By allowing Travel with the Trio, LLC an affiliate of The Travel Mechanic, LLC (hereinafter “The Travel Mechanic”, “we”, “us”, “our”) to plan your next journey, you will experience the joy of travel while leaving the stress of planning to us. We strive to help each of our clients (hereinafter “traveler”, “you”) travel successfully and confidently. Cheers to your next travel adventure!
We draw your attention to the Terms and Conditions of travel can be found online by clicking here. These Terms and Conditions including all brochures, documents, correspondence, and the terms and conditions of our suppliers form the basis of the contract with you. Before making a booking with us you must ensure that you have read and understood these Terms and Conditions (and ask any questions you may have). Please be aware that these terms and conditions contain waivers of liability as well as a waiver of class action and venue selection and notice clauses. By asking us to confirm your booking you are accepting all the Terms and Conditions laid out below and acknowledging that you have read the Terms of this Contract and agree with it.
If you are making a booking as a group, the leader of the group is responsible for sharing these Terms and Conditions with all members of the group and is financially responsible for the booking. We will not be liable for a group leader’s failure to share these Terms and Conditions with all travelers in their group.
ENTRY / RE-ENTRY REQUIREMENTS: If you have any issues (i.e. legal convictions, arrests, warrants, child support issues, or other extenuating circumstances) that would prevent you from traveling outside of the US, it is YOUR responsibility to verify your ability to obtain a US passport and to travel outside of the US. Travel with the Trio, LLC will not be responsible for any denied boarding or entry/reentry into any country due to legal matters. Travel insurance does NOT cover denied boarding or entry due to legal issues. Please consult your policies for details.
EMERGENCY SUPPORT/ REBOOKING FEES: Need to cancel your trip and rebook the same vacation for a later date? We can take care of the tiny details from canceling each element of your current booking to confirming new dates. Should you need rebooking services while you are away we can also take full care of that for an additional fee of $350 per household. Separate cancellation policies/fees apply to select products and may be up to 100% of total price. Unused travel arrangements or travel arrangements cancelled, amended, or altered once travel has commenced do not qualify for any refund.
INSURANCE: We offer you affordable and comprehensive insurance plans. Please click here for policy details. Please note if you wish to take advantage of the Pre-Existing Medical Condition Coverage, your insurance premium must be paid within 14 days of your initial deposit payment for your trip. Insurance may not be added after final payment.
BOOKING CHECK LIST:
- Names - The correct spelling of the traveler's names must be provided as they appear on the passports prior to making the airline booking. If the travelers have a Known Traveler or Global Entry number and plan to use TSA Pre- Check you must provide us with this information so that we can ensure that the full name per the passport, including the middle name appears on the tickets. If the passenger does not have a Known Traveler or Global Entry Number, we will issue the tickets with the first and last name per the passport only (no middle names are needed on the tickets). Name corrections that require the reissue of tickets will incur a $150 per person charge, as well as any fees charged by the airlines which could be up to 100% of the ticket cost plus the price of a new ticket.
- Passports and Visitors Visas - All passengers are required to travel with a passport valid for at least six months beyond their anticipated return date.
- Visitors to Australia are required to have an entry visa. For a fee of $25, Islands in the Sun can issue an Australian visa for U.S. and Canadian citizens on receipt of the relevant requirements, including a copy of your passport to process.
- Visitors to New Zealand and transit passengers must have an NZ Electronic Travel Authority and pay an International Visitor Conservation and Tourism Levy before traveling to New Zealand.
- Visitors to certain Asian countries including Vietnam, India, Myanmar (Burma), China, and Bhutan are required to obtain an entry visa prior to travel.
- As information can change quickly and without notice, please ensure you visit the following websites for the latest information; Americans: https://travel.state.gov/content/passports/en/country.html. Canadians: www.voyage.gc.ca. It is the traveler's responsibility to have the necessary visas for the countries being visited.
- International Flight Information and Ticket Numbers - Please note if we are not issuing the international tickets, correct flight information and ticket numbers are required for us to arrange applicable transfers and domestic air tickets.
- Special Meal requests - Please advise of any special meal requests or dietary requirements.
- Seating Preference - Seat requests are never be guaranteed, and most airlines currently charge a fee to confirm seating. Please advise at the time of booking if you require advanced seat assignments so our team can advise the associated costs and your preference is noted.
- Bedding request - It is imperative that you advise your bedding preference (double, twin, triple or single) at the time of booking.

PASSPORTS: Proper documentation is YOUR responsibility. The following information is based on current requirements for U.S. citizens at time of publication. This information may change- contact your destination consulate for the most current requirements on your travel date. Passengers returning to the U.S. by air from any international destination must have a valid passport, and may be denied boarding by the airline if the passport is damaged, mutilated, or has excessive wear. A “Passport Card” is not acceptable. If your name on your passport (or for non-U.S. citizens, “valid travel documents”) does not match your name on your travel documentation, you will not be allowed to travel. A passport valid for up to 6 months past the date of completed travel is required when traveling internationally. Married or divorced women traveling under names other than what is printed on their travel documents must supply a marriage license and/or divorce decree. For details on how to obtain a passport, contact your local courthouse or post office. If you are not a U.S. citizen, contact your destination’s consulate or embassy to determine required entry documents. Passports are NOT required for travel within the continental U.S., Hawaii, Puerto Rico, and the U.S. Virgin Islands. However, travel to these U.S. destinations/ U.S. territories requires a valid state/government-issued picture I.D. or valid state-issued driver’s license. Beginning May 3, 2023, your valid state/government-issued picture I.D. or valid state-issued driver’s license must be compliant with the Real ID ACT. Visit here for more information. If it is not compliant, visit tsa.gov/travel/security-screening/identification for alternate forms of acceptable ID. Any passenger who is denied boarding due to lack of proper documentation will have their vacation cancelled. Failure to comply with the above requirements will result in you not being allowed to travel and no refund will be given.
HONEYMOON & ANNIVERSARY TRAVELERS: You MUST bring a copy of your marriage certificate to qualify for any complimentary honeymoon/anniversary package (photo copy is recommended). Failure to have such proof of marriage will result in the resort denying these complimentary privileges (if applicable). PLEASE notify your Travel with the Trio agent if you are celebrating a Honeymoon or Anniversary so that they can annotate this in your reservation. Typically, resort will honor these packages up to 30 days before or after your honeymoon/anniversary date.
CHANGES TO RESERVATIONS: ANY changes made to your existing room reservation are subject to the current rates, promotions, and terms at the time of change. In addition, we understand that sometimes situations arise and there may be the need to adjust dates of travel and/or room category due to unforeseen circumstances. Travel with the Trio reserves the right to charge a $50 Service Fee for having to make additional changes to an existing reservation. If you cancel your vacation or change your travel date, flight, duration, class of service, name, departure city, or destination, the charges shown below become payable by you. Significant additional penalties (i.e. non-refundable airline tickets and fees, non-refundable or non-transferable hotel promotions) may apply. If the number of individuals occupying a room changes due to a cancellation or booking change, the remaining traveler(s) will be responsible for any additional costs incurred as a result of a change in the per person occupancy rate. If all travelers change, it is considered a new booking and cancellation fees will apply. Non-refundable hotels incur penalties upon deposit. Once travel has begun, there will be no refunds for any unused or partially used travel component for any reason. Contracted group bookings follow alternative change and cancellation policies according to the individual group's contract.
FINAL PAYMENT: The final payment MUST be received NO LATER THAN stated date on invoice unless otherwise noted. Final payments are not automatically charged. Please note your calendar of this final payment date as reminders may not be sent, however we try to send reminders about a week before it’s due. You must contact me at 954-574-2877 or cary@travelwiththetrio.com on the date you'd like the payment to be posted. Travel with the Trio is not responsible for cancellations due to payments made after this date. Late fees will apply.
CANCELLATION PENALTIES: Pertaining to the room portion of your trip; once your reservation is made deposit is a nonrefundable penalty will be assessed up until any additional resort penalties take effect. The aforementioned is per person or entire room canceling (so if 1 person within the room cancels these same rules apply for that person). Regarding Airline tickets: if Travel with the Trio booked your tickets, they are 100% non- refundable and subject to individual airline penalties/fees (see insurance below).
LATE FEES: Final payments not received prior to the due date above will incur a $25 per person late fee. All reservations are subject to cancellation and hotel penalties as described above if final payment is not received on the due date. Late fees are not covered by the travel insurance and are always non-refundable. All the above would be protected with the optional Travel Insurance with the exception of late fees. If you do not have insurance – natural disasters (such as hurricanes), cancellations for ANY reason (medical/personal emergencies, cancelation of the wedding, etc.) do not relieve you from these penalties. ONLY the Travel Insurance will ensure you coverage. All cancellations must be received in writing.
ZILLA CLAUSE: Consultant reserves the right to stop working on said wedding if clients(s) are not working toward the same goal and begin to interrupt the planning process (i.e., bad attitudes; treating the planner unprofessionally; etc…). In this case, any monies paid will be forfeited by the client, but no future payments will be required to the Consultant.
This service agreement only applies to destination wedding planning services provided by Cary Camacho This agreement does not represent Resorts, Airlines, and other wedding vendors services. Additional contracts might need to be signed with Tour Operators, Resorts, Venues, etc, in which case I will guide you.
If your understanding parallels mine, please sign one copy of this letter your electronic signature also constitutes a legal signature and your agreement with these terms) and return it to me along with your payment in the amount stated in your invoices.

CHARGES AND CHARGEBACK: In the event of a dispute or disagreement between the parties related to the credit card charges, goods or services provided under this agreement, the following chargeback provisions shall apply:

Notification: The party initiating the chargeback shall promptly notify the other party in writing, providing detailed information regarding the dispute, including the nature of the issue and any supporting documentation.

Good Faith Resolution: The parties shall engage in good faith efforts to resolve the dispute amicably before initiating a chargeback. They shall communicate openly, exchange relevant information, and attempt to reach a mutually acceptable resolution.

Chargeback Initiation: If a resolution cannot be reached within 5 business days from the notification, the party initiating the chargeback may proceed with the chargeback process. The initiating party shall comply with any applicable laws, regulations, or requirements of payment processors or financial institutions involved.

Chargeback Validity: A chargeback may be initiated only under the following circumstances: a. Non-delivery of goods or services as specified in this agreement. b. Defective or substandard goods or services that do not meet the agreed-upon specifications. c. Unauthorized or fraudulent transactions. d. Billing errors or overcharges.

Supporting Documentation: The party initiating the chargeback shall provide all relevant and necessary documentation to support their claim, including but not limited to invoices, receipts, correspondence, or any other evidence related to the dispute.

Resolution Process: Upon receipt of a chargeback request, the parties agree to promptly engage in a resolution process, which may involve negotiations, mediation, or arbitration as agreed upon by both parties.

Chargeback Fees and Penalties: If a chargeback is deemed invalid or initiated in bad faith, the initiating party shall be liable for any associated fees, penalties, or costs incurred by the other party.

Time Limit: The right to initiate a chargeback under this clause shall be subject to any applicable time limits imposed by payment processors or financial institutions involved.

Survival: The chargeback clause shall survive the termination or expiration of this agreement for any reason.
This chargeback clause is included for the purpose of addressing disputes related to the goods or services provided under this agreement. The parties acknowledge that any chargeback initiated shall be governed by this clause and any applicable laws or regulations."
TRAVELING WITH CHILDREN: Children under 18 years of age not traveling with both parents or legal guardian(s) may need to present a notarized letter from the absent parent/guardian granting permission to travel outside the United States and provide emergency medical care if necessary. TRAVEL DOCUMENTS: Travel documents will be sent to you no later than ten (10) days prior to departure date. Please read through these documents immediately; misprints, misspellings, incorrect dates etc. are not the responsibility of Travel with the Trio included in your travel documents (if airfare is purchased through Travel with the Trio) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets). Boarding passes are printed at the time of check in; online with the airline directly, or at the airport when showing passport & checking in luggage. It is very important that you take your travel documents with you in addition to passports and a major credit card for any baggage fees that may apply.
TRANSPORTATION: All round trip transfers will be shared unless guest / client upgrades to private. Flight details are to be submitted to Travel with the Trio, LLC no later than 45 days prior to travel. Changes are not permitted 30 days prior to travel.
BAGGAGE FEES: Due to continual changes in airline baggage policies it is suggested that you inquire with your airline's website for up-to-date fees & information. Travel with the Trio is NOT responsible for additional fees incurred for baggage or seating. BAGGAGE FEES ARE NOT PART OF AN ALL-INCLUSIVE PACKAGE! Please review "Updated Checked Bag and Carryon Bag Rules" at www.TSA.gov
AIRLINE SCHEDULE CHANGES & CANCELLATIONS: Occasionally airlines change flight schedules, & may even cancel flights entirely. These changes are beyond Travel with the Trio’s control. In the event that such a situation occurs; Travel with the Trio will do its very best to assist you with finding best possible alternate option(s). If the flight time change is minor (2 hours or less) the airline will automatically make the change (airline policies/rules entitle them to legally do so). Travel with the Trio will notify you of major changes.
Please Note: there may be additional costs to re-book a new flight should the airline cancel or make a major change to your original flight itinerary. Travel with the Trio is NOT responsible for any additional costs or fees imposed by the airlines. It is the responsibility of the passenger to check for last-minute airline flight time changes within 24 hours of departure. Travel with the Trio is not responsible for changes that may occur within 24 hours of original flight departure time.
RE-CONFIRM YOUR FLIGHTS: Travel with the Trio advises you personally re-confirm your flight schedule within 24 hours prior to departure directly with the airline in case of any last-minute changes or delays. Most airlines allow you to check in online 24 hours prior to departure using the “Record Locator” (found in your Travel with the Trio “Bon Voyage” travel emails)
AIRLINE CHECK-IN: Please check in with your airline at the airport no later than two (2) hours prior to scheduled flight departure time.
RESORT CHECK IN: Check-in time at most resorts is 3:00 pm (local time). If you arrive prior to 3:00 pm your room may not be ready. The resort will store your luggage in a secure location on property so you may start enjoying your vacation without delay. Change into something more comfortable and enjoy a nice lunch, swim in the pool, walk along the beach, etc. until you are notified that your room accommodation is ready for check-in.
TRAVEL DOCUMENTS: Your travel documents will be emailed to you once full payment is received. Please check them carefully to ensure that all the information is correct and passenger names exactly match your Proof of Citizenship. If you discover an error, please contact your travel agent immediately.
FLIGHTS & AIRPORT CHECK-IN: Your flight information will appear on the booking confirmation issued when you make your deposit, and on your electronic travel documents issued upon full payment. All flight times are subject to change without notice. We strongly suggest that you reconfirm exact flight times with the carrier 24 hours prior to departure and again before departing for the airport. For international flights, we recommend arriving at the airport at least three hours prior to your scheduled departure time to allow time to check in and get through Security. For domestic flights, we recommend that you arrive two hours prior to travel but absolutely no later than one hour prior to travel. If you do not have pre-assigned seats and have seat preferences, we recommend that you arrive early as seats will be assigned upon check in based on availability. Pre-assigned seat selection is at the discretion of the air carrier and may require payment of an additional fee.
SPECIAL REQUESTS: If you request special arrangements such as adjoining rooms/room locations, bedding requests, specific assistance or special meals, we will pass on your request to the vendor on your behalf. However, since these requests lie outside our contracts with our suppliers, we cannot guarantee special requests unless otherwise stated.
YOUR RESPONSIBILITY: By booking with Travel with the Trio, you agree to defend and indemnify us and all respective suppliers and any officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal fees, brought by third parties as a result of: a) your breach of these Terms and Conditions or the documents referenced herein; b) your violation of any law or rights of a third party; or c) your use of the Travel Impressions website and/or any travel documents.
LUGGAGE & PERSONAL PROPERTY: Many airlines charge fees for checked and/or carry-on bags. Fees vary and are set by each air carrier. Information on carrier baggage policy and fees, liability for lost, misconnected and damaged baggage or other personal property can be obtained through your travel agent, by contacting the air carrier directly, or by requesting them at the airport, or click here. Carry-on luggage is limited to one bag per person and must be small enough to fit beneath the seat in front of you. Excess/oversized baggage may be denied at check-in or subject to additional charges. Travel Impressions accepts no liability for loss or damage to luggage and recommends a TSA approved lock. All lost or damaged luggage must be reported to an airline representative at the destination airport by the passenger before you leave the airport. Some airlines do not cover damage to soft-sided luggage.
AIR CARRIERS: We have made arrangements for air transportation to your vacation destination via regularly scheduled certificated air carriers or other air carriers who have duly filed with and are authorized to operate air transportation and public charter transportation by the U.S. Department of Transportation. They reserve the right to substitute alternate air carriers if necessary. All air travel is subject to the terms and conditions of the operating air carrier. When you fly to and from your destination the Conditions of Carriage apply, some of which limit or exclude liability. The Conditions of Carriage are available on the air carrier's website or by request at the airport.
HAZARDOUS MATERIALS RESTRICTIONS AND INSECTICIDE NOTICE: Federal law forbids the carriage of hazardous materials aboard aircraft in your luggage or on your person. A violation can result in five years' imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives and radioactive materials. Examples: Paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radio-pharmaceuticals. There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in your luggage and certain smoking materials carried on your person. Special restrictions and limitations for transporting Hazardous Materials and specifically Lithium Ion batteries, refer to www.faa.gov/go/packsafe for more information. In the event a carry-on bag cannot be accommodated in the passenger cabin and has to be placed below in a cargo bin for any reason, any electronic device or spare Lithium-ion or any other type of battery permitted in carry-on baggage MUST be removed from the carry-on bag and remain in the possession of the passenger in the passenger cabin. For further information, contact your airline representative. Some countries may require aircraft cabin insecticide treatment for in-bound foreign flights. HEALTH & SAFETY TIPS FOR TRAVELERS: As travel opens up around the world, all destinations, airports, air carriers, hotels, restaurants, transfer companies, car rental companies, shops and excursions have established COVID-19 safety measures and precautions which may change from day to day. These safety measures may include but are not limited to curfews, attraction closings and reduced hours, size of group gatherings, social distancing requirements, health screenings and self-quarantine requirements. In addition, you must follow CDC guidelines and the recommendations of health officials. Please note that any public location where people have been or are present provides an inherent risk of exposure to COVID-19 and Travel Impressions cannot guarantee that you will not be exposed during your vacation. By traveling, you agree that you assume these inherent risks associated with your vacation. Any and all additional costs will be your sole responsibility. Before booking travel and before your travel dates, we strongly recommend that you visit the U.S. Department of State website travel.state.gov, as well as the Centers for Disease Control and Prevention website, cdc.gov, which include important information on foreign travel such as travel advisories, warnings and restrictions issued by the U.S. government. You are responsible for complying with the health requirements of the countries you intend to visit. No destination is 100% safe. By embarking upon your travel, you voluntarily assume all risks involved in such travel, whether expected or unexpected.
