of available options according to applicable supplier contracts and trip-specific terms.

Travel Bliss is not responsible for independently purchased airfare, accommodations, activities, or other arrangements made outside the Travel Bliss package if the official Group Trip is modified or canceled.

25. ACCEPTANCE OF TERMS

By registering for a Travel Bliss Group Trip, submitting a deposit, authorizing payment, or signing the applicable booking agreement, the traveler acknowledges that they have read, understand, and agree to these Travel Bliss Group Participation Terms & Conditions.

The traveler further acknowledges that:

  • Group deposits may be non-refundable.
  • Payment deadlines are firm.
  • Cancellation penalties may increase as departure approaches.
  • Supplier terms and conditions also apply.
  • Roommate cancellations may affect individual pricing.
  • Travel protection is strongly recommended.
  • The traveler is responsible for required travel documents.
  • Group itineraries may require reasonable modifications.
  • Travel Bliss does not control independent travel suppliers.
  • Participation in group activities requires punctuality and appropriate conduct.

These Terms & Conditions may be supplemented by trip-specific booking terms, supplier contracts, invoices, insurance documentation, waivers, and other disclosures applicable to the particular Group Trip.
