TRIP AND DEPARTURE
Holiday Lights & Cocoa: Tanglewood 2026 is a Seat’s Taken Travel Co. motorcoach day trip scheduled for Saturday, December 12, 2026. Guest check-in begins at 12:30 p.m., boarding begins at 12:45 p.m., and the motorcoach departs promptly at 1:00 p.m. from the designated Raleigh-area pickup location. The exact address and final instructions will be sent to registered guests.
Guests are responsible for arriving on time. A missed departure or a guest’s decision not to travel does not qualify for a refund.
-
WHAT IS INCLUDED
Each ticket includes one motorcoach seat, round-trip transportation from the designated pickup location, admission to Tanglewood’s Festival of Lights aboard the motorcoach, cocoa or an alternative beverage, a sweet treat, and the hosted Seat’s Taken Travel Co. experience.
Meals, shopping, s’mores, and other personal purchases are not included.
-
CHILDREN AND SEATING
Every traveler, including every child, must have their own paid seat and be listed on the booking. Children must travel with a responsible adult, who remains responsible for their supervision throughout the trip, including during any stops.
-
DEPOSIT, BALANCE, AND LATE BOOKINGS
A $40 deposit per person is due at booking for all ticket types. The remaining balance is due November 30, 2026. For a $120 late-registration ticket, this means $40 per person at booking and $80 per person due November 30. The selected package and invoice show the amount due for each booking.
A submitted registration form alone does not reserve a seat. A seat is reserved when the required deposit is successfully paid and the booking is confirmed.
If a remaining balance is not paid by November 30, 2026, Seat’s Taken Travel Co. may cancel the booking. Payments already made remain non-refundable under Section 5. Any convenience fee charged at checkout will be shown before payment is submitted.
-
NON-REFUNDABLE PAYMENTS AND TRIP CANCELLATION
All guest payments, including deposits and balance payments, are non-refundable if a guest cancels, misses departure, cannot attend, or chooses not to travel.
If Seat’s Taken Travel Co. cancels the trip, guests will receive a refund of the amounts they paid to Seat’s Taken Travel Co. for this trip. The same applies if Down East Tours cancels the motorcoach service and the trip does not operate. This includes a trip cancellation by Seat’s Taken Travel Co. because Tanglewood closes or another circumstance prevents the trip from operating.
We will notify the lead booker using the contact information provided at registration. Refunds will be sent to the original payment method where possible, and we will provide the expected refund timing when we announce a cancellation.
-
ITINERARY AND GIFT VILLAGE
We plan a meal and restroom stop before Tanglewood. Meals are at each guest’s expense. We also plan an approximately 30-minute Gift Village stop during the light display, but that stop depends on traffic, operating conditions, and safe motorcoach access for unloading and reboarding. It is not guaranteed.
If we stop, the host will announce the meeting point and exact reboarding time. Guests are responsible for returning by that time. If a safe stop is unavailable or delays make it impractical, the group will remain aboard and continue enjoying the light display from the coach.
-
TIMING AND CHANGES
Tanglewood entrance traffic and other conditions may affect the order and timing of stops and the return time. Seat’s Taken Travel Co. may make reasonable itinerary and timing changes to operate the trip safely. Traffic delays, changes to stop timing, or an inability to make the planned Gift Village stop do not constitute a trip cancellation and do not qualify for a refund.
The final pickup instructions and day-of-trip details will be sent to registered guests.
-
ACCESSIBILITY, ALLERGIES, AND COMMUNICATION
Please provide accessibility or mobility needs and relevant food allergies when registering so we can review arrangements before travel. The lead booker is responsible for providing accurate contact information, monitoring trip messages, and sharing updates with everyone on the booking.
-
BOOK-TOGETHER PACKAGES
Book-together pricing applies when the stated number of travelers book and pay together. If one traveler can no longer attend, that traveler’s portion remains non-refundable under Section 5. The remaining travelers may continue on the booking at the original package total.
Contact Seat’s Taken Travel Co. before requesting a traveler-name change. A replacement traveler is not confirmed until Seat’s Taken Travel Co. approves the change and receives the required registration information.
