Proposal Policy
To ensure dedicated attention and customized service, a non-refundable planning fee is required before research begins. This fee covers itinerary design, destination research, supplier coordination, and expert recommendations. The fee recognizes the time and expertise invested in creating your personalized travel experience.
Research Fee Structure
- Domestic and international travel packages for up to 7 travelers: $40
- Domestic and international travel packages for 8 or more travelers: $75
- Group travel (5 or more rooms): $100
- Customized luxury or multi-destination itineraries: starting at $100
What the Research Fee Includes
The fee covers:
- Destination research and recommendations
- Customized itinerary creation
- Supplier coordination
- Up to 3 options in no more than 2 destinations
- Professional travel advice and planning expertise
- One itinerary change (additional changes will be $50 per request)
Booking Credit
If you book your trip through our agency within 5 days of receiving your proposal, the research fee will be applied toward your final booking cost once the booking is secured.
Deposit Policy
To secure travel arrangements and reservations, a deposit is required at the time of booking.
Deposit Requirements
- A minimum deposit amount will be determined based on the supplier’s requirements and the total cost of the trip.
- Some packages, cruises, group trips, and international vacations may require larger deposit or immediate full payment.
- Reservations are not confirmed until the required deposit has been received and processed.
Payment Deadlines
- Clients are responsible for making all payments by the due dates provided.
- Failure to submit payments on time may result in cancellation of reservations, loss of deposits, additional fees, or changes in pricing and availability.
Non-Refundable Deposits
- Supplier deposits are subject to the cancellation policies of airlines, hotels, cruise lines, tour operators, and other vendors.
- Unless otherwise stated, deposits are considered non-refundable once paid to suppliers.
- Any service or planning fees charged by the agency are separate and remain non-refundable.
Final Payment
- Final payments are due 45-90 days in advance. If you are planning to travel within the next 60 days, payment will be due in full at the time of booking.
- Final payment must be received by the deadline specified on the client’s invoice or itinerary. Failure to make final payment by the due date may result in automatic cancellation and forfeiture of any deposits already paid.
Non-Refundable Terms
Research fees are non-refundable, regardless of whether the traveler ultimately books the trip. The fee compensates for the time, expertise, and resources invested in planning and research.
Payment Terms
Research fees must be paid in full before any quotes, itineraries, or booking options are provided. Work will commence once payment has been received and confirmed. By submitting payment, you acknowledge and agree to this research fee policy and understand that planning services constitute professional work independent of any final travel purchase.

A deposit is required to secure all travel bookings. Reservations are not guaranteed until payment is received. Deposits are subject to supplier terms and may be non-refundable. Final payments must be made by the stated due date to avoid cancellation or penalties. By paying a deposit, clients agree to all booking and cancellation policies.
