By submitting payment, authorizing charges, approving an invoice, enrolling in a payment plan, or participating in this experience, all travelers acknowledge that they have read, understood, and agreed to the following Terms & Conditions.
Booking & Payment Information
A non-refundable $300 payment per person is required to secure your reservation.
Your $300 payment includes:

$200 applied toward your trip balance

$100 paid directly to Traces of Sunlight Travel for trip curation, planning, coordination, communication, administrative handling, and management of trip details
The $100 Traces of Sunlight Travel curation fee is earned upon booking and is non-refundable.
Monthly payment plans are available.
Payments begin the month after your deposit is made.
Final payment is due by the stated final payment deadline for this trip.
Travelers are responsible for making payments on time.
Larger lump sum payments may be made at any time.
Payment reminders may be sent as a courtesy; however, travelers remain fully responsible for tracking and submitting payments by the required deadlines whether or not a reminder is received.
Late or missed payments may result in cancellation of your reservation and loss of monies paid.
Travelers are responsible for maintaining valid payment methods and sufficient funds.

All pricing is subject to change until deposit is received and reservation is confirmed.
Only items specifically listed as included in the official itinerary or invoice are included in the trip package.
Anything not clearly listed as included should be considered excluded.
Travelers are responsible for reviewing the itinerary, invoice, payment schedule, inclusions, exclusions, cancellation terms, and travel requirements before submitting payment.
Traces of Sunlight Travel is not responsible for assumptions made by travelers regarding flights, meals, baggage, tips, excursions, room type, views, seating, upgrades, early check-in, late check-out, or activities not specifically listed as included.
Payment Authorization
By submitting payment information, approving an invoice, enrolling in a payment plan, or authorizing Traces of Sunlight Travel to process payments, travelers authorize charges according to the agreed payment schedule, invoice, or payment arrangement.
Travelers understand that authorized payments are valid charges and are subject to the cancellation terms, supplier policies, and non-refundable fee policies outlined in these Terms & Conditions.
Travelers are responsible for ensuring their payment method remains active, accurate, and available for scheduled payments.
Pricing Errors & Supplier Corrections
Traces of Sunlight Travel makes every effort to provide accurate pricing, payment schedules, inclusions, and trip details.
However, pricing, availability, taxes, fees, exchange rates, supplier charges, and package details are subject to correction if an error is discovered by the supplier, vendor, or booking system.
Travelers are responsible for any corrected balance required to maintain the reservation.
Traces of Sunlight Travel is not responsible for absorbing supplier pricing errors, system errors, tax changes, fee increases, currency changes, or corrected invoice amounts.
Roommate Cancellation & Occupancy Price Changes
Trip pricing is based on the occupancy selected at the time of booking, such as double occupancy or shared accommodations.
Travelers understand that if a roommate cancels, is removed from the trip, fails to make payments, or is otherwise unable to travel, the remaining traveler’s price will increase.
By booking this experience, travelers acknowledge and agree that they are responsible for any price difference caused by a roommate cancellation, roommate non-payment, roommate removal, or change in room occupancy.
If a traveler’s room changes from double occupancy to single occupancy due to a roommate no longer traveling, the remaining traveler agrees to pay the applicable single/solo occupancy price or any additional amount required by the supplier to keep the reservation active.
If a roommate begins to fall behind on payments, misses scheduled payments, or appears at risk of cancellation due to non-payment, Traces of Sunlight Travel will notify the other traveler assigned to the same room so they are aware that their room occupancy and pricing could be affected.
This notice is provided as a courtesy so the remaining traveler has time to prepare for a possible occupancy price increase, roommate cancellation, or adjustment to the single/solo occupancy price.
Traces of Sunlight Travel is not responsible for covering the roommate’s unpaid balance, collecting money between roommates, or guaranteeing that both travelers will remain on the reservation.
Failure to pay the adjusted balance may result in cancellation of the traveler’s reservation and loss of monies paid, based on supplier policies and cancellation terms.
Room Changes, Upgrades & Special Requests
Room type, bedding, views, floor level, connecting rooms, adjoining rooms, early check-in, late check-out, and upgrade requests are not guaranteed unless confirmed in writing by the supplier.
Travelers requesting room changes, upgrades, separate rooms, bedding changes, or special accommodations after booking are responsible for any additional costs, supplier fees, or price increases.
Traces of Sunlight Travel may submit requests as a courtesy but cannot guarantee approval by hotels, suppliers, or vendors.
Cancellation Policy
All cancellation requests must be submitted in writing.
Cancellation penalties are as follows:

6 days to 72 hours prior to departure: 100% cancellation fee — No Refund

Travelers agree to attempt resolution directly with Traces of Sunlight Travel prior to initiating disputes with financial institutions.
Travel Insurance Acknowledgment
Travel insurance is strongly recommended for all travelers.
Travelers understand that unexpected situations can happen before or during travel, including illness, injury, death in the family, job loss, flight delays, missed connections, weather issues, supplier cancellations, lost baggage, or other emergencies.
By declining travel insurance, travelers understand they may not be eligible for reimbursement, refunds, credits, or financial protection if they are unable to travel or if unexpected issues occur.
Traces of Sunlight Travel is not responsible for losses that could have been covered by travel insurance.
Flights, Transportation & Scheduling
Each traveler is responsible for booking their own international and domestic flights unless otherwise stated in writing.
Travelers will need to follow the specific flight instructions provided for the South Africa itinerary.
Flights are NOT included unless clearly stated in writing.
Traces of Sunlight Travel does not book or manage flights but may provide recommendations and coordination assistance.
Travelers are responsible for:

Traces of Sunlight Travel reserves the right to make reasonable itinerary modifications when necessary.
Final Travel Documents & Trip Readiness
Final travel documents, itinerary details, meeting times, hotel information, emergency contact details, and important reminders may be sent prior to departure.
Travelers are responsible for reviewing all final travel documents and asking questions before travel if anything is unclear.
Traces of Sunlight Travel is not responsible for missed transfers, missed activities, denied services, or traveler confusion caused by failure to read final documents, emails, group chat updates, or itinerary instructions.
Name Accuracy, Travel Documents & Denied Boarding
Travelers are responsible for ensuring that the name provided at booking exactly matches their passport or government-issued travel document.
Traces of Sunlight Travel is not responsible for denied boarding, airline issues, supplier penalties, name correction fees, or cancellation penalties caused by incorrect names, misspellings, expired documents, damaged passports, missing visas, or failure to meet entry requirements.
Any fees related to name corrections, document issues, denied boarding, or denied entry are solely the traveler’s responsibility.
Entry Requirement Changes
Travelers understand that passport, visa, vaccination, health, customs, immigration, and entry requirements can change at any time before or during travel.
It is each traveler’s responsibility to verify current entry requirements for South Africa and any transit countries before departure.
Traces of Sunlight Travel may provide general guidance or reminders; however, travelers remain solely responsible for meeting all entry, transit, documentation, health, and immigration requirements.
No refunds, credits, or compensation will be issued for denied boarding, denied entry, missed travel, or additional expenses caused by failure to meet current travel requirements.
Third-Party Suppliers, Venues, Restaurants & Public Experiences
Traces of Sunlight Travel serves as the curator, organizer, and host of the overall group experience. Traces of Sunlight Travel does not own, operate, manage, or control the hotels, restaurants, tour companies, transportation providers, attractions, entertainment venues, public events, guides, vendors, or other third-party suppliers used during this experience.
Some activities may take place at public venues, restaurants, attractions, entertainment spaces, or businesses that also serve other guests outside of the Traces of Sunlight Travel group.
Participation in this experience does not mean Traces of Sunlight Travel is affiliated with, employed by, endorsed by, sponsored by, partnered with, or officially representing any third-party business, venue, restaurant, attraction, or public event unless clearly stated in writing.
Traces of Sunlight Travel is not responsible for third-party supplier decisions, including but not limited to:

Travelers understand that restaurants, venues, tour companies, transportation providers, attractions, and other suppliers operate under their own rules, policies, schedules, staffing, menus, service standards, and cancellation terms.
Traces of Sunlight Travel may coordinate, curate, recommend, or include third-party experiences as part of the itinerary, but Traces of Sunlight Travel cannot guarantee the performance, behavior, service quality, food quality, atmosphere, timing, availability, or overall experience provided by any third-party supplier.
No refunds, credits, or compensation will be issued by Traces of Sunlight Travel due to dissatisfaction with third-party food, service, atmosphere, entertainment, seating, crowds, delays, staff behavior, venue policies, or supplier changes outside of Traces of Sunlight Travel’s control.
If a third-party supplier, venue, restaurant, attraction, transportation provider, or tour operator makes changes before or during travel, Traces of Sunlight Travel reserves the right to make reasonable substitutions, adjustments, or itinerary changes when necessary.
Travelers agree to follow all rules, policies, and instructions given by third-party suppliers, venues, restaurants, attractions, transportation providers, guides, security, and local staff.
Failure to follow third-party rules may result in denied entry, removal from an activity, missed services, or additional costs. No refund will be issued for any missed or denied experience caused by traveler behavior, failure to comply, lateness, intoxication, dress code issues, or refusal to follow instructions.
International Travel Expectations
South Africa is a beautiful country with rich culture, powerful history, beautiful landscapes, incredible food, and experiences that may feel very different from what many travelers are used to in the United States.
Travelers are encouraged to approach this experience with flexibility, patience, cultural respect, and an open mind.
Food preparation styles, flavors, ingredients, seasoning levels, dining customs, smells, environments, and service styles may differ significantly from what travelers are accustomed to in the United States.
Travelers understand that this is part of the beauty of international travel.
Repeatedly sending food back, demanding American-style preparation, or disrespecting local food, customs, environments, or cultural differences is strongly discouraged.
Travelers are expected to remain respectful toward the local culture, restaurants, staff, vendors, customs, and traditions throughout the experience.
Restroom conditions in certain areas may also differ from what travelers are accustomed to in the United States.

Travelers participating in nightlife, bars, clubs, independent exploration, or activities outside the itinerary do so at their own discretion and risk.

Travelers sharing accommodations are expected to maintain reasonable cleanliness, hygiene, and shared-space courtesy.
Traces of Sunlight Travel does not guarantee roommate compatibility, sleeping habits, cleanliness standards, schedules, personalities, or lifestyle preferences.
Travelers requesting accommodation changes after travel begins are responsible for all additional costs associated with those changes.
Travelers are solely responsible for ensuring they have adequate spending money for:

Repeatedly asking other travelers for money, loans, favors, or financial support is strongly discouraged.

Travelers are also expected to use maturity and discretion when posting on social media.
Posting private disputes, arguments, false claims, misleading statements, or intentionally negative content involving the group experience may result in removal from future Traces of Sunlight Travel trips.
Right to Remove Traveler
Traces of Sunlight Travel reserves the right to remove a traveler from the experience before or during travel for non-payment, repeated late payments, disruptive behavior, disrespect, safety concerns, failure to follow instructions, violation of these Terms & Conditions, or behavior that negatively impacts the group experience.
Removal from the trip, activities, group transportation, group chat, or future experiences does not guarantee a refund, credit, or compensation.
Any refund eligibility will be determined by supplier policies, cancellation terms, and monies already paid to vendors.
Communication & Group Chat Expectations
Traces of Sunlight Travel may use email, text message, group chat, travel apps, or other communication methods to share important updates before and during travel.
Travelers are responsible for reading all trip communications, checking messages regularly, and keeping their contact information updated.
The group chat is intended for trip updates, questions, reminders, and positive group communication.
Disrespectful comments, arguing, harassment, excessive negativity, misinformation, private disputes, or disruptive behavior in the group chat may result in removal from the group chat, activities, trip participation, or future Traces of Sunlight Travel experiences without refund.
Travelers are responsible for any missed information caused by not reading messages, muting notifications, changing contact information, or failing to monitor trip communications.
Personal Experience Disclaimer
Traces of Sunlight Travel creates curated travel experiences designed around culture, connection, healing, joy, and meaningful memories.
However, personal transformation, emotional breakthroughs, friendships, enjoyment, spiritual impact, healing, or personal satisfaction are not guaranteed.
Each traveler’s experience may be affected by their expectations, mindset, energy, participation, health, mood, group dynamics, weather, fatigue, and personal circumstances.
No refunds, credits, or compensation will be issued because a traveler did not feel connected, transformed, included, entertained, emotionally fulfilled, or personally satisfied with the experience.
Health, Safety & Legal Responsibility
Travelers are solely responsible for ensuring they are physically capable of participating in this experience.
This trip may include substantial walking, stairs, uneven terrain, crowded areas, outdoor excursions, long transfers, and active touring days.
Travelers with mobility concerns should carefully consider whether this trip is appropriate for them prior to booking.
This is an active group travel experience with scheduled activities, departure times, walking portions, tours, and transportation arrangements.
The group itinerary cannot be delayed, slowed down, or repeatedly adjusted due to individual mobility limitations, fatigue, difficulty walking, health concerns, or inability to keep pace with scheduled activities.
Travelers who are unable to keep up with the group may need to sit out certain activities, arrange private transportation, remain at the hotel, or reconnect with the group at their own expense.
Any additional costs related to mobility needs, private assistance, separate transportation, missed activities, or itinerary adjustments are solely the traveler’s responsibility.

Traces of Sunlight Travel may share dietary or allergy requests with suppliers as a courtesy; however, Traces of Sunlight Travel cannot guarantee that restaurants, hotels, airlines, tour operators, or vendors can accommodate all requests.
Travelers with severe allergies, medical conditions, or dietary restrictions are responsible for managing their own health, carrying necessary medications, asking questions directly when needed, and making safe food and activity choices.
Traces of Sunlight Travel is not responsible for allergic reactions, food preparation issues, cross-contamination, unavailable meal options, or supplier inability to accommodate dietary or medical needs.
Emergency Contact & Traveler Location
Travelers are responsible for providing accurate emergency contact information prior to travel.
Travelers who leave the group, miss scheduled activities, fail to respond to communication, or choose independent exploration are responsible for their own safety, location, transportation, and expenses.
Traces of Sunlight Travel is not responsible for locating travelers who voluntarily separate from the group, ignore communication, fail to appear at scheduled times, or choose to explore independently.
Safari, Wildlife & Outdoor Experiences
This South Africa experience may include safari, wildlife viewing, nature-based activities, outdoor excursions, or visits to areas where animals may be present.
Wildlife sightings are not guaranteed.
Travelers understand that animals move freely and sightings may depend on weather, timing, season, natural behavior, park rules, and local conditions.
No refunds or compensation will be issued if a specific animal is not seen or if a wildlife experience does not meet personal expectations.
Travelers agree to follow all safety instructions provided by tour guides, drivers, park staff, lodge staff, and local operators.
Travelers should not approach, feed, touch, provoke, or attempt to interact with wildlife unless specifically instructed by authorized professionals.

Travelers understand this is a shared group trip involving different personalities, schedules, preferences, and activity levels.
The host may not always be physically present with every traveler at all times.
Travelers acknowledge the host is not functioning as:

Force Majeure / Uncontrollable Events
Traces of Sunlight Travel shall not be held responsible for delays, cancellations, interruptions, losses, injuries, or changes caused by circumstances beyond reasonable control, including but not limited to:

Photos and videos may be taken during the trip for promotional and social media purposes unless written opt-out is submitted before departure.
