Terms & Conditions – Big Easy Experience 2.0
By submitting payment for this experience, you acknowledge that you have read, understand, and agree to these Terms & Conditions in their entirety. Submission of payment constitutes a legally binding agreement.
1. Booking & Participation Policy
All curated group activities associated with this experience must be booked directly through Traces of Sunlight Travel.
Only confirmed and paid clients through Traces of Sunlight Travel may participate.
Activities or accommodations booked independently are not permitted for participation in group-curated events.
All payments are non-transferable.
2. Billing Disclosure & Charge Authorization Acknowledgment
By submitting payment, you acknowledge that multiple charges may appear on your bank or credit card statement.
Charges may reflect:
• Traces of Sunlight Travel – for professional planning, coordination, hosting, and curation fees that are included in the package price
• Individual third-party vendors (hotel, transportation provider, food tour operators, horse and carriage operator, restaurants, etc.) for tickets and reservations
This is normal and expected.
By submitting payment, you:
• Authorize all outlined charges
• Acknowledge multiple merchant names may appear
• Agree not to dispute legitimate charges
Unauthorized chargebacks constitute breach of agreement and may result in removal, collections action, and legal remedies.
3. Payment Terms
• A deposit is required to secure your space.
• The deposit is non-refundable under all circumstances.
• Final payment is due no later than October 1, 2026.
Failure to make payments by the deadline may result in cancellation and forfeiture of funds.
All payments become non-refundable after October 1, 2026.
4. Cancellation Policy
All cancellations must be submitted in writing.
Please note that the deposit is non-refundable at all times. Additionally, all payments made toward the trip become non-refundable if cancellation occurs after October 1, 2026.
No refunds will be issued for unused portions of the itinerary.
No transfers are permitted without written approval.
5. Hotel Accommodations
Participants are responsible for paying the hotel directly at check-in.
Traces of Sunlight Travel is not responsible for:
• Hotel service quality
• Room cleanliness
• Policy enforcement
• Staff conduct
• Incidental charges
Any hotel concerns must be addressed directly with hotel management.
6. Assumption of Risk
By participating in this New Orleans group travel experience, you acknowledge and accept that travel and related activities (including but not limited to walking tours, nightlife activities, transportation, excursions, and group events) involve inherent risks. These risks may include, but are not limited to, personal injury, illness, accidents, theft, property damage, delays, or unforeseen circumstances.
Traces of Sunlight Travel is not responsible for injury, illness, dehydration, accidents, or lost/stolen items, or anything else that chases of sunlight travel did not cause.
7. Transportation Release of Liability
Transportation carries inherent risks.
Traces of Sunlight Travel is not liable for:
• Vehicle accidents
• Traffic delays
• Personal injury
• Property damage
• Theft or lost belongings
Participation in transportation is voluntary and at your own risk.
8. Murder Mystery Dinner Train Disclaimer
The dinner train is operated by a third-party vendor.
Traces of Sunlight Travel is not responsible for:
• Food quality
• Food allergies or reactions
• Service dissatisfaction
• Performance quality
• Mechanical issues
• Injuries onboard
All vendor concerns must be addressed directly with the operator.
9. Alcohol Responsibility Clause
Alcohol consumption is voluntary.
Participants assume responsibility for monitoring their own intake.
Traces of Sunlight Travel is not responsible for:
• Injuries related to alcohol
• Behavioral incidents
• Medical emergencies
• Legal consequences
Disruptive intoxication may result in removal without refund.
10. Weather Variability Clause
Beach and scheduled activities may be impacted by weather conditions.
No refunds will be issued due to weather unless a vendor cancels directly.
11. Personal Property
Participants are solely responsible for their belongings.
Traces of Sunlight Travel is not responsible for lost, stolen, or damaged property.
12. Physical Activity Acknowledgment
This experience involves walking, standing, outdoor conditions, and stairs.
Participants are responsible for assessing their own physical fitness and mobility.
No refunds will be issued due to fatigue, soreness, or mobility limitations.
13. Health & Dietary Disclosure
Participants are responsible for disclosing allergies or medical conditions.
Dietary accommodations are not guaranteed with third-party vendors.
Participants assume responsibility for their dietary safety.
14. Missed Departures
No refunds will be issued for missed departures or late arrivals.
Participants are responsible for punctuality.
15. Group Harmony & Conduct
This is a curated group experience centered on respect and positivity.
Traces of Sunlight Travel reserves the right to remove any participant without refund for disruptive, unsafe, discriminatory, or inappropriate behavior.
16. Photography & Media Release
Photography and video may be captured during this experience.
By participating, you grant Traces of Sunlight Travel permission to use your likeness for marketing and promotional purposes without compensation.
If you wish to opt out, written notice must be provided in advance. Complete exclusion from group media cannot be guaranteed.
17. Social Media & Public Commentary
Participants agree not to defame, misrepresent, or publicly damage the reputation of Traces of Sunlight Travel.
Concerns must first be addressed privately in writing.
18. Third-Party Vendor Disclaimer
Traces of Sunlight Travel acts solely as a coordinator between participants and independent vendors.
We do not own or operate third-party vendors and are not responsible for vendor negligence or performance failure.
19. Indemnification
Participants agree to indemnify and hold harmless Traces of Sunlight Travel from claims, damages, losses, or expenses arising from participation.
20. Mediation & Arbitration
Disputes shall first be addressed through written notice and good-faith mediation.
If unresolved, disputes shall be resolved through binding arbitration in the State of Florida.
Participants waive the right to jury trial and class action.
21. Force Majeure
Traces of Sunlight Travel is not liable for events beyond its control including weather, vendor cancellation, mechanical issues, government actions, or natural disasters.
22. Comprehensive Release of Liability
By submitting payment, you voluntarily assume all risks and release Traces of Sunlight Travel, its owner, affiliates, and representatives from any and all liability related to:
• Personal injury
• Illness
• Death
• Property damage
• Theft
• Vendor dissatisfaction
• Emotional dissatisfaction
• Delays
• Environmental conditions
Participation is voluntary and at your own risk.
Final Acknowledgment
By submitting payment, you acknowledge:
• The deposit is non-refundable
• Final payment is due July 1, 2026
• All cancellation terms
• Liability release provisions
• Billing authorization
If any portion of this agreement does not align with your expectations, this experience may not be the right fit.
Submission of payment constitutes full acceptance of these Terms & Conditions.
