 Opal&Finch is a full-service travel agency and we are happy to assist with your flights.  We charge a $50 per ticket fee for this service to cover the cost of issuing tickets through our consolidators.

Travel Insurance is highly encouraged for all international travel.  $375 is an estimate and not the final cost.  We will send a travel insurance quote upon receipt of your deposit.  Travel insurance rates are based on age at the time of travel and the price of the trip.  We use third-party insurance as this is the most flexible for coverage and claims.  

Travel insurance is most often between 5-6% of the total trip cost and slightly higher after you reach 60 years of age when the rates average closer to 8%.  

To include pre-existing medical conditions travel insurance policy must be purchased within 21 days of deposit.

We now offer MedjetAssist and MedjetHorizon to our clients this is different than regular travel insurance and is specific to medical transport costs, or for medjetHorizon extraction costs. 

MedjetAsssit: If you become hospitalized internationally or domestically - 150 miles or more from home - Medjet will arrange medical transportation to a home-country hospital of your choice for inpatient care. All you pay is your membership fee. With medical transport costs ranging from $30,000 to over $180,000, why risk it?

Opal&Finch Client Agreement  

When you retain Opal&Finch to help plan your travel, you're hiring a professional travel advisor.  You get the benefit of our skill, experience, and training, our professional relationships, and our industry connections.  Opal&Finch professional consulting services include travel arrangements, reservations, ticketing and traveler support for air, rail, and lodging, car rental which includes arrangement, booking, ticketing, destination services, documentation, and research for national and international itineraries. 

Once you agree to obtain our services, a non-refundable travel consulting fee will be charged and paid to Opal&Finch. This professional consulting and design fee is a fee for services to be rendered.  Payment of the consulting and design fee is required prior to being placed on the Opal&Finch Design Calendar.

Opal&Finch is dedicated to their clientele and every reasonable effort will be made for their satisfaction. The traveler understands and acknowledges that unforeseen events and circumstances (i. e. weather, political unrest, foreign transportation delays) may occur which is out of the control and of no fault of Opal&Finch or its advisors.

Emergencies can happen when you least expect them.  Opal&Finch highly recommends that all clients purchase a travel insurance policy to protect their financial investment in their vacation.  

  1. Travel insurance can protect you in the event of Trip Cancellation, Trip Delay, Trip Interruption, Missed Connection, Baggage Loss, Theft, or Damage, Baggage Delay, Emergency Medical, and Dental Expenses, and Emergency Medical Transportation, among other unforeseen circumstances
  2. For you to obtain coverage for certain pre-existing conditions, your policy must be purchased at the time of booking or shortly thereafter, depending on the terms of the policy. Opal&Finch travel advisors are not registered insurance agents and cannot legally provide specific advice or information regarding insurance. 
  3. Cruise lines, airlines, hotels, and tour operators all charge high penalties for cancellation, ranging from the full deposit to no refund at all, and, most health insurance policies will not cover you when you are out of the country.  
  4. Opal&Finch advisors are not registered insurance agents and do not sell insurance.  We will secure a quote for travel insurance from one of our suppliers on your behalf, and if Opal&Finch does not, or is not legally able to secure coverage on your behalf, it is our strong recommendation that you purchase a policy on your own.

By submitting this form, I acknowledge that Opal&Finch has recommended travel insurance protection to me.  Should I choose to not purchase such a policy, I accept all responsibility for declining to secure coverage.

Travel should always be a journey that’s remarkable and filled with joy. This is something I, and the team, strive to achieve for every single travel day you trust us to design. We are passionate about travel and work hard to design trips that exceed expectations, have loads of added value in unexpected ways, and bring about moments that are life-changing. We really want you to return home refreshed and rejuvenated.  

We want to be upfront and clear about the expectations of working together.  So, there is some legal fine print that you need to read and agree with. If you have any questions or concerns about any of the following, let me know. If not, thanks for your prompt acknowledgment and agreement.

CLIENT SERVICES AGREEMENT

Both parties (that’s you, the primary traveler, along with and on behalf of any additional travelers in your party and/or responsibility, the traveler & me, Martha Day / Case by Case Travel LLC d/b/a Opal&Finch - the travel designer, along with any company representatives authorized to act on my behalf or on behalf of the Company) agree to respectfully abide by the terms of this Agreement. 

If these terms are unacceptable, do not sign this document. Please contact me so that we can mutually determine if Opal&Finch is the best team to design your upcoming travel.

Fundamental Values of this Agreement

  • I agree to design a vacation for you to the best of my professional ability that meets your unique wants and needs as you have informed me of them. This includes comprehensive itinerary design, booking, and project management as needed and agreed upon at the time of retention.
  • You understand and appreciate that I focus on delivering quality experiences that closely align with your unique wants, needs, and budget without compromising the integrity of my brand standards. I pride myself on my ability to add value both before and during your trip.
  • I do not bargain shop, compete with online deals or advertised specials, or book through any vendors, suppliers, tour operators, or service providers that I am uncomfortable working with for any reason. I have sole discretion in this matter as it ultimately is a reflection of the integrity of my business. Your trust in my expertise is appreciated. 
Itinerary Development: 
  • I reserve the right to charge a non-refundable planning fee in advance of doing any itinerary development, creating quotes, or booking travel components. If you're reading this, I've already informed you of my retainer. If this is a surprise to you, there is not a fee associated with your trip (but there could be in the future). This fee is applicable toward payment for my professional services only and will not be considered payment or partial payment for any travel components (flights, hotel, etc.). My planning fee is always considered non-refundable.  
  • Some people need options, so I will make you up to 3 rough itineraries for the agreed-upon destination(s)/region(s) based on the information we’ve discussed. Additional modifications of a significant nature may incur an additional charge. *Note: Custom itinerary development takes an enormous amount of time in order to get it right and avoid future mistakes. I have a responsibility to be fair to all of my clients and not allow one project to monopolize all of my time. I am happy to work out a different arrangement with you if you require extended services.
  • Rough Itineraries may or may not specify exact properties, flights, services, or activities as these cannot be confirmed or guaranteed until booking. Everything in a proposal is always subject to change based on availability and price at the time of booking.
  • I work hard to build relationships with quality service providers (i.e. the people on the ground who make your trip go the way it's supposed to go) who I know will take care of my clients. As in any industry, these relationships necessitate contractual agreements containing strict confidentiality clauses. Therefore, I am unable to break down pricing on itineraries and vacation packages. I am happy to re-package your itinerary at any time.

 Cooperation:

  • You agree to inform me of any budget restrictions and personal non-negotiables BEFORE I begin working on your itinerary. Likewise, if I believe your expectations are unrealistic, I will do my best to tell you BEFORE accepting a planning fee from you.
  • I generally have a waitlist of clients. Receipt of the planning fee reserves your place on my workflow but does not imply immediate action. My project schedule is 100% at my discretion.
  • You agree to acknowledge and respond as quickly and fully as possible to my questions as they arise during the initial design process(before I submit a proposal to you. Please keep in mind that there are a lot of moving parts and hard-working people spread across different time zones who may be waiting on your response. Any delay slows down the entire process.
  • If you are ever dissatisfied with my work for any reason, please address your concerns to me DIRECTLY as quickly as possible. I will earnestly make every effort to constructively resolve the matter.
  • I will provide you with all necessary travel documents and your final itinerary 10-14 days before departure unless otherwise specified.
  • Either I or a member of my team will assist you with all reasonable concerns and requests before, during, and after your vacation to the best of my/our abilities. We do our best to anticipate all of your needs but feel free to communicate any time that we can be of service.
  • You agree to respect my time, energy, work, and intellectual property as well as your own investment by thoroughly reading the information I give you about your trip—particularly your travel documents. 
Money Matters:
  • All estimates and quotes are subject to change based on price and availability at the actual time of booking. I apologize in advance for any frustration this may cause, but there is no way around it.
  • If you need to change or cancel any trip components after they are booked, you will be subject to any and all related fees before any action will be taken by the Company. I reserve the right to charge a fee of $250 per person for cancellations & significant changes made after deposit because there is a significant workload associated with them which is not covered under the cost of my retainer. Please ask if you have questions about this! Travel insurance may or may not cover these costs or the full cost of your trip cancellation regardless of the reason.
  • In rare cases, your card may be charged in foreign currency directly by my supplier. I try to protect you from this whenever possible. You should know that this may affect the quoted price (though not substantially) and that your card may charge a foreign transaction fee. I will always provide advance notice if this is going to be the case as well as an alternative if you do not wish for your card to be charged in a foreign currency.  
Please give me the benefit of the doubt and do not treat me as if I am trying to rip you off. This creates a poor relationship and hinders me from serving you effectively. It is of ZERO benefit to me to drive the costs up on your trip, I am more concerned with keeping you safe and happy than saving you a few bucks. Please trust my judgment and expertise.

Responsibility:

  • It is your responsibility to inform me if something does not meet your expectations. The sooner you tell me, the sooner it gets fixed. Occasionally things go wrong. In such a circumstance, I will do my best to make it right as urgently and efficiently as I can.
  • You concede that the actions (whether malicious, irresponsible, or unintentional), errors, or faults of other businesses, humans (including your travel party), modes of transportation, nature, Force Majeure, or God are beyond the realm of my control or liability. We both enter into this Agreement in good faith.
  • It is 100% your responsibility to understand your travel insurance policy benefits, limitations, and restrictions (regardless of whether I recommend and/or book the policy on your behalf). I will assist you in dealing with the insurance company to the extent that I am able to do so, but your policy is ultimately an agreement between you and the insurance company.
  • You understand and agree that the following are the sole responsibility of you, the traveler(s): possessing and providing valid identification, passports, visas, documents, vouchers, etc. when required; understanding travel protection/insurance policies & filing claims; complying with TSA & FAA restrictions as well as all laws & ordinances of governing bodies both in the United States and your destination(s); knowing and adhering to all entry/exit requirements and restrictions of the United States and your destination(s), including those related to Covid-19; being where you’re supposed to be when you’re supposed to be there; asking questions if you need answers; your happiness and general pleasure while traveling.
