For Payments:
By giving us authorization to make a payment, you grant permission to debit your account for the amount indicated by the indicated date. This permission is for a single transaction only and does not provide authorization for any additional unrelated debits or credits to your account. You are also stating that you understand all of the terms and conditions regarding this booking including cancellation policies, applicable penalties, and the availability of travel insurance.
General Information:
It is the traveler's responsibility to have proper travel documents for this trip. In general, for international travel, excluding cruises that begin at and return to the same U.S. port, U.S. citizens must have a valid passport.
For cruises that begin at and return to the same U.S. port, U.S. citizens must have a valid passport and/or original state-issued birth certificate with a raised seal and photo ID. Non-U.S. Citizens and resident aliens should contact their respective embassies and U.S. immigration for applicable regulations.
Travel Insurance:
We strongly recommend purchasing travel insurance within 14 days of your initial deposit. If you have obtained Travel Insurance, your vacation is now protected. For those who choose not to purchase Travel Insurance, we highly advise reconsidering this option. Please liaise with your Personal Vacation Planner if you wish to add Insurance. Additionally, it is essential to review the cancellation policies of your airline, cruise, hotel, or tour company in consultation with your Vacation Planner.
Documentation:
Your designated Travel Professional will inform you whether you will receive paper documents or electronic versions (PDF or Email). Generally, final travel documents will be available approximately 2 to 3 weeks before your departure date. If these documents are not received within the stipulated timeframe, kindly contact your travel consultant.
Upon receipt of your tickets and all accompanying documentation, it is the sole responsibility of the passengers listed on our invoices to meticulously review and confirm all details. If corrections or amendments are necessary, promptly notify your Personal Vacation Planner.
Please be aware that no refunds will be issued due to improper documentation leading to travel denial. Passengers are subject to the policies of cruise lines, airlines, and other travel companies.
Proof of Citizenship Documentation:
All U.S. passengers leaving the U.S. are required to furnish proof of citizenship. It is the responsibility of all travelers to possess appropriate travel documents, including but not limited to: valid passports, certified or original birth certificates along with a matching government-issued photo ID, Green cards and/or visas for destination(s) and re-entry into the United States.
Traveling with children also necessitates proper authorization. U.S. Citizens can find information at http://travel.state.gov.
Non-U.S. citizens must communicate with the consulates of the respective countries being visited. For comprehensive Passport Requirements, refer to the US Department of State Website at http://travel.state.gov/index.html.
Travel Subject to Change:
All travel is contingent upon availability and may be subject to itinerary modifications, work stoppages, schedule adjustments, or other unforeseen changes.
We recommend confirming all airline flights 24 hours before departure due to the dynamic nature of the airline industry.
As the industry is prone to daily changes, we regret to inform that we have no control over situations such as changes, delays, or cancellations in flights, accommodations, car rentals, or cruises.
We function solely as sales agents for travel suppliers and are not accountable for their actions or omissions.
Quoted Prices:
Unless otherwise specified, all prices are quoted per person based on double occupancy, for designated stateroom categories, and are subject to availability at the time of booking for select departure dates.
Airfare, transfers, port charges, and government fees are additional, unless explicitly stated.
Rates are liable to change.
Offers are capacity-controlled and may be retracted at any time without prior notice.
Some restrictions and blackout periods could apply.
We assume no responsibility for errors or omissions stemming from the transfer of information from third parties.
Final payment will typically be charged to the credit card on file at the time of final payment unless instructed otherwise.
Supplemental Charges Opt-In Agreement:
The carrier reserves the perrogative to levy supplemental charges owing to unforeseen events such as fuel price escalation. Such supplementary charges, as determinedat the carrier's discretion, could be applicable to both existing and new bookings, regardless of payment status.
Notices:
Payments for hotel and car rental are due at the culmination of the stay or rental, unless otherwise specified.
For air and cruise bookings, passports are obligatory for all travelers flying to or from the United States.
Valid government-issued identification is mandatory during check-in.
All passengers must be booked using legal names as per United States Government regulations.
Tickets:
Cruise lines no longer dispatch paper documents via mail. All documents are now electronic and are typically accessible for printing approximately 3 weeks prior to sailing.
Luggage tags will be available and provided at the embarkation pier.
Flights and Air Deviations:
Air carriers and flight times for passengers who have purchased airfare directly from the cruise line are determined by the cruise line. Exact flight details are generally available about 15-30 days before sailing. Seat assignments are usually not provided by most cruise lines.
Changes or deviations in airfare may be possible for a fee and typically require direct communication with the cruise line. Airfare rates can fluctuate until the reservation is fully paid.
Traveling with Children:
Any adult traveling with a child under 18 years of age who is not their own child might be required to obtain a notarized statement from the legal guardian or parent. This statement should authorize the child to travel outside the U.S. and name the accompanying adult as a temporary guardian.
Cabin Assignments:
When reserving a cabin as "TBA" (to be assigned) or as a "Guarantee," cabin allocation is generally determined by the cruise line on the day of sailing. Occasionally, some cruise lines might assign cabins before the departure day.
Dining Arrangements:
Your dining confirmation serves as a request rather than a guarantee. It is advisable to reconfirm your dining preference with the Maitre'd upon embarkation on the day of sailing.
Gratuities and Tips:
Gratuities on most cruises typically range from $15 to $20 per person per day and are automatically added to your onboard account. For guests in suites, there might be a slight increase of $1 to $3 per person per day.
Check-In and U.S. Immigration:
U.S. Immigration mandates completion of Online Check-In with the cruise line at least 72 hours before your sailing (48 hours for sailings departing outside the United States or Canada). Prior to Online Check-In, ensure you have your reservation number, government-approved identification documents, and emergency contact information for each guest.
If you encounter any difficulties during the Online Check-In process, the cruise line can be directly contacted for assistance.
Government regulations now necessitate cruise lines to submit final departure manifests at least 60 minutes prior to sailing. Guests who haven't completed Online Check-In must undertake this procedure at the pier a minimum of two hours before the scheduled sailing time.
All guests must be checked-in and aboard the ship no later than 90 minutes prior to the scheduled sailing time to be permitted to sail.
Hotel Booking General Policies:
The total price includes Tax Recovery Charges & Service Fees. A government-issued photo ID is obligatory. Name alterations on reservations are not permissible post-booking completion.
Hotel Policies:
Hotel rates are based on double occupancy, unless otherwise specified. Additional charges might apply for extra persons or children and are payable directly to the hotel upon checkout. Incidental charges, such as parking fees, telephone usage, room service, mini-bar consumption, and in-room movies, will be billed directly by the hotel at checkout. Bed preferences, smoking choices, and in-room amenities are contingent upon hotel availability. Guests must meet the age requirement, generally ranging from 18 to 21 years (subject to individual hotel policy), during check-in unless accompanied by a parent or guardian.
Hotel Cancellation and Refunds:
Cancellation or modification of reservations will incur a 100% penalty, equivalent to the total cost of your stay for each room. No refunds are granted for unused nights, regardless of delayed check-in or early check-out.
Event Tickets:
Event tickets are not available on the ship. This is the policy of all cruise lines.
We reserve the right to allow our entertainers to make the decision to provide additional entertainment onboard the ship when requested by the cruise line or resort. This may include an event open to anyone.
If an event ticket is required for your private events then we are planning on you being there and after you sign up, we make the appropriate accommodations. Event tickets are non-refundable after final payment date for any reason if you cancel. Event tickets may be transferable if the cruise line cancels and a new cruise date is selected for the even. By signing the terms and conditions, you are stating that you understand that the Event Tickets are nonrefudable after final payment date, are not covered by insurance, and you understand our Refunds, Chargebacks, and Adjustment conditions.
Entertainment lineup may change prior to final payment date. If an entertainer or guest host cancels after the Final Payment Date, we will not be liable for refunds requested by participants.
Other Disclaimers:
While we’ll make every reasonable effort to inform you of details regarding your trip, you are responsible for all aspects of your travel including requirements related to Covid-19. Acknowledgment of Vendor Terms and Conditions:
By engaging in any travel or event coordination services with Cool Panda Travel And Event Coordination, you explicitly agree to thoroughly read and understand the terms and conditions set forth by the various vendors, including airlines, cruise lines, hotels, and tour operators.
It is your responsibility to familiarize yourself with and abide by the terms and conditions stipulated by these vendors, as they directly govern the details of your travel arrangements.
Refunds, Chargebacks, and Adjustments:
All refund or adjustment claims must be submitted to Cool Panda Travel And Event Coordination in writing.
• Claims must be accompanied by comprehensive details and verifiable payment documentation.
• Refunds may not be applicable if changes or cancellations are made after booking confirmation or payment.
• Refunds are contingent upon the terms and conditions of the respective suppliers.
• Suppliers retain the prerogative to withhold refunds in instances of cancellation due to actual or potential terrorist events, political unrest, health concerns, pandemics, or similar circumstances. It is imperative to review supplier terms and conditions meticulously.
• You waive any entitlement to a chargeback, except in cases of fraud, including circumstances of Force Majeure (as described below).
• In the event of an unauthorized chargeback, reverse charge, or recollection attempt on a travel payment already processed, Cool Panda Travel And Event Coordination reserves the right to levy additional costs, fees, and expenses associated with such actions, including legal fees.
Force Majeure:
Cool Panda Travel And Event Coordination and its suppliers will not be held liable for any failure or delay in performing services due to circumstances beyond their reasonable control, including but not limited to natural disasters, governmental actions, war, civil unrest, pandemics, health crises, acts of terrorism, strikes, labor disputes, or similar events.
By proceeding with your travel and event coordination plans, you explicitly agree to these terms and conditions, inclusive of the acknowledgement of vendor terms, and the stipulations regarding refunds, chargebacks, adjustments, and Force Majeure.
Your compliance with these terms is fundamental to the successful execution of our services.

For Cancellations:
All cancellations must be documented by filling out our cancellation form.
By filling out and submitting the form, you authorize The Cool Panda to cancel your reservation regardless of the vendors refund policies. You understand that your reservation may not be eligible to be reinstated and that if you choose to reinstate your reservation, it may be for a higher price. You understand that once your reservation is canceled, your relationship with The Cool Panda ends. You will be responsible for dealing with any vendors and/or financial institutions.
Cancellation Form
Your Confirmation Of Receipt:
Receipt of this document confirms that you are aware that THE COOL PANDA offers retail travel services to customers which are provided by separate and independent vendors of travel services.
THE COOL PANDA does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, customer agrees that THE COOL PANDA acts only as agent for the client in acquiring transportation, hotel accommodations, sightseeing, and other privileges, or services for the clients’ benefit, and on the express condition that THE COOL PANDA shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection there with.
These terms and conditions outline the legal parameters of your engagement with Cool Panda Travel And Event Coordination. By proceeding with your travel and event coordination plans, you acknowledge and accept these terms and conditions in full.
