Invoice Agreement - Booking Confirmation

Thank you for booking with The Traveling Chucks. Your payment confirms your acceptance of these terms and our complete Terms and Conditions.

⚠️ INTERNATIONAL DESTINATIONS - PASSPORT REQUIREMENT (CRITICAL)

FOR INTERNATIONAL TRAVEL: You MUST have a valid U.S. Passport at the time of departure. Your passport must be valid for at least 6 months beyond your travel dates. Non-U.S. citizens may require additional documents including visas.

Failure to obtain a valid passport may result in:

• Denied boarding at the airport• Missed flights and all subsequent travel arrangements• Complete forfeiture of all payments• THE TRAVELING CHUCKS IS NOT RESPONSIBLE for any losses or costs resulting from your failure to obtain a valid passport

PAYMENT CONFIRMATION & BOOKING ACCEPTANCE

Your deposit and/or payment completes your booking with The Traveling Chucks and constitutes your acceptance of these terms. All deposits are non-refundable and non-transferable.

By submitting payment, you electronically acknowledge that you have read, understood, and agree to be bound by The Traveling Chucks' complete Terms and Conditions. Your payment constitutes your legally binding electronic signature on this agreement.

YOUR BOOKING TYPE

Your reservation may be either a HOSTED TRIP (planned and operated by The Traveling Chucks) or a SUPPLIER-BASED BOOKING (made through third-party suppliers). Both are subject to their respective cancellation policies outlined below.

CANCELLATION POLICY SUMMARY

HOSTED TRIPS (The Traveling Chucks Operated):

• 120+ days before departure: 25% non-refundable• 90–119 days before departure: 50% non-refundable• 60–89 days before departure: 75% non-refundable• 59 days or fewer before departure: 100% non-refundable

SUPPLIER-BASED BOOKINGS:

Governed solely by the supplier's terms. A $100 per person cancellation fee applies. You are responsible for learning the specific supplier's cancellation policy.

All cancellation penalties apply regardless of reason (personal emergencies, illness, change of plans, etc.) and cannot be waived.

PAYMENT SCHEDULE & LATE FEES

Final payment is due 60 days prior to departure. If final payment is not received by the due date, your reservation is subject to immediate cancellation and all deposits and payments shall be forfeited.

If two consecutive payments are missed, written notice will be issued. You will have 5 business days from notice to pay the full outstanding balance. If not paid:

• A $5 per month late fee will accrue (with no cap)• Your reservation will be cancelled• All funds will be forfeited without further notice

TRAVEL DOCUMENTS & YOUR RESPONSIBILITY

You are responsible for:

• Obtaining all required travel documents (passport, visas, identification)• Ensuring your name, date of birth, and gender match exactly on all travel documents• For international travel, obtaining a valid U.S. Passport (valid for at least 6 months beyond your travel dates)• For minors traveling with one parent or without both parents, obtaining authenticated consent forms• Verifying all travel documents upon receipt and notifying us immediately of any errors• Checking supplier websites for specific document requirements

Failure to comply may result in denied boarding. THE TRAVELING CHUCKS IS NOT RESPONSIBLE for any losses, costs, or consequences.

HEALTH & IMMUNIZATIONS

You are responsible for obtaining all required immunizations and vaccination documentation before travel. Consult your healthcare provider prior to booking. The Traveling Chucks is not responsible for the accuracy of health requirements. For information, visit http://travel.state.gov and http://wwwnc.cdc.gov/travel/.

TRAVEL INSURANCE (STRONGLY RECOMMENDED)

Travel insurance is not included in your booking. WITHOUT TRAVEL INSURANCE, you assume full financial responsibility for cancellations, interruptions, medical emergencies, or any unforeseen circumstances. If you cancel or interrupt your trip for any reason, portions may not be refunded and cancellation penalties will apply—resulting in the loss of monies up to the full cost of your booking.

LIABILITY & WHAT WE'RE NOT RESPONSIBLE FOR

The Traveling Chucks acts solely as a booking agent for suppliers (airlines, hotels, cruise lines, tour operators, ground transportation, etc.). We are NOT responsible for:

• Supplier errors, cancellations, delays, or service failures• Flight cancellations, delays, or schedule changes• Weather, natural disasters, volcanic eruptions, or acts of God• Personal injury, illness, or death• Missed flights due to your late arrival• Loss or damage to baggage or belongings• Travel document rejections or visa denials• Medical emergencies or lack of medical facilities• Civil unrest, war, terrorism, or government actions• Any circumstances beyond our reasonable control

GROUP EXPERIENCE STANDARDS & CONDUCT

To preserve an elevated and enjoyable experience, all travelers must treat fellow travelers, staff, and local partners with respect, refrain from disruptive behavior, and follow all local laws and supplier policies.

The Traveling Chucks reserves the right to remove any traveler from a trip if behavior is deemed disruptive, unsafe, or non-compliant. If removed: no refunds will be issued and all additional costs are your responsibility.

SUPPLIER TERMS & CONDITIONS APPLY

You agree to abide by the terms and conditions of any supplier, including payment of all amounts when due and compliance with supplier rules. Violation may result in cancellation of your reservation, denial of access to services, and forfeiture of all monies.

FORCE MAJEURE

In the event of circumstances beyond our control (acts of God, war, terrorism, natural disasters, pandemics, government actions, etc.), The Traveling Chucks may cancel or modify any itinerary. Refunds remain in our sole discretion. We will use reasonable efforts to reimburse you, but are entitled to deduct the reasonable costs of the Force Majeure event and cancellation fees.

PHOTOS & MEDIA USAGE

The Traveling Chucks reserves the right to use photographs and videos taken during your trip for promotional materials, websites, publications, and media without your permission. To opt out, contact travelingchucksinc@gmail.com in writing.

CHARGEBACKS & DISPUTES

You agree not to initiate chargebacks or disputes with your bank or credit card company (except in cases of fraud) in connection with your booking, including cancellations and supplier-controlled changes.
