Cancellation policy:

Reservation cancellations will only be accepted in writing. Please complete the online form at https://form.jotform.com/242085395933161.   Products are NON-REFUNDABLE  and NON-TRANSFERABLE.  It is recommended that Elegant Travels Inc. clients PURCHASE trip cancellation coverage. Trip cancellation insurance is the only means of receiving reimbursement for flights and other non-refundable expenses should you cancel your trip for any reason, whether voluntarily or as a result of Elegant  Travels Inc.'s actions.

 

Elegant Travels Inc. is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the canceled booking such as visas, vaccinations, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

Clients purchasing Products are highly recommended to purchase comprehensive "cancel for any reason" insurance, to the extent such insurance is available under the laws governing each client's country of origin. COMPREHENSIVE CANCEL FOR ANY REASON INSURANCE MAY ONLY BE AVAILABLE TO CITIZENS OF THE UNITED STATES OF AMERICA AND CANADA.

Elegant  Travels Inc. will not cancel a booking on any trip Product once confirmed, under these Terms, except for reasons of ‘Force Majeure’, which shall be defined as unusual or unforeseen circumstances outside of the reasonable control of Elegant Travels Inc. When a trip is canceled by Elegant Travels Inc.  before the agreed date of departure for reasons not arising from the fault or negligence of or within the reasonable control of the Client, the Client shall have the choice of:

(i)    accepting from Elegant  Travels Inc. a substitute trip Product of equivalent or superior value, where such substitute is reasonably available;

Elegant  Travels Inc. is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the canceled booking such as visas, vaccinations, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.  Where, after departure, a significant element of the Product(s) as described cannot be provided, Elegant Travels Inc. will make suitable alternative arrangements for the continuation of Product(s) when and where possible.

RESERVATIONS: Please visit www.eleganttravelsinc.com, call Elegant Travels at (562) 287-4721, or contact us via email at elegantescapestravel@gmail.com.

IDENTIFICATION: Guests must make reservations in the full name that is listed on the passport they will use for travel. If any changes to a name are needed after travel documents have been issued, the client will be responsible for all name change fees, if applicable.

PAYMENTS: Reservations can be made online with major credit cards via our booking site.

REFUNDS: All payments to Elegant Travels Incorporated are non-refundable and non-transferable. This is due to our contractual agreements with hotels, airlines, and other vendors that do not allow us to obtain refunds. These agreements help us keep our package prices competitive and allow you to make monthly payments on your vacation.

CHARGEBACKS: Before filing a dispute with your bank, please call Elegant Travels at (562) 287-4721 or contact us via email at elegantescapestravel@gmail.com to discuss account resolution. Filing chargebacks could result in your reservation being canceled and may prevent future travel with Elegant Travels Incorporated.

ROOMMATE MATCHING: Roommate matching is NOT available for most of our tours.

PASSPORTS AND VISAS: Passengers are responsible for ensuring they have the proper travel documents and MUST CHECK with the respective consulate(s) or visa agency to determine whether any visas or passports are required. Passports must be valid for at least 6 months after the date of travel. Some countries require a full blank visa page in the passport for stamping purposes. Any information provided in the travel description pertains to U.S. citizens only. Non-U.S. citizens should check with the respective consulate(s) of the country or countries being visited for current entry requirements. Elegant Travels Incorporated does not provide or validate travel requirements for non-U.S. citizens.

TRAVEL INSURANCE: Missing a vacation is bad enough. Losing the money you paid for your vacation is even worse. Therefore, we highly recommend purchasing Travel Insurance that provides coverage for Trip Cancellation, Interruption, Baggage Loss, and more. You are required to select and purchase your own travel insurance for both domestic and international tours.

TRAVEL DOCUMENTS: Provided full payment is received no later than your Final Payment Due date, travel documents and travel instructions will be sent via email and/or mail at least 30 days prior to travel.

CHILDREN: All children under the age of 18 must be accompanied by an adult. The minimum age for children on tours is 16. Accompanying adults are responsible for the safety and supervision of their children. Please be aware that many countries have adopted strict policies to prevent international abductions of minors. If a person under 18 years old will be traveling with an adult other than both parents, or with only one parent, a notarized letter from the non-traveling parent(s) granting authorization to travel, including travel dates, should be carried.

PRICES: All prices listed are per person based on double occupancy unless otherwise clearly specified. Prices do not include items of a personal nature such as laundry, alcoholic beverages, bottled water, food (except at all-inclusive resorts or where specifically stated), passport and visa fees, insurance, or foreign port taxes unless clearly indicated in the package inclusions. Prices are correct at the time of publication; however, airfares, hotel rates, and availability are subject to change as airlines and service providers regularly adjust prices. In the event of human or computer error, Elegant Travels Incorporated reserves the right to correct the invoice to reflect the accurate price or service. If a price increase occurs and the traveler chooses not to accept the increase, a full refund will be provided, as long as Elegant Travels receives written cancellation within 3 days of the price adjustment notice.

AUTOMATIC INVOICING PLAN

You are automatically enrolled in our Automatic Invoicing Plan upon booking. You can relax knowing that your future invoices will be sent automatically. When you book, calculate an evenly divided invoicing schedule for you, so you will know in advance the date each month when your invoice will be sent. Your initial deposit is due at the time of booking, and your future invoices will follow the schedule outlined on your invoice. Automatic invoicing is provided at no additional charge.

You can opt out of automatic invoicing by emailing us after you make your reservation. Please send an email to elegantescapestravel@gmail.com.

PAYMENTS & CANCELLATION

Deposit: A deposit is due at the time of reservation. All deposits are non-refundable and non-transferable. Unless otherwise specified, all reservations require a deposit, and the amount due along with the invoicing schedule will be clearly noted at the time of booking.

Full Payment: All reservations can be paid in full at the time of booking, as long as space is still available for the tour.

Late Payment: If there is any outstanding balance by the Final Payment Due date listed on your invoice, a late fee of $250 will automatically be added to your invoice one day after the final payment deadline.

Reinstatement of Reservations: If your travel reservation has been canceled and you notify us within 14 days that you would like to reinstate your reservation, a service reinstatement fee of $250 will be added to your invoice and must be paid before we can attempt to reconfirm services. Reinstated reservations will be subject to current pricing, which may have changed.

Last Minute Reservations: All reservations must be made at least 60 days before the scheduled departure date. If the requested services cannot be confirmed, payments will be refunded. If services are confirmed, final payment is due within 24 hours, and all applicable cancellation penalties will apply.

FORM OF PAYMENT: Elegant Travels Incorporated accepts all major credit or debit cards (American Express, Discover, Mastercard, Visa).

REFUNDS: All payments to Elegant Travels Incorporated are non-refundable and non-transferable. This is due to our contractual agreements with hotels, airlines, and other vendors that do not allow us to obtain refunds. These agreements help us keep our package prices competitive and allow you to make monthly payments on your vacation.

CANCELLATION: Once reservations have been made, cancellations will only be accepted in writing. Email your cancellation request to elegantescapestravel@gmail.com with your invoice number, full name, and travel date. After we receive your email, you will be sent a cancellation request form that must be completed to finalize the cancellation process. If you do not receive an acknowledgment within 48 hours, please call 562-287-4721 to confirm that your information was received.

RESERVATION NAME CHANGES: Name changes due to incorrect information provided will incur a $250 per person fee plus any additional supplier charges. Please note that name changes to airline reservations are subject to full cancellation and rebooking. Replacing a traveler with another person is considered a cancellation and is subject to cancellation penalties; this is not covered under the Reservation Name Changes policy. Any changes or additions after departure are subject to local rates at the time of amendment and must be paid directly by the passenger to the service provider. There are no refunds for unused services.

COVID-19 WAIVER OF LIABILITY

In Spring 2020, the World Health Organization (WHO) declared the Novel Coronavirus (COVID-19) a worldwide pandemic. The Centers for Disease Control and Prevention (CDC) issued several preventative measures to reduce the spread of the virus, such as frequent hand washing, wearing a face covering, and practicing social distancing. COVID-19 can cause serious illness or death. For more information, please visit the CDC website at www.cdc.gov.

By booking travel with Elegant Travels Incorporated, I understand and agree to the following:

1. COVID-19 is a highly contagious virus that can be spread via person-to-person contact.

2. After reasonable inquiry, Elegant Travels Incorporated provided me with the best available information regarding the pandemic-protective policies and practices of the vendors and suppliers included in my travel itinerary.

3. The suppliers used by Elegant Travels Incorporated may have policies in place to help prevent the spread of COVID-19. Elegant Travels does not create or control these policies, and I understand they may change at any time.

4. I understand suppliers may not always enforce those policies, and other travelers may choose not to comply.

5. I am responsible for knowing and following all pandemic-related policies, requirements, and regulations for each state or country listed in my itinerary. I understand that failure to comply or meet requirements may result in denied entry or other travel restrictions beyond the control of Elegant Travels Incorporated.

6. I understand that by traveling, I could be subject to voluntary or involuntary quarantine either at home or in any destination included in my itinerary.

7. I am responsible for understanding the pandemic-protective policies of all vendors, hotels, airlines, and service providers used during my travel, including any updates.

8. With full awareness of the risks involved, I, on behalf of myself and my travel companions, assume all risks associated with travel and agree to forever hold harmless, waive, discharge, and release Elegant Travels Incorporated, its officers, agents, contractors, employees, affiliates, and successors from any liability, claims, demands, or causes of action related to COVID-19, whether caused by negligence or any third party.

9. I agree to indemnify, defend, and hold harmless Elegant Travels Incorporated from any and all costs, claims, lawsuits, or losses arising from my use of their services or the services of their suppliers, specifically regarding COVID-19.

 

TRAVELERS WITH DISABILITIES: In order to fully enjoy your Elegant Travels tour, we recommend selecting a trip that matches your physical abilities. Tour participants requiring any form of assistance, including travelers with physical disabilities or sight and hearing impairments, are required to notify Elegant Travels Incorporated prior to making a reservation for review and approval. Additionally, the tour participant must be accompanied by someone responsible for providing any necessary assistance. Tour managers, guides, drivers, and other tour, hotel, or cruise personnel are not able to provide such assistance. To participate in escorted tours, passengers must be able to understand and follow instructions from the Tour Director at all times, for both the smooth operation of the tour and personal safety. Elegant Travels Incorporated reserves the right to decline participation or remove any individual from a tour if prior notification was not provided and/or if, in our judgment, their participation significantly hinders the experience for other guests. Any expenses, including cancellation fees, alternate travel costs, or early return expenses, will be the passengers sole responsibility. Escorted tours are fast-paced and often require extended walking over uneven terrain. For group harmony, all clients must be able to maintain the pace of the tour. Travelers with special needs may be better served with independent travel options. Elegant Travels can recommend touring alternatives based on specific requirements.

WHEELCHAIRS & WALKERS: USA Tours: In accordance with the Americans with Disabilities Act (ADA), Elegant Travels Incorporated seeks to accommodate travelers with disabilities to the extent possible and consistent with the tour itinerary. However, certain tour features may not be fully accessible to those requiring wheelchairs, scooters, or other mobility devices. We are unable to provide individual assistance to travelers with wheelchairs or mobility devices. Some itineraries cannot accommodate wheelchairs or motorized scooters. Passengers must advise Elegant Travels Incorporated of accessibility requirements before booking so we can determine whether reasonable accommodations can be provided. We will make every effort to meet special access needs but cannot guarantee accommodations in all cases.

International Tours: Hotels, cruises, and other travel services outside the United States are not required to comply with ADA regulations and may not have ramps, elevators, or wide entryways for disabled passengers or mobility devices such as wheelchairs, walkers, or motorized scooters. Due to physical space limitations, these devices may not be taken aboard motor coaches or river cruises.

SERVICE ANIMALS: Service animals cannot be accommodated on international escorted tours. Passengers on USA escorted tours requiring a service dog due to a disability must contact Elegant Travels Incorporated prior to booking to discuss arrangements.

AIRLINES: Elegant Travels Incorporated does not automatically include airfare with our travel packages. If you would like air travel arranged, you must request it directly through our office by calling 562-287-4721 or emailing elegantescapestravel@gmail.com. We will provide a quote and options for airfare upon request. Elegant Travels Incorporated is not responsible for the services, policies, or schedule changes imposed by the airlines. All airline schedules and flights are subject to change without notice. If you purchase airfare on your own, Elegant Travels Incorporated is not responsible for any penalties, fees, or changes due to flight delays, cancellations, or modifications that impact your travel plans.

AIRLINE TICKETS: If you request air travel through Elegant Travels Incorporated, your tickets will be issued electronically approximately 30 days prior to departure and will be fully non-refundable.

AIRLINE SEAT ASSIGNMENTS: The airlines maintain full authority over seat assignments for all flights. Any airfare arranged through Elegant Travels Incorporated is booked in economy class only. If you prefer an upgraded class of service, you are welcome to arrange your own airfare and purchase a land-only travel package from Elegant Travels Incorporated.

AIRLINE FREQUENT FLIER PROGRAMS: If you request airfare through Elegant Travels Incorporated, it is your responsibility to contact the airline directly regarding mileage eligibility and accrual. Airline frequent flier programs determine whether to award miles, in part or in full, based on their own rules, which change frequently. Some discounted, promotional, or code-share flights are not eligible for mileage accrual. In certain cases, airfares arranged by Elegant Travels Incorporated may not qualify for frequent flier miles or may qualify for reduced miles, even if the same airline class of service would normally earn full mileage. Not all published airfares are eligible for mileage. If you provide your frequent flier number to Elegant Travels prior to your travel documents being issued, we will record it, but this does not guarantee mileage eligibility. Airline policies regarding mileage are at the sole discretion of each airline. We highly recommend providing your frequent flier information at online check-in or at the airport. Once travel has commenced, it is often not possible to apply mileage credits retroactively. You are also responsible for determining if previously earned miles can be used toward flight upgrades.

CONTACT INFORMATION: To comply with TSA Secure Flight requirements, all passengers must provide Elegant Travels Incorporated with their full name as it appears on their passport (or other government-issued ID), date of birth, gender, address, phone number, and email. It is your responsibility to ensure that names are listed correctly on your invoice. Elegant Travels Incorporated is not responsible for passengers who do not receive their documents or are denied boarding due to incorrect information.

AIRLINE NAME CHANGES: Any name change, including minor spelling corrections, may require airline reservations to be canceled and rebooked. Rebooking is subject to current availability and pricing. After tickets are issued, name corrections will result in airline rebooking fees, which may equal the full value of the ticket, plus a $250 revision fee per change. Elegant Travels Incorporated is not responsible for denial of service due to name discrepancies. All name changes must be submitted in writing to elegantescapestravel@gmail.com.

AIRLINE TAXES & FUEL SURCHARGES: If you purchase airfare through Elegant Travels Incorporated, airline taxes and fuel surcharges are included. However, government taxes, fees, or fuel surcharges may increase prior to full payment. To avoid potential increases, you may complete your full payment early so your tickets can be issued. Once tickets are issued, they are no longer subject to increases but become fully non-refundable. Certain domestic flights abroad may include taxes that can only be paid locally; specific details will be included in your package information.

SCHEDULE CHANGES: Elegant Travels Incorporated does not include airfare unless requested by the client. If you request air travel through our office, we will make every effort to inform you of any airline schedule changes prior to departure. Elegant Travels is not responsible for schedule changes, flight routing, or itinerary modifications implemented by the airline. We cannot provide compensation for schedule changes, seat assignment adjustments, or airline-initiated cancellations. If you independently change your flight itinerary, you must notify Elegant Travels Incorporated in writing at elegantescapestravel@gmail.com. We are not responsible for missed land services, including transfers, if we are not informed of updated flight details.

HOTEL ACCOMMODATIONS: All requested rooms are standard single rooms with private facilities unless a king or double bed has been specifically requested. Bed types are subject to availability and not guaranteed. Room selection is at the discretion of hotel management on a run-of-house basis. Single rooms may be smaller than standard room sizes, regardless of the number of occupants.

In many destinations, especially Europe, air-conditioning may differ from U.S. standards and may be seasonally restricted or unavailable. Many historic hotels abroad were built before the introduction of central air-conditioning. Hotel rates are based on Elegant Travels Incorporated agreements with our suppliers and are non-negotiable. Hotel check-in is generally after 3:00 p.m., and check-out is before noon. If you have a late-night flight, please ensure your accommodations are arranged accordingly. We reserve the right to substitute hotels of equal standard when necessary. There are no refunds for differences in accommodation costs.

TRANSFERS: Transfers are provided by car, minibus, or motor coach as indicated for each tour only if airfare is purchased through Elegant Travels Incorporated. If you purchase a land-only package or deviate from the arrival or departure dates stated in the itinerary, you are responsible for arranging and paying for your own transfers to and from the hotel. Arrival transfers are guaranteed for up to two hours after your scheduled arrival time to accommodate minor delays. Elegant Travels Incorporated and the transfer company are not responsible for flight delays beyond two hours from your scheduled arrival. In case of delays caused by flight issues, immigration, customs, or baggage claims, you will need to arrange alternative transportation, such as a taxi. Transfer costs are non-refundable, and any additional expenses will be your responsibility. Transfer services typically cost more than taxis because drivers provide round-trip service, including travel where the driver must return empty to their starting point. Additionally, airports, seaports, and hotels may charge entrance or parking fees, with drivers sometimes waiting up to an hour. Though transfer drivers are not employees of Elegant Travels Incorporated, they are reliable professionals who provide a warm welcome, transport you safely to your destination, and can answer questions along the way.

GROUP HARMONY: To ensure a positive group experience, Elegant Travels Incorporated reserves the right to accept, reject, or remove any individual who is deemed disruptive or incompatible with the groups interests. This includes, but is not limited to, individuals who are intoxicated or under the influence of drugs, causing a negative experience for other travelers. Any expenses incurred, including cancellation fees or costs for alternate travel arrangements or early return home, will be the sole responsibility of the passenger. All unused services are non-refundable.

 

FAQs (Frequently Asked Questions)

 

ARRIVAL/DEPARTURE:

Do I need a passport to go on the cruise?

For most cruises, you can use either a valid U.S. passport or a state-issued birth certificate with a government-issued photo ID. However, we strongly recommend traveling with a valid passport that has at least six months of validity beyond your return date, especially for international ports.

Do I need a visa for this cruise?

Visa requirements depend on the countries your cruise will visit. It is your responsibility to check each country’s visa policies based on your citizenship. We recommend contacting the embassy or consulate for accurate information.

Are flights included with this cruise?

No, flights to and from the cruise port are not included. Why? Elegant Travels Incorporated prefers to give you the flexibility to book your flights based on your personal schedule, airline preference, or frequent flier miles. What port should I be arriving into?

Your specific port of embarkation will be provided after booking. Please review your travel documents carefully.

What port will I be departing from?

The port of disembarkation depends on your cruise itinerary. Full details will be included in your final travel documents.

My return flight doesn’t leave until late (after disembarkation). What should I do?

Please notify your host of your flight times that may conflict with standard disembarkation. We will assist with the best possible recommendations or accommodations.

Can I extend my trip after the cruise?

Absolutely. You can extend your stay in the port city or continue your travels to another destination. Let your host know in advance so we can assist with safe and responsible accommodations or recommendations.

MEALS:

If I have dietary restrictions, what should I do?

Inform your host immediately after booking by emailing elegantescapestravel@gmail.com. Include your name, cruise details, and your dietary restrictions in full detail.

ROOMMATE:

I am traveling alone, will I be paired with a roommate?

No, we do not offer roommate matching. All rooms are based on double occupancy rates, but solo travelers will be responsible for the single occupancy rate.

My friend is accompanying me on this cruise, can we share a room?

Yes, you and your friend can share a cabin. Each person will pay the same per-person rate based on double occupancy. Please notify your host if you wish to share accommodations.

My friend backed out and now I don’t want to go. Can I get my money back?

Once your initial payment is made, you have signed a Passenger Agreement acknowledging that all payments are final and non-refundable. We understand life happens, but we are held to strict contractual agreements with our travel partners.

Can I upgrade my room accommodations?

Yes, upgrades are available for an additional fee and are based on availability.

WEATHER:

What is the weather like during the cruise?

 Weather conditions depend on the cruise destination and time of year. We recommend checking local forecasts closer to your travel date or asking your host for destination-specific weather details.

CURRENCY EXCHANGE:

How much money should I bring for the cruise?

Onboard purchases can typically be charged to your cabin with a major credit card. For ports of call, we suggest bringing around $250 in cash for tipping and small local purchases. Major credit cards are widely accepted, but always check currency requirements for each destination.

Are cruises safe?

Cruises are generally considered a safe and enjoyable way to travel. Cruise lines take extensive safety measures, and Elegant Travels Incorporated only partners with reputable cruise providers. As with any travel, it’s important to remain aware of your surroundings both on the ship and in port cities.
