Booking Terms and Conditions
Deposits and Payments: A deposit is required at the time of booking to secure your reservation. Prices may change until the required deposit is paid. We accept various payment methods, including credit cards and bank transfers however, cash and checks are not excepted. Your final payment due is listed on your invoice. If final and full payment is not received by the applicable due date, reservations are subject to cancellation and deposits may be forfeited. As a result of such cancellation, Moonglade Travel and third-party supplier cancellation penalties will apply.
Upon receipt of your payment authorization, Moonglade Travel will make the payment arrangements with the corresponding Suppliers on your behalf. Payment authorization received outside of our normal business hours (8am - 3pm, Monday - Thursday) will be processed on the earliest business day.
Change Fees: If you decide to change any portion of your confirmed reservations prior to departure or during your trip, we will attempt to assist you. Changes to your reservations are subject to availability and may incur change fees. Due to supplier (s) policy(ies) or time restraint(s), certain bookings may not be changed. Administrative charges of $25 per change/per person are required depending upon the circumstances of the request. These fees are in addition to any change fee penalties that may be imposed by the travel supplier.
Cancellation Policy: We understand that things happen. When a reservation is canceled by the client, this results in a financial cost to our agency arising from the loss of commission that would otherwise be available as compensation to our agency and our advisors for their time and expertise in advising on and booking travel arrangements on a customer’s behalf. Canceled reservations will impose a trip cancellation fee of $100 per person with a maximum cancellation fee of $500.00 per booking. Cancellation fees will be charged to the credit card you authorized to pay for travel services. This fee is separate from the supplier cancellation fees. Supplier policies regarding cancellation fees will be relayed in your trip documents.
Moonglade Travel, LLC requires payment of the above cancellation fee prior to submitting a separate cancellation request to the travel supplier. Each adult who has made payments toward the reservation balance and wishes to cancel must submit a separate cancellation request. All cancellation fees by all parties listed on the same reservation wishing to cancel must be received before a cancellation request will be submitted to the supplier. These fees are in addition to any cancellation penalties that may be imposed by the travel supplier. These fees are also separate from the cost of the trip. An invoice will be emailed to each party listed on the reservation for payment.
Any refunds (if any are due to you) for payments will be processed by the travel supplier if payments were processed directly through them and/or your travel protection if you elected to purchase it based on the terms and conditions. All payments processed directly through Moonglade Travel, LLC are nonrefundable and should be included under your travel protection plan in order to receive your money back per their terms and conditions. Cancellation fees charged by Moonglade Travel, LLC may or may not be covered by travel protection plans. Moonglade Travel, LLC is not responsible for any cancellation fees charged by the travel supplier.

Credit Card Bookings: If you choose to pay by credit card, please be aware that additional credit card fees may apply. We ensure secure handling of your payment information. While we do accept major credit cards including Visa, Mastercard, American Express, and Discover, clients must provide us with a click or signed authorization for every transaction for their trip. The authorization is an agreement for us to charge your card and an acknowledgment and agreement to these terms and conditions including the cancellation terms. As such you agree not to make any improper chargebacks.
Required Identification: Passports are required for international travel and some countries require a visa. Passports are required to be valid for at least 6 months after the date of travel. You must provide valid and correct identification for all travelers, including passports, visas, and any other required documents. It's your responsibility to ensure that all travel documents are accurate and up-to-date.
Airline Confirmation, Check-in, Seat Assignments: Airline schedules and seat assignments are subject to change by the airline. It's recommended to reconfirm flights and check-in directly with the airline at least 24 hours in advance for domestic flights and 72 hours in advance for international flights. Failure to confirm international flights or failure to use any portion of an airline reservation may result in automatic cancellation by the airline for all continuing and return flights. If you miss a flight, contact us and the airline immediately. Rebooking is subject to availability, and additional fees may apply.
Travel Insurance: For your protection, we strongly recommend purchasing comprehensive travel insurance to protect against unexpected events, such as trip cancellations, medical emergencies, or travel disruptions. If travel protection is declined, you acknowledge and accept liability for any cancellation penalties, damages, and/or out-of-pocket expenses incurred.

Disclaimer of Liability: Moonglade Travel, LLC acts as a sales and booking agent for any airline, hotel, car rental, tour operator, cruise line, or another service provider which requires that you agree to the terms in this Agreement. While we strive to provide accurate information, we are not liable for errors, omissions, or changes made by suppliers. We are also not responsible for any personal injury, property damage, or other losses incurred during the trip. While we pride ourselves on selecting top-quality suppliers, no undertaking, guarantee, or warranty is given or shall be implied as to the fitness or condition of the supplier’s accommodations, transportation, or any food, drink, medicine, or provisions supplied.
