Travel Terms & Conditions

We at Sapphire Getaways are excited to help you with your travel needs. Please get familiar with our Terms & Conditions.

The following terms and conditions apply to any trip booked with Sapphire Getaways (hereinafter referred to as “SG” “our” “us”). By booking a trip with SG you (hereinafter referred to as, “you” “your” or “traveler”) acknowledge that you (i) are 21 years of age or older, (ii) understand and accept these terms and conditions (the “Terms and Conditions”) and (iii) are entering into a contractual relationship with SG.

Price Policy

All trip prices are as posted on the SG website at the time of booking and do not include airfare unless otherwise stated. Trips are priced per person, based on shared occupancy. Single rooms may be available at an additional cost and the prices will be listed where applicable. Prior to booking, prices are subject to change without notice. If you are using our payment plan option, you must submit a non-refundable, non-transferable, per person deposit (equivalent to the first month’s installment payment or other amount determined by SG in its sole discretion) at the time of booking to reserve your space.

Payment Schedule

Traveler understands and agrees to satisfy their balance in full no less than 60 days prior to the date of arrival, unless otherwise stated. Should Traveler fail to submit the final payment 60 days out, a 10% late fee will be assessed each day based on the original amount. If Traveler fails to submit payment in full by 45 days prior to the date of arrival, SG reserves the right to cancel booking and retain 100% of funds paid. SG will notify Traveler in writing of the date & frequency of the scheduled payments.

Credit Card Payment/Processing

SG uses a third-party credit card processing company to provide Traveler with a convenient way of submitting payment. Traveler agrees to update Company’s records if Travelers credit/debit card/bank account is closed, expires, or is no longer active for whatever reason. Traveler may contact SG directly to provide updated payment information: getawayssapphire@gmail.com.

Declined Payment

If payment is attempted by SG and is subsequently declined, Company will provide Traveler with a courtesy email notifying Traveler of the declined payment method. If the past due payment is not paid within three (3) days of its due date, there will be a 10% late fee assessed for that interval’s payment. If payment has not been submitted within seven (7) days of the first payment attempt, SG will cancel the Travelers booking and & retain all paid funds.

Refunds

All payments to SG are non-refundable and non-transferrable, unless otherwise stated. This is because SG has contractual agreements with our hotel, airlines, transportation, and other vendors that will not allow us to obtain any refunds.

Cancellations

There is a $25 cancellation fee that must be paid before your reservation is cancelled.

Should one person in your booking cancel, their payment(s) no longer applies to your booking, therefore it is nontransferable.

Amendments

Any changes/amendments to your booking will be a $25 fee that must be paid before that change is made. I.e. changing the style of room or switching roommates. If you would like to change your hotel there Is a $25 fee plus any vendor fees associated with the change.

Payment Disputes

Traveler agrees to not file a payment dispute or chargeback through their bank/financial institution and to instead utilize her travel insurance if they can no longer attend the planned trip. Traveler agrees to not file a chargeback in violation of SG’s Refund Policy. If a chargeback is requested and/or processed, Traveler agrees to repay SG for the full amount and be responsible for any fees incurred in recouping payment, including attorney’s fees.

Passport and Travel Documents

Traveler is responsible for securing a valid passport. Upon signing up to attend a planned trip, Traveler will send via e-mail a photocopy of their passport, displaying the expiration date. Ninety (30) days prior to the Date of Arrival, Traveler will send an updated copy of their passport. Some destination countries require a tourist visa to be secured before entering the country. Traveler understands that it is their responsibility to secure the visa and will do so at the time of purchasing Traveler’s airline ticket(s).

If a visa is required for your planned trip, Traveler agrees to purchase their airline ticket and obtain a visa within thirty (30) days of booking their trip. It is the responsibility of the Traveler to ensure that there are adequate amounts of passport and visa pages within their passport booklet, in accordance with the requirements of the planned trip destination. SG will not be liable in the event that Traveler fails to ensure that Traveler’s travel documents are in order.

Travel Insurance

Each Traveler is highly suggested to purchase travel insurance; no refunds are available. Travelers should purchase a travel insurance policy within thirty (30) days prior to departure of their planned trip. The insurance policy should include a minimum of $20,000 of coverage and should cover emergency transportation/evacuation and trip cancellation in the amount of the planned trip costs, at minimum. Traveler will provide SG with a digital copy of their travel insurance policy within thirty (30) days of booking their planned trip. SG may include travel insurance with your planned trip.

 

 

 

Purchase of Airline Tickets

 

Traveler is responsible for purchasing their airline ticket to the origination city of the planned trip. SG

is not responsible for any delays caused by the airline, missed flights due to Traveler error, or otherwise.

Traveler agrees to purchase their airline ticket as soon as possible, no later than 30 days prior to the Date of Arrival. Traveler will provide SG with a digital copy of their airline reservation 30 days prior to

the Date of Arrival.

One (1) week prior to the Date of Arrival, Traveler will provide an updated digital copy of their travel

itinerary to SG.

If the Traveler arrives prior to the planned trip Date of Arrival, transportation from the airport

will not be provided by SG. SG will provide Traveler with a window of time (based on local time)

during which transportation will be provided.

SG is not responsible for the rules and regulations imposed by the airlines. It is at the airline’s discretion to change/alter flight schedules without notice. For tickets purchased by the traveler, it is the traveler’s responsibility for any costs and/or penalties incurred. It is the traveler’s responsibility to ensure the ticket matches the requirements for tour package itineraries. Airlines reserve the right to require immediate issuance of tickets for heavily booked flights. This situation overrides payment schedule, terms, and conditions. Airlines have the sole responsibility of assigning seats on group flights. If you require a higher class of seat, it is recommended that passengers book their own flights and purchase the Land package. Name changes may require a ticket to be canceled and rebooked. SG is not responsible for any fees associated with name changes of a ticket or the subsequent rebooking of a reservation. Regardless of the airline fee required for the name change, an additional $25 fee collected by SG will apply.         

Airport Transfers and Excursion Transportation

The traveler is responsible for providing SG with flight details at least 30 days prior to departure. If the traveler fails to do so, they will be responsible for finding their own transportation to the hotel and/or excursion.

Tours & Itineraries
SG will alert travelers of dates and times for scheduled tours/events. It is the traveler’s responsibility to ensure they are in the designated meeting spot on time. SG reserves the right to amend any scheduled tours due to unforeseen circumstances. Providing additional activities, restaurants, and events to occupy your free time does not constitute as an endorsement. Choosing one of those provided options is up to the discretion of the traveler.

Meals
Review the trip page to ensure a full understanding of what is and is not included as it pertains to meals. When a meal is covered in the cost of the trip, note it does not include beverages, those will be paid for by the passenger. Please submit in writing to getawayssapphire@gmail.com any dietary restrictions 30 days in advance of the departure date.

Covid-19 & Monkey Pox

 An inherent risk of exposure to COVID-19 exists in any public place where people are present.

COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the

Centers for Disease Control and Prevention, senior citizens, and people with underlying medical

conditions are especially vulnerable.

By booking a trip with Sapphire Getaways, you voluntarily assume all risks related to exposure to

COVID-19. Sapphire Getaways will not be held responsible or liable if you or your party get

Covid-19.

We recommend getting Travel Insurance that covers Covid-19.

Visas

All travelers are solely responsible for ensuring they meet the entry requirements for, including obtaining any necessary visas prior to departure.

Visa requirements vary based on citizenship and are subject to change at any time. It is the traveler’s responsibility to check with the appropriate embassy or consulate for the most up-to-date information.

Failure to obtain proper travel documentation, including visas, may result in denied boarding, entry refusal, or additional costs. In such cases, no refunds will be issued by the travel provider.

We strongly recommend that all travelers verify their documentation requirements at least 60–90 days prior to travel.

 Health & Vaccination Policy

Travelers are responsible for ensuring they meet all health, vaccination, and medical requirements for entry into the destination.

This may include routine vaccinations or any country-specific immunization requirements. Requirements can change at any time, and it is the traveler’s responsibility to stay informed through official health organizations such as the CDC or WHO.

By booking this trip, travelers acknowledge and accept full responsibility for complying with all health-related entry requirements.

Failure to meet vaccination or health requirements may result in denied boarding or entry into the destination. No refunds will be issued in these circumstances.

We recommend consulting with a healthcare provider or travel clinic at least 4–8 weeks prior to departure.

Alcohol + Substance Abuse

Sapphire Getaways does not, under any circumstances, accept responsibility for any damages that result to yourself or anyone else due to the consumption of alcoholic beverages or any other substances. We cannot take any responsibility for the effect drinks or other substances may have on people.

As such, we do not accept liability for any loss, damage, death, or inconvenience that abusing alcohol or

other substances may cause you.

Minor & Travel Companion Clause

The primary traveler (person making the booking) agrees to be fully responsible for all individuals included in their reservation.

Minors (Under 18)

Any traveler under the age of 18 must be accompanied by a parent or legal guardian. The parent or legal guardian assumes full responsibility for the minor, including but not limited to supervision, behavior, safety, and compliance with all Terms & Conditions.

Sapphire Getaways and its affiliates shall not be held liable for any incidents involving minors, including but not limited to injury, illness, accidents, or other unforeseen events.

Travel Companions

The primary traveler acknowledges and agrees that they are responsible for ensuring that all travel companions on their reservation:

  • Have read and agreed to all Terms & Conditions
  • Understand and accept the risks associated with travel
  • Meet all payment deadlines and travel requirements

Failure of any travel companion to comply with the Terms & Conditions, payment schedule, or travel requirements does not relieve the primary traveler or any individual traveler of their obligations. No refunds will be issued in such cases.

By submitting a deposit, the primary traveler confirms that they have obtained consent and agreement from all parties on the reservation.

Additional Purchases

By purchasing a trip from Sapphire Getaways, you acknowledge and are aware that it is your responsibility to purchase anything not included in this trip. You understand that things not included are; any items and matters not referred to in the "included" section, including but not limited to, airfares to and from your destination, air-related taxes and fees; additional fees charged by airlines such as checked and/or excess baggage, seat selections and any other services; passport and visa fees; insurances of all kinds; laundry; phone calls;  Optional Experiences; and all items of a personal nature. Additional taxes and surcharges may be collected by foreign governmental and non-governmental entities.

 Expected Traveler Conduct

All travelers are expected to conduct themselves in a respectful, considerate, and polite manner towards fellow travelers, guides, and local residents during the trip. Disrespectful, rude, or unbecoming behavior may result in immediate dismissal from group activities.

Disclosure of Mobility Issues

All travelers are required to disclose any mobility issues or limitations that may affect their ability to participate fully in the scheduled activities during the trip.

Force Majeure

In no event shall SG be liable for any failure or delay in performance of its obligations under this Agreement arising out of or caused by circumstances beyond its reasonable control.

Photographic Release

SG may take photographs or video of its trips and trip participants grant SG permission to do so and for it to use same for promotional or commercial use without payment of any compensation to participant.

Liability Disclaimer

 By booking with Sapphire Getaways, you acknowledge and agree that all travel involves inherent risks. Sapphire Getaways, along with its owners, agents, employees, contractors, and affiliates, shall not be held liable or responsible for any injuries, illnesses, damages, losses, accidents, delays, inconveniences, or expenses arising from or related to participation in this trip.

This includes, but is not limited to, accidents, bodily injury, illness, death, or dismemberment, regardless of cause, whether due to negligence or otherwise, to the fullest extent permitted by law.

Sapphire Getaways acts solely as an intermediary between travelers and third-party suppliers such as airlines, hotels, transportation providers, and excursion operators. As such, Sapphire Getaways assumes no responsibility for the acts, omissions, or negligence of these third parties.

By submitting a deposit and/or making full payment, you acknowledge that you are voluntarily participating in this travel experience and assume all risks associated with travel, activities, and excursions included or not included in the itinerary.

Travel insurance is strongly recommended to protect against unforeseen circumstances, including medical emergencies, trip interruptions, or cancellations.

Waiver & Assumption of Risk Agreement

 By booking and participating in any travel experience organized by Sapphire Getaways, you acknowledge that you have voluntarily chosen to participate in this trip and fully understand that travel, including international travel, involves inherent risks.

These risks may include, but are not limited to: accidents, injuries, illness, exposure to disease, physical exertion, transportation incidents, water-related activities, acts of third parties, and unforeseen events that could result in serious bodily harm, permanent disability, dismemberment, or death.

You expressly and voluntarily assume full responsibility for all risks, both known and unknown, associated with your participation in this trip.

By making a deposit and/or full payment, you agree to release, waive, discharge, and hold harmless Sapphire Getaways and its owners, agents, employees, contractors, and affiliates from any and all claims, liabilities, demands, damages, costs, or expenses arising out of or related to:

Personal injury, illness, or death

Loss or damage to personal property

Delays, interruptions, or changes in travel plans

Any acts or omissions of third-party suppliers

This waiver applies regardless of cause, including but not limited to negligence, to the fullest extent permitted by law.

You further agree not to file any claim or lawsuit against Sapphire Getaways or its affiliates for any such incidents or outcomes.

By submitting your deposit and/or completing your booking, you confirm that:

You have read and fully understand this Waiver & Assumption of Risk Agreement

You understand the risks involved in travel and voluntarily accept them

You agree to all Terms & Conditions outlined by Sapphire Getaways
