Booking is easy!

 
How to Book:
  1. Select the number of people for this trip. 
  2. Select the package of the room cabin you want.
    1. If you want a roommate, but only pay for your portion at the time of booking, then select I WANT A ROOMMATE/I HAVE A ROOMMATE to pay for the double rate and fill out the match questions in traveler information. 
  3. Select any add-ons.
  4. Enter your travel information.
  5. Agree to the terms and conditions.
  6. Select your payment amount:  deposit or full payment. If picking deposit, you will be sent a monthly invoice schedule.
  7. Enter payment information (information is stored securely via Traveljoy using Stripe).
  8. Submit and get excited for an Antarctic Adventure!
 

Cancellation policy:

Payment schedule as follows:

  • $500 NON-REFUNDABLE deposit due immediately to secure your spot processed by Passport Rendezvous Travel. 
 
  • $2500 NON-REFUNDABLE deposit remainder  MUST BE PAID by March 27, 2025.

 

  • Final balance is due by August 12, 2026 

    (You will be sent monthly reminders with your invoice link to authorize further payments.)
 
Failure to pay your FULL DEPOSIT spot may result in forfeiting your space.
 
If you wish to cancel your expedition, we ask that you us immediately in writing at planwith@passportrendezvous.com. Cancellation will take effect upon receipt by Aurora Expeditions of your written notice which we will forward on your behalf.
 
If the cancellation is made more than 90 days prior to the expedition departure date, you will forfeit your Deposit paid by you. If cancellation is made less than 90 days prior to the expedition departure date, you will be liable to pay the full price of the expedition within 7 days of providing your notice of cancellation to Aurora Expeditions.
 
However, in either situation, Aurora Expeditions will consider any request by you to transfer the Deposit paid towards a deposit to a subsequent expedition. Whether or not Aurora Expeditions agrees to any such request will depend upon applicable circumstances, including availability and other factors. The decision as to whether or not to agree will be made by Aurora Expeditions at its absolute discretion. If Aurora Expeditions shall agree to such a request, you will be liable to pay a fee of $500 per passenger (in the currency of your expedition) to cover administrative and associated costs and you will also be liable to pay any additional price for the subsequent expedition. The transfer of the Deposit is only valid on expeditions that depart within 24 months from the date of the original proposed departure date. Only one transfer of deposit to another expedition is permitted.
 
 
Travel Insurance
  • Travel insurance is HIGHLY recommended. If you decline, you will have to sign a waiver of release. To purchase insurance we recommend TravelGuard or Allianz. Travel insurance must be purchased within 2 weeks of deposit. Proof of purchase will be required.

  • For Double Occupancy: If a person can no longer attend and can’t receive a refund, then they can possibly file a claim if it’s for a covered reason or if they have cancel for any reason coverage. (Travel insurance is very important!)

  • For Double Occupancy: If your roommate cancels, you may be responsible for finding a new roommate or be liable to pay a single supplement fee. (We will do our best to help find a replacement roommate.) If you need to pay a fee, it will be at the discretion of the tour operator.  You can file an insurance claim to possible get paid back the incremental cost which may be paid at the discretion of the insurance company if covered in your terms. (Travel insurance is very important!)
