Terms & Conditions

By submitting payment, authorizing charges, approving an invoice, enrolling in a payment plan, or participating in this experience, all travelers acknowledge that they have read, understood, and agreed to the following Terms & Conditions.

Booking & Payment Information

A non-refundable $300 deposit per person is required to secure your reservation.

Your deposit includes:

• $200 applied toward your trip balance
• $100 paid directly to Traces of Sunlight Travel for trip curation, planning, coordination, and handling of trip details

The Traces of Sunlight Travel curation fee is earned upon booking and is non-refundable.

Monthly payment plans are available.

• Payments begin the month after your deposit is made
• Final payment is due August 1, 2027
• Travelers are responsible for making payments on time
• Larger lump sum payments may be made at any time

Late or missed payments may result in cancellation of your reservation and loss of monies paid.

Travelers are responsible for maintaining valid payment methods and sufficient funds.

Traces of Sunlight Travel is not responsible for:

• Declined cards
• Fraud holds
• Expired cards
• Insufficient funds
• Bank restrictions
• Missed payments
• Pricing increases caused by delayed payments

All pricing is subject to change until deposit is received and reservation is confirmed.

Cancellation Policy

All cancellation requests must be submitted in writing.

Cancellation penalties are as follows:

• 60–31 days prior to departure: 40% cancellation fee
• 30–7 days prior to departure: 75% cancellation fee
• 6 days to 72 hours prior to departure: 100% cancellation fee (No Refund)

Additional Important Notes:

• Deposits are non-refundable
• The $100 Traces of Sunlight Travel curation fee is non-refundable
• No refunds will be issued for missed flights, missed tours, unused services, or early departures
• Refund timelines are controlled entirely by the supplier

Travel insurance is strongly recommended.

Unauthorized chargebacks or payment disputes for valid authorized charges may result in:

• Cancellation of travel services
• Collection efforts
• Removal from future Traces of Sunlight Travel experiences
• Submission of signed agreements, invoices, and payment records to financial institutions

Travelers agree to attempt resolution directly with Traces of Sunlight Travel prior to initiating disputes with financial institutions.

Flights, Transportation & Scheduling

Each traveler is responsible for booking their own international and domestic flights.

Travelers will need:

• Arrival into Bangkok (BKK)
• Bangkok → Chiang Mai (CNX)
• Chiang Mai → Phuket (HKT)
• Return from Phuket (HKT) back to their home city

Flights are NOT included.

Traces of Sunlight Travel does not book or manage flights but may provide recommendations and coordination assistance.

Travelers are responsible for:

• Arriving to airports on time
• Monitoring schedules and flight changes
• Understanding local time zones
• Properly accounting for meeting times and schedule updates
• Managing their own luggage and baggage fees

Domestic airlines within Thailand may have stricter baggage limitations than U.S. airlines.

Traces of Sunlight Travel is not responsible for:

• Flight delays
• Missed flights
• Missed connections
• Airline schedule changes
• Baggage issues
• Rebooking fees
• Independent transportation arrangements
• Additional costs caused by traveler delays or negligence

This itinerary includes multiple flights, transfers, tours, and scheduled activities.

The group will not be delayed for travelers who:

• Oversleep
• Wander away from meeting locations
• Miss departure times
• Fail to monitor schedules
• Arrive late repeatedly

Any costs associated with reconnecting with the group are solely the traveler’s responsibility.

International travel may require flexibility. Flight delays, weather, traffic, operational changes, supplier issues, or safety concerns may require itinerary adjustments.

Traces of Sunlight Travel reserves the right to make reasonable itinerary modifications when necessary.

International Travel Expectations

Thailand is a beautiful country with a rich culture, different customs, incredible food, and experiences that may feel very different from what many travelers are used to in the United States.

Travelers are encouraged to approach this experience with flexibility, patience, cultural respect, and an open mind.

Food preparation styles, flavors, ingredients, seasoning levels, dining customs, smells, environments, and service styles may differ significantly from what travelers are accustomed to in the United States.

Travelers understand that this is part of the beauty of international travel.

Repeatedly sending food back, demanding American-style preparation, or disrespecting local food, customs, environments, or cultural differences is strongly discouraged.

Travelers are expected to remain respectful toward the local culture, restaurants, staff, vendors, customs, and traditions throughout the experience.

Restroom conditions in more rural or less developed areas may also differ from what travelers are accustomed to in the United States.

Some restrooms may:

• Not provide toilet paper
• Have limited supplies
• Have strong smells
• Include squat toilets in certain areas
• Have varying cleanliness standards

Travelers are strongly encouraged to carry:

• Toilet paper
• Flushable wipes
• Hand sanitizer
• Tissues
• Personal hygiene items

By participating in this trip, travelers acknowledge they are being properly forewarned regarding international travel conditions and cultural differences.

Travelers acknowledge this is an international trip involving:

• Long travel days
• Multiple layovers
• Long bus rides
• Extensive walking
• Different foods and preparation styles
• Different smells and environments
• Different cultural norms
• Different restroom conditions
• Different hotel standards and room sizes

There should be no complaints regarding cultural differences, food preparation styles, smells, transportation times, weather, or international travel conditions, as travelers are being properly forewarned in advance.

International accommodations may differ from hotels in the United States.

Room bedding configurations may vary and are not guaranteed. Rooms may include:

• One bed
• Two separate beds
• Beds pushed together
• Different mattress sizes than expected in the United States

Specific bedding requests are subject to hotel availability.

Air conditioning systems, water pressure, Wi-Fi quality, internet speeds, and utilities may operate differently internationally.

Traces of Sunlight Travel is not responsible for:

• Slow Wi-Fi
• Connectivity interruptions
• App failures
• Temperature preferences
• Hotel utility differences
• Missed photo opportunities due to crowds, lighting, timing, weather, or local conditions

Travelers understand that enjoyment of the trip may vary based on:

• Weather
• Fatigue
• Jet lag
• Group dynamics
• Personal mood
• Culture shock
• Personal expectations

No refunds or compensation will be issued based on dissatisfaction related to personal preferences, vibes, aesthetics, crowds, food, weather, music, atmosphere, or individual expectations.

Weather conditions, including rain, may affect certain activities and excursions. Refunds will not be provided due to weather-related conditions or itinerary adjustments made for safety or operational reasons. Travelers are encouraged to pack accordingly for changing weather conditions. 

Traveler Responsibilities & Conduct

Travelers are expected to conduct themselves respectfully toward:

• Other travelers
• Tour guides
• Hotel staff
• Transportation staff
• Vendors
• Local residents

This is a curated group experience centered around positivity, peace, flexibility, and cooperation.

Bullying, harassment, repeated negativity, excessive intoxication, disruptive behavior, smoking violations, marijuana odors, vaping violations, or drama may result in removal from activities or the group experience without refund.

Travelers participating in nightlife, bars, clubs, independent exploration, or activities outside the itinerary do so at their own discretion and risk.

Traces of Sunlight Travel is not responsible for:

• Personal decisions
• Romantic encounters
• Alcohol-related incidents
• Independent transportation choices
• Independent activities
• Traveler disagreements
• Emotional disputes
• Hurt feelings
• Personality conflicts
• Personal compatibility issues between travelers

Travelers sharing accommodations are expected to maintain reasonable cleanliness, hygiene, and shared-space courtesy.

Traces of Sunlight Travel does not guarantee roommate compatibility, sleeping habits, cleanliness standards, schedules, personalities, or lifestyle preferences.

Travelers requesting accommodation changes after travel begins are responsible for all additional costs associated with those changes.

Travelers are solely responsible for ensuring they have adequate spending money for:

• Meals not included
• Shopping
• Transportation
• Emergencies
• Gratuities
• Optional activities
• Personal purchases

Repeatedly asking other travelers for money, loans, favors, or financial support is strongly discouraged.

Traces of Sunlight Travel is not responsible for borrowed money disputes, unpaid debts between travelers, or personal financial issues.

Travelers are also expected to use maturity and discretion when posting on social media.

Posting private disputes, arguments, or intentionally negative content involving the group experience may result in removal from future Traces of Sunlight Travel trips.

Health, Safety & Legal Responsibility

Travelers are solely responsible for ensuring they are physically capable of participating in this experience.

This trip includes substantial walking, stairs, uneven terrain, crowded areas, and active touring days.

Travelers with mobility concerns should carefully consider whether this trip is appropriate for them.

Travelers are responsible for:

• Their own medical needs
• Adequate medication supplies
• Verifying medication legality in Thailand
• Recommended vaccines and health preparation
• Carrying medications properly

Travelers are encouraged to keep medications in original labeled containers.

If a traveler becomes ill or injured during the trip, all medical expenses and related costs are solely the traveler’s responsibility.

Travel insurance with medical coverage is strongly recommended.

Travelers are expected to comply with all local laws, customs, immigration requirements, and governmental regulations.

Travelers are strictly prohibited from bringing illegal drugs, marijuana, gummies, CBD products, or controlled substances into Thailand.

Thailand has strict drug laws.

Traces of Sunlight Travel will not provide assistance for:

• Arrests
• Detainment
• Questioning
• Customs issues
• Immigration issues
• Legal consequences
• Confiscated items
• Government decisions regarding entry or denial into Thailand

Travelers are solely responsible for:

• Passports
• Travel documents
• Customs compliance
• Immigration requirements
• TDAC completion
• Emergency contact information

Passports must:

• Be valid for at least 6 months beyond arrival
• Have at least one blank page
• Not be torn, damaged, worn out, or expired

No refunds will be issued for denied boarding or denied entry due to improper travel documentation.

Travelers are strongly encouraged to keep copies of important travel documents stored separately.

Host Responsibility & Group Experience

Traces of Sunlight Travel serves as the curator, organizer, and host of the overall group experience.

Travelers understand this is a shared group trip involving different personalities, schedules, preferences, and activity levels.

The host may not always be physically present with every traveler at all times.

Travelers acknowledge the host is not functioning as:

• A full-time concierge
• A personal assistant
• A therapist
• A 24-hour attendant

Travelers are responsible for their own:

• Behavior
• Decisions
• Punctuality
• Spending
• Emotional expectations
• Personal choices

Travelers who voluntarily separate from the group itinerary or activities do so at their own discretion and risk.

Traces of Sunlight Travel is not responsible for travelers who become separated from the group or for costs incurred during independent exploration.

Force Majeure / Uncontrollable Events

Traces of Sunlight Travel shall not be held responsible for delays, cancellations, interruptions, losses, injuries, or changes caused by circumstances beyond reasonable control, including but not limited to:

• Weather
• Natural disasters
• Airline disruptions
• Government actions
• Pandemics
• Political unrest
• Supplier shutdowns
• Transportation interruptions
• Strikes
• Civil disturbances

No refunds are guaranteed for circumstances outside the control of Traces of Sunlight Travel.

Photography & Media Release

Photos and videos may be taken during the trip for promotional and social media purposes unless written opt-out is submitted before departure.

Acceptance of Terms

By submitting payment, traveler confirms:

• Acceptance of all Terms & Conditions
• Understanding of cancellation penalties
• Responsibility for travel documents
• Understanding that international travel involves risks and unexpected changes
• Agreement to supplier rules and policies
• Responsibility for personal behavior and decisions throughout the experience
