Group Contract


Group Booking Contract 

 

Scope of Services

We specialize in managing and securing group travel arrangements, offering professional support to ensure a seamless and enjoyable experience for all travelers. Our services include:
✅ Securing the group travel contract with vendors (hotels, airlines, cruise lines, etc.)
✅ Setting up a customized group booking webpage for participants
✅ Managing all individual and group payments, including direct debit and credit card processing
✅ Securing transfers if requested (airport-hotel, hotel-venue, etc.)
✅ Confirming all travel arrangements 30 days prior to departure
✅ Holding a pre-departure group meeting (virtual or in-person as agreed)


Service Tiers & Fees

Standard Group Service – starting at $150

  • Group setup fee to secure vendor contracts

  • Custom group webpage creation for bookings

  • Payment management (direct debit/credit card)

  • Arrangement of transfers upon request (costs billed separately)

  • 30-day pre-departure confirmation of arrangements

  • 1 x Group meeting (virtual or in-person)

 


Premium Group Service – starting at $250

Includes all Standard Group Service features plus:

  • Second group meeting (for final Q&A or last-minute adjustments)

  • Dedicated group concierge email/phone support (priority response within 24 hours)

  • Personalized itinerary PDF for each traveler

  • Optional group chat setup (WhatsApp, Slack, etc.) for easier communication


Optional Add-ons (priced separately)

  • Airport lounge access coordination

  • Private tour or activity planning

  • Group travel insurance facilitation

  • Printed travel documents mailed to organizer


Payment Terms

  • A non-refundable Group Setup Fee is due upon signing this contract to begin work.

  • Full payment for group services is due 30 days before departure.

  • Additional services and optional add-ons will be invoiced separately.


Cancellation Policy

  • Group Setup Fee is non-refundable.

  • Vendor cancellation policies apply and will be disclosed at booking.

Coordination Fee: $25 per booking
This flat fee covers:

  • Lounge research based on your airport, terminal, and travel schedule

  • Reservation and access coordination

  • Clear entry instructions and itinerary integration

  • Ongoing support in case of changes

🔹 Please Note: This is a setup and coordination fee only. It does not include the lounge’s entry fee, which varies by location and will be billed separately or paid directly by the client.

We handle all the planning—from finding the best local guides to booking private experiences—so you can just show up and enjoy.

Planning Fee: Starting at $35 per activity
This flat fee includes:

  • Research and selection of high-quality, vetted tour/activity options

  • Booking coordination with local providers

  • Custom itinerary integration

  • Group coordination and clear confirmation details

🔹 Please Note: This is a planning and coordination fee only. Activity or tour costs are billed separately and vary by location, group size, and experience type.

Group Travel Insurance Facilitation

Peace of Mind for Every Traveler

Protect your trip—and your group—with the right travel insurance. We assist in securing group or individual policies that cover trip cancellations, medical emergencies, lost baggage, and more. We’ll help you compare options and ensure your travelers are properly covered based on destination, trip type, and travel dates.

Facilitation Fee: $25 per group 
This fee includes:

  • Research and comparison of reputable travel insurance providers

  • Customized policy suggestions based on trip details and traveler needs

  • Support during the application process

  • Coordination of group or individual coverage documentation

🔹 Important Note: This is a facilitation and advisory fee only. Insurance policy premiums are paid directly to the insurance provider and are not included in this fee. We are not licensed insurance agents and do not sell policies directly.

Prefer something tangible? We’ll print and professionally package all essential travel documents and mail them directly to the group organizer before the trip. It’s a thoughtful, organized way to keep everything in one place—and adds a polished touch to your group experience.

Service Fee: $50 per package (U.S. only)
Includes:

  • Printed copies of itinerary, flight confirmations, hotel info, travel tips, and insurance summaries (if applicable)

  • Custom cover letter and trip overview

  • Branded folder or envelope for easy access and organization

  • USPS First Class shipping with tracking
