PNS Travels LLC Terms and Conditions & Hosted Group Trip Agreement

Agreement Overview

This Agreement is between the traveler (“Traveler,” “You,” or “Your”) and PNS Travels LLC (“PNS Travels,” “We,” “Us,” or “Our”).

By submitting payment, authorizing a charge, or participating in a trip arranged by PNS Travels LLC, you acknowledge that you have read, understand, and agree to the terms outlined below.

Emergency Support

PNS Travels LLC provides emergency assistance for travelers who are currently in destination or departing within 48 hours.

Role of PNS Travels LLC

PNS Travels LLC acts solely as a travel advisor and booking agent. We arrange travel services on behalf of independent third-party suppliers including airlines, hotels, cruise lines, transportation providers, and tour operators.

These suppliers are independent entities and are not owned or controlled by PNS Travels LLC.

Accordingly:

• PNS Travels LLC is not responsible for the acts, errors, omissions, or performance of travel suppliers
• Supplier services, schedules, and accommodations cannot be guaranteed
• All bookings are subject to the terms and conditions of the respective supplier

Your legal recourse for service-related issues lies with the supplier, not PNS Travels LLC.

Pricing

Travel prices are subject to change until full payment has been received.

Once full payment is made, prices will not increase except for:

• government-imposed taxes or fees
• supplier-imposed surcharges
• currency fluctuations

PNS Travels LLC reserves the right to correct pricing errors and issue updated invoices if necessary.

Deposits and Payments

A non-refundable deposit is required to secure your booking.

Additional deposits may be required by suppliers.

Final payment is typically due 60 days prior to departure unless otherwise stated.

Failure to make payments by the deadline may result in cancellation and forfeiture of payments made.

Changes and Cancellations

All Hosted Group Trip payments are non-refundable.

As a result, travel insurance, specifically, travel insurance that allows for cancel for any reason, is strongly recommended.

Credit Card Authorization and Chargebacks

By submitting payment, you confirm that you are an authorized user of the payment method.

You agree not to initiate a chargeback for charges that comply with the agreed booking terms.

You agree to contact PNS Travels LLC to resolve any disputes prior to contacting your financial institution.

If a chargeback is initiated improperly, you agree to reimburse PNS Travels LLC for any resulting fees, including administrative and legal costs.

Shared Accommodation Responsibility

If travel is booked based on shared occupancy and one traveler cancels or fails to pay by the required deadline, the remaining traveler(s) are responsible for the full balance. 

For example, if two travelers book a double occupancy trip package and one traveler cancels or fails to pay by the required deadline, the remaining traveler has the option of paying the single occupancy price or cancel as well.

Hosted Group Trip Provisions

The following terms apply specifically to hosted group trips organized by PNS Travels LLC:

Nature of Hosted Trips

Hosted group trips are curated travel experiences designed for group participation.

A PNS Travels host may be present but acts as a coordinator and facilitator, not a tour operator.

Minimum Group Size

Trips require a minimum number of participants.

If the minimum is not met, PNS Travels LLC reserves the right to cancel the trip and refund payments made, excluding non-refundable supplier costs.

Roommate and Occupancy Policies

Group pricing is based on double occupancy.

If your roommate cancels or fails to pay, you may be responsible for the single occupancy rate.

Roommate placement is not guaranteed.

Itinerary, Accommodation, and Activity Changes

Itineraries may change due to factors beyond our control, including weather, supplier availability, safety considerations, or local regulations.

PNS Travels LLC reserves the right to modify the itinerary as needed.

Hotels listed in the itinerary are subject to change and may be replaced with accommodations of similar quality and location.

Activities and excursions may also be modified or substituted with similar experiences of equal value when possible.

These changes do not constitute grounds for refunds.

Late Arrivals and Missed Activities

Travelers are responsible for arriving on time for all scheduled activities.

If you miss any portion of the itinerary, you are responsible for any costs required to rejoin the group.

Missed activities are non-refundable.

Traveler Conduct

Travelers are expected to behave respectfully.

PNS Travels LLC reserves the right to remove any traveler from a trip without refund for disruptive, unsafe, or inappropriate behavior.

All resulting expenses are the traveler’s responsibility.

Host Authority

PNS Travels LLC and its designated host retain full authority to make decisions regarding the itinerary and group experience.

All decisions made by the host are final.

Participation in Group Activities

Participation in group activities is optional unless otherwise stated.

Travelers who opt out are responsible for their own arrangements.

Missed or unused activities are non-refundable.

Travel Documentation and Requirements

Travelers are responsible for obtaining all required documentation, including passports, visas, and vaccinations.

Failure to meet requirements may result in denied boarding or entry, and all associated costs will be the traveler’s responsibility.

Health Requirements

Travelers must comply with all health and entry requirements imposed by destinations or suppliers.

Additional costs are the traveler’s responsibility.

Flight Schedules

Airlines may change schedules without notice.

Travelers must reconfirm flights and arrive on time.

Failure to do so may result in loss of reservation.

Additional Fees

Suppliers may charge additional fees such as resort fees, taxes, or incidentals payable at destination.

Photography and Media

Photos and videos may be taken during trips.

By participating, you grant PNS Travels LLC permission to use media for marketing and promotional purposes.

Assumption of Risk

Travel involves inherent risks.

By participating, you voluntarily assume all risks associated with travel.

Force Majeure

PNS Travels LLC is not liable for disruptions caused by events beyond our control, including but not limited to natural disasters, pandemics, government actions, or transportation disruptions.

Refunds are subject solely to supplier policies.

Limitation of Liability

PNS Travels LLC is not liable for any loss, injury, delay, or damage arising from supplier actions or external events.

Liability, if applicable, is limited to the amount paid for travel services.

Governing Law

This Agreement is governed by the laws of the State of Maryland.

Any disputes shall be resolved in Maryland courts.

Acceptance of Agreement

By submitting payment, you acknowledge and agree to all terms outlined in this Agreement.
