Booking Process: To start a booking, you need to agree with these terms and conditions, pay the trip deposit and complete the credit card authorization form. We accept all major credit or debit cards with a verifiable billing address. You hereby authorize us to process the charge to the credit or debit card you provide to us for the total amount of your booking and our professional services. To protect our customers, we verify with the credit/debit card company that the billing address and credit card verification number you provided to us is accurate and that your debit/charge will be accepted. Until such information is verified, the fare is subject to change. We are not responsible for any transaction that is declined based upon a credit/debit card that is declined by the issuing company or a travel provider or if, for any reason, the debit/credit card billing address and/or credit card verification number cannot be verified in a timely manner, nor are we responsible for any changes in fare or any other charges that may occur during our verification process. In the event the fare selected is not available, an approval code may have been issued on your credit card. If the transaction is not completed the approval code may temporarily debit the amount from your bank account. The terms of your booking (such as price, availability and/or dates of travel) are not guaranteed until the ticket or confirmation number is issued. Please note that once you have completed the booking, you can only cancel or change the details (such as names or destinations) of your booking at our sole discretion and in accordance with these and the Supplier’s terms & conditions. Travel arrangements involving airline and cruise components are subject to Suppliers’ supplemental price increases that may be imposed by the Supplier and/or government, even after you have completed your purchase. You hereby consent to any such price increases and authorize your credit or debit card to be used for them. Suppliers have their own contracts covering cancellation penalties and other terms and conditions, and you may be bound by those contracts regardless of whether you receive notice of their terms.

 

Agent for Suppliers: and Travel Planners International Inc. (collectively “we” or “us”) act as sales agent for any airline hotel, car-rental company, tour operator, cruise line, or other service provider named in your itinerary or confirmation (“Suppliers”). We are not responsible for the acts or omissions of the Suppliers or their failure to adhere to their own schedules, provide services or refunds, financial default, or failure to honor future trip credits. In the event that a Supplier defaults prior to providing the service to you for which payment has been made, the sole recourse for refund shall be with the defaulting Supplier, from insurance covering such defaults if any, or from other responsible third party. We have no special knowledge regarding the financial condition of the Suppliers and no liability for recommending a trip credit in lieu of a refund.

 

Driver’s Licenses, Passports, Visas, and Other Foreign Entry Requirements: It is your responsibility to obtain and carry a valid passport, visa(s), and all other documents required by applicable government regulations. Beginning on October 1, 2021, you must present a driver’s license or another form of identification that complies with the requirements of the Federal Real ID Act (see www.dhs.gov/real-id for more information). If traveling internationally, you must have a valid passport and, depending upon the destination and nationality, you may need to obtain one or more visas, even for countries that you transit for a flight change. The name, date of birth and gender that appears on the identification card must exactly match the same such data that is listed on airline ticket(s) and booking records. We strongly recommend that you take into account that certain countries will not admit a passenger if their passport expires within six (6) months of the date of entry. Non-United States citizens may require additional documentation. Children and infants also require all such travel documents. Minors traveling with one parent, and/or without both parents, may be stopped and not admitted, unless authenticated and verified consent forms are provided to the authorities. Parental or legal guardian consent must be provided to the supervising adult/group leader. You acknowledge any failure to strictly comply with these requirements may result in denied v boarding or an undue delay at an airport security checkpoint causing you to miss flight(s), and subsequent scheduled travel bookings on cruises and tours. Check each Supplier’s website to ensure you and all members in your travel group or party obtain and carry travel documentation required. Each foreign country holds different views of past criminal offenses, whether within or outside of their boundaries. If you have a current or past offense, and you are unsure how the country you are traveling to (or through) views that offense, please contact that country directly for entry and exit requirements. We feel it is an invasion of privacy for any member of our staff to make such an inquiry.

 

Credit Card Rights: We also strongly recommend that you use a credit card for your purchase, so that you can exercise your rights under the Fair Credit Billing Act if you do not receive the services you purchased. However, if we are the credit card merchant, our role is to facilitate the sale, collect funds on your behalf, and remit those funds to the v Supplier. If the Supplier does not provide the services, your only recourse would be against the Supplier, and you agree not to initiate a chargeback against us.

 

Travel Insurance: For your protection, we strongly recommend that you purchase trip cancellation and travel accident insurance. We are happy to get you quotes from our trusted insurance providers. Please note that, unless you buy a cancel-for-any-reason policy, most policies have a specific clause stating they do not cover epidemics and pandemics, especially when travel warnings are in place. We are not qualified or authorized to answer technical questions about benefits, exclusions, and conditions of any of the insurance offered, nor evaluate the adequacy of your existing insurance coverage. No representation or description of the insurance made by our staff constitutes a binding assurance or promise about the insurance. You agree to hold us harmless for your election not to purchase travel insurance or for any denial of claim by travel insurer as it relates to COVID-19 or any other claim under the policy.

 

Other Risks of Travel and Release: We assume no responsibility for and shall not be liable for the acts or omissions of any party not under our control, or any acts of God, unsafe conditions, terrorism, health hazards including pandemics, illnesses, weather hazards, or the suitability for a disabled person of any portion of any trip. We have no special knowledge of dangers during travel or at destinations. For information related to such dangers, we recommend going to the State Department travel website at www.travel.state.gov, click on "Find International travel Information” then click on "Country Information", and fill in the name of the destination country. For medical and health information, we recommend going to the Centers for Disease Control website at www.cdc.gov/travel, then click on “Destinations” and scroll to the name of the destination country. It is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID-19 and any other pandemic situations. YOU HEREBY EXPRESSLY ASSUME ALL OF THESE RISKS AND DANGERS, AND YOU HEREBY EXPRESSLY AGREE TO FOREVER RELEASE, DISCHARGE AND HOLD US, AND OUR AGENTS, EMPLOYEES, OFFICERS, DIRECTORS, ASSOCIATES, AFFILIATED COMPANIES, GUIDES, GROUP LEADERS, AND SUBCONTRACTORS HARMLESS AGAINST ANY AND ALL LIABILITY, ACTIONS, CAUSES OF ACTIONS, SUITS, CLAIMS, AND DEMANDS OF ANY AND EVERY KIND AND NATURE WHATSOEVER WHICH YOU NOW HAVE OR WHICH MAY HEREAFTER ARISE OUT OF OR IN CONNECTION WITH THESE RISKS AND DANGERS.

 

Risks Related to COVID-19 and any future pandemic: You agree that it is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID-19. We have no responsibility for COVID-19-related requirements that travel suppliers and governments may impose from time to time, such as health affidavit forms, health screenings prior to departure or upon arrival, face coverings, exclusions, closures, or quarantines. Review Your Travel Documents Immediately: Once tickets and confirmations have been issued, it is your responsibility to review and inform us of any errors. Suppliers may have penalties for modifications or refunds. We do not have control over printed prices on the tickets, although some tickets may have BT (Bulk fare) printed on them, and some may have a specific value on them, which may be different (lower or higher) than the fare collected. Every endeavor is made to ensure all services are included as per your quote request; however, it is your responsibility to check all inclusions in the attached itinerary as any items not specified will incur supplementary charged.

Please be aware that public holidays, events, conferences or trade fairs may be scheduled to occur at the time of the groups visit and may have an effect on this tour with accommodation often difficult to secure in and around the area. We will update you on these events as they become available. Hotels can change up until day of arrival, even if prebooked. This may be due to various factors, including, but not limited to, hotel bookouts, and are out of Trafalgar's control.

Deposit:  Non-refundable deposits in the amount of $200 per person are due by 120 days prior to departure. Additional deposits may be required by particular hotels which we secure for the tour. As they become known you will be invoiced accordingly, and payment conditions specified. Air deposits are $100 and are non-refundable. 

Passenger List: Required no later than 120 days prior to  departure. All passenger data must be confirmed by this date. Any changes to passenger data after this date could result in full cancellation/rebooking and is subject to fees once booked.

Final Payment: Due  by no later than 75 days prior to departure.

Invoicing: Regardless if passenger numbers drop or increase after final payment has been paid to Trafalgar, you will be re-invoiced accordingly, based on full paying passenger numbers traveling, corresponding with the applicable price break quoted. This applies right up until day of departure.

Price: All prices for land itineraries are per person in USD. Unless otherwise stated the pricing is based on twin share accommodation. Prices are based on charges, taxes and levies current at the time of booking and may change if there are significant changes in taxes, charges or levies imposed by any government or its agencies. The price based on minimum passenger numbers and in order for the tour to operate these passenger numbers must be met. Pricing has been provided in tiers based on the number of full paying guests. If guest numbers drop below, the trip will need to be repriced on the applicable tier. If no tier was provided for the number of paying guests, the trip will need to be repriced. *If guest cancellation causes the rest of the group to drop to a higher price bracket and final payment has been received, 100% land cancellation penalty will apply.

In the case of computer or human billing or pricing errors, we reserve the right to re-invoice our customers with correct billing or pricing. Every effort is made to accuracy of our contracts; however, Trafalgar cannot be held responsible for printing or typographical errors, or errors arising from unforeseen circumstances. Moreover, photographs and descriptions of locations or attractions may not be the same as you experience at the time of your journey.

Cancellation Penalties for land:

More than 75 days prior to departure: loss of deposit(s)

Between 74 & 30 days prior to departure: 50% of total tour cost

Between 29 days prior to departure & day of departure: 100% of total tour cost

*Deposits and Final Payment may be due earlier if required for trips including cruise/ferry, train, intra-trip flights, special inclusions and/or based on individual hotel policies.

- Name changes may be considered as cancellation. If third party costs are incurred, they will be passed on to the guest.

- Air name corrections/changes are based on each specific airline's policy. A new airfare may need to be purchased, with any additional costs passed on to the guest. After final payment, changes or cancellation may be up to 100% air penalty. For group air, you must refer to your air contract for all terms and conditions.

Tours with Rail & Cruise: Additional supplier penalties may apply depending on the date of the cancellation. Individual cancellations may necessitate an adjustment in the per person tour rate.

Pre/Post Accommodation(s): Between 14 days and day of departure 100% of accommodation cost.

Refunds: No refund is available if cancellations occur after the tour has commenced or in respect of any tours, accommodation, meals or any other services not utilized.

Air Cancellation:

$100/Person deposit to secure air is non-refundable.

Trafalgar Terms & conditions

Itinerary Changes & Tour Cancellation: Trafalgar reserves the right to vary itineraries should circumstances dictate, as well as cancel or reschedule any tour departure in accordance with operating requirements, or circumstances beyond its control. Hotels listed are to be used as a guide only unless specified as confirmed. Confirmed hotels are subject to change beyond our control. In this situation we will arrange an alternative property as similar as possible. The advertised tours require minimum numbers to depart. Should these not be met Trafalgar reserves the right to cancel arrangements.

Amendments: A fee of $100 may apply to any change made to your booking once confirmed

Travel Insurance: Trafalgar highly recommends that all guests purchase comprehensive Travel Insurance. Trafalgar offers comprehensive travel insurance, or this can be purchased independently. Certain countries have a requirement for foreign visitors to have valid medical insurance on entry. Trafalgar cannot be held responsible for denied entry if a guest is unable to provide details to authorities of insurance or denial of entry for any reason.

Please note, travel insurance purchased through Trafalgar will only cover the amount being charged and collected by Trafalgar.

If Trafalgar collects a gross amount on your behalf the insurance rate will correspond with the gross amount and the full gross amount will be covered. If Trafalgar collects a net amount, then the insurance rate and coverage will only cover the net amount. Full coverage details can be found on our website.

Travel Policy and Updates: In this new, fast changing COVID- 19 era, we have implemented elevated hygiene and distancing practices to meet new requirements put forth by local governments and health authorities, including the World Health Organization (WHO). Rooming Arrangements: Singles are limited. These room types are on a request basis and will be subject to availability at the applicable confirmed hotels.

Tour Membership: Any person under 18 years of age must be accompanied by an adult. The Tour Director may, at his or her discretion, require any person to withdraw from any tour if he or she deems the person’s acts or conduct offensive or a nuisance to other passengers, and we shall have no further liability.

Baggage Allowance & Porterage: Porterage of one suitcase per person to and from the hotel and motorcoach is included in the tour price (unless otherwise specified). Due to limited coach capacity the sum of the length, width & depth of the case should not exceed 160cm (63 inches), and weight should not exceed 20kg (44lbs). Charges may be levied in the event these limits are exceeded & the promise to transport you may be invalidated.

What’s Not Included: Passports and applicable visa fees, laundry, phone calls, items of a personal nature, beverages, meals and sightseeing not detailed on the itinerary, excess baggage, optional experiences and travel insurance.

Suggested tip amounts are $7 - $8 USD, or applicable currency equivalent, per person, per day, suggested for the Travel Director, $4 USD or applicable currency equivalent, per person, per day, suggested for the Coach Driver, $10 USD or applicable currency equivalent per person, per day, suggested for Cruise Staff, and $1 – $2 USD or applicable currency equivalent per person, per day, suggested for Local Experts.

Documentation: Electronic travel documents will be emailed approximately 2 - 3 weeks prior to departure. Electronic travel documents will be sent to the Agent/Agency email address or to the guests directly upon request, provided accurate email addresses are provided to Trafalgar.

Air: Group air utilization rates and penalties are subject to change at any time and are controlled by the airlines. 

If a name change occurs after tickets have been issued, the guests’ air will have to be re-booked and re-priced subject to availability and any cancellation penalties the airline imposes will be passed along to the guest. If the guest count falls below the minimum of 18 required by the airline for group fare, the group will lose paid deposits and will be charged based on the applicable individual rates and airline availability at that time.

The package price is subject to change until it has been paid in full. The airline reserves the right to increase taxes until the flights are ticketed, no airfare is guaranteed until that time. Additional collection of payment for increases may be required. 

**Seat assignments or upgrades are subject to availability and at the complete discretion of the airlines. Seat assignments cannot be requested until ticketing. Some seat assignments or upgrades are not available until airport check-in. Specific seat requests or upgrades are not guaranteed, even when purchased.

Booking Terms and Conditions: These conditions incorporate the basis upon which bookings are accepted by the Travel Agent and Trafalgar. By making a booking you are agreeing to these terms & conditions. Conditions on this page do supersede conditions stated in the Brochure, however, for additional terms and conditions not stated here please refer to the ‘Booking Conditions and other Important Information’ pages in the Trafalgar Brochures or on our website at https://www.trafalgar.com/en-us. These must be studied prior to making the commitment of paying the deposit as they must be referred to. Additional terms and conditions may be applicable to group bookings and will be advised as they become known.

Claims Deadline and Exclusive Jurisdiction: You agree to present any claims against us within 30 days after your trip ends and to file suit within one year of the incident, and you acknowledge that this expressly limits the applicable statute of limitations to one year. You agree that the courts in will be the exclusive jurisdiction for all claims brought by you against , and that the courts in Orange County, Florida, will be the exclusive jurisdiction for all claims brought by you against Travel Planners International, and you hereby submit to the personal jurisdiction of those courts.
