CONTRACT AGREEMENT & TERMS AND CONDITIONS

St. Lucia Girls Trip 2027
Resort: Hideaway at Royalton Saint Lucia — Adults Only
Travel Dates: October 15–19, 2027

By signing this agreement and submitting your deposit, you acknowledge that you have read, understood, and agreed to the following Terms and Conditions established by Caribbean Travel Queen Travel Agency.

1. AGE REQUIREMENTS & GROUP PARTICIPATION

  • All participants must be 18 years of age or older. This trip is exclusively for adult women.

  • All participants MUST book through Caribbean Travel Queen Travel Agency ONLY to be recognized as part of our official group.

  • Guests who book independently, directly with the resort, or through another travel agency will NOT be permitted to participate in our private group events or activities.

2. RESORT ACCOMMODATIONS & ROOM AVAILABILITY

  • All room categories are subject to availability at the time of booking.

  • If your preferred room category is sold out, you must select from the next available room category at the applicable rate.

  • Room rates are based on the occupancy selected at the time of booking.

  • Special requests, including bedding arrangements, adjoining rooms, and room locations, are subject to resort availability and cannot be guaranteed.

3. PASSPORT & TRAVEL DOCUMENT REQUIREMENTS

  • All travelers must possess a valid passport.

  • For this group, passports must remain valid for at least six months beyond the return date of October 19, 2027.

  • Reservations must be made using your FULL LEGAL NAME EXACTLY AS IT APPEARS ON YOUR PASSPORT. Nicknames are not permitted.

  • Travelers are responsible for ensuring they meet all passport, visa, and destination entry requirements.

  • Caribbean Travel Queen Travel Agency is not responsible for denied boarding, denied entry, or financial losses resulting from invalid or missing travel documents.

4. STRICT NON-REFUNDABLE POLICY — NO EXCEPTIONS

IMPORTANT: THIS TRIP IS 100% NON-REFUNDABLE FOR ANY REASON.

Due to strict contractual obligations and financial commitments associated with this group trip, ALL DEPOSITS AND PAYMENTS ARE NON-REFUNDABLE AND NON-TRANSFERABLE FOR ANY REASON.

This policy applies to all traveler-initiated cancellations, including but not limited to:

  • Personal emergencies or unforeseen circumstances.

  • Illness, injury, hospitalization, or medical emergencies.

  • Death or family emergencies.

  • Employment changes or financial hardship.

  • Flight cancellations, delays, or missed flights.

  • Passport issues or denied entry.

  • Changes in personal travel plans.

  • Failure to make mandatory monthly payments.

  • Failure to pay the final balance.

  • Cancellation due to nonpayment or breach of this agreement.

  • Natural disasters, severe weather, or other unforeseen circumstances.

NO REFUNDS. NO TRAVEL CREDITS. NO EXCEPTIONS. 

If you voluntarily cancel your reservation or your reservation is canceled because you fail to comply with the payment agreement, ALL MONIES PAID WILL BE FORFEITED.

 

5. TRAVEL INSURANCE

Travel insurance is STRONGLY RECOMMENDED to help protect your financial investment.

  • Travelers will have the option to purchase external travel insurance.

  • A link will be provided to obtain an insurance quote.

  • You may also purchase insurance from any independent travel insurance company of your choice.

  • All insurance coverage questions and claims must be directed to the insurance provider.

  • Caribbean Travel Queen Travel Agency does not determine coverage, approve claims, or issue insurance reimbursements.

  • Purchasing travel insurance does not change the non-refundable terms of this agreement.

IMPORTANT: Insurance reimbursement is not guaranteed and depends entirely on the policy purchased and the reason for cancellation.

6. MANDATORY MONTHLY PAYMENT AGREEMENT

Caribbean Travel Queen offers the convenience of MONTHLY PAYMENTS OR PAYMENT IN FULL.

  • After your initial deposit, the remaining balance will be divided into scheduled monthly payments.

  • Your first mandatory monthly payment will begin on the February 1, 2027 and each month following until your final payment due date.

  • MONTHLY PAYMENTS ARE MANDATORY AND ARE NOT OPTIONAL.

  • All payments must be made according to the payment schedule provided on your invoice.

  • You may make additional payments or pay your balance in full at any time before the final payment deadline.

FAILURE TO MAKE YOUR REQUIRED MONTHLY PAYMENTS MAY RESULT IN CANCELLATION OF YOUR RESERVATION AND FORFEITURE OF ALL PAYMENTS MADE.

Each traveler is responsible for reviewing their invoice and ensuring all payments are submitted on time.

7. CREDIT CARD PROCESSING FEES

A mandatory credit card processing convenience fee applies to credit card transactions.

  • This fee is assessed by the third-party payment processing company and is not charged by Caribbean Travel Queen Travel Agency.

  • The applicable fee will be disclosed on your invoice.

  • The fee will be divided equally across your scheduled monthly payments.

  • The processing fee is mandatory for transactions to which it applies and is not optional.

8. FINAL PAYMENT DEADLINE 

FINAL PAYMENT DUE: JULY 1, 2027

ALL RESERVATIONS MUST BE PAID IN FULL BY JULY 1, 2027.

The following payment deadlines and penalties will be strictly enforced:

  • JULY 1, 2027: Final payment deadline. All reservations must be paid in full.

  • JULY 15, 2027: Any reservation with an outstanding balance will incur a mandatory $200 LATE PENALTY PER PERSON, automatically added to the invoice.

  • JULY 30, 2027: All outstanding balances, including late penalties, must be paid in full. Any reservation remaining unpaid will be canceled, and ALL MONIES PAID WILL BE FORFEITED.

NO EXTENSIONS. NO EXCEPTIONS. NO REFUNDS OR TRAVEL CREDITS.

This policy will be strictly monitored and enforced.

9. ROOMMATE RESPONSIBILITIES & OCCUPANCY CHANGES

PLEASE CHOOSE YOUR ROOMMATE CAREFULLY.

All double- and triple-occupancy reservations are priced based on the number of guests sharing the room.

  • Roommates MUST book and pay their initial deposits on the same date.

  • Each roommate is responsible for making their required monthly payments on time.

  • If your roommate voluntarily cancels or is canceled due to nonpayment, your reservation will be adjusted to reflect the applicable higher occupancy rate.

  • If you are left occupying the room alone, your reservation will be AUTOMATICALLY CHANGED TO THE HIGHER SINGLE-OCCUPANCY RATE.

  • You will receive an updated invoice reflecting the revised room rate.

  • The remaining traveler is financially responsible for the revised balance.

  • A replacement roommate may be added only if permitted by the resort and supplier.

  • A mandatory $100 NAME-CHANGE FEE applies when replacing a roommate.

CARIBBEAN TRAVEL QUEEN TRAVEL AGENCY IS NOT RESPONSIBLE FOR FINDING OR PROVIDING REPLACEMENT ROOMMATES.

A roommate's cancellation does not release the remaining traveler from their financial obligations under this agreement.

10. NAME CHANGES & RESERVATION MODIFICATIONS

All reservations must be made using the traveler's FULL LEGAL NAME 

Once your reservation is confirmed and your deposit is paid:

  • All requested changes are subject to a mandatory $100 CHANGE FEE.

  • This includes name corrections, name changes, replacing roommates, and adding guests to an existing reservation.

 

 

Credit Card Authorization

By providing my credit card, debit card, or bank account information and/or enabling the Autopay feature, I authorize Caribbean Travel Queen, LLC to charge the payment method listed on this invoice for all authorized charges related to my travel reservation, including deposits, monthly payments, final payments, applicable change fees, reinstatement fees, late fees, and any mandatory credit card processing fees. I certify that I am the authorized user of the payment method provided.

I understand and agree that all payments made to Caribbean Travel Queen, LLC are subject to the cancellation policy outlined in my Booking Agreement and are non-refundable and non-transferable, except as expressly stated in that agreement. I acknowledge that I was offered the opportunity to purchase travel insurance through an independent insurance provider. If I choose to purchase travel insurance and later cancel my reservation, I understand that I must notify Caribbean Travel Queen, LLC in writing and submit any claim directly to my insurance provider in accordance with the terms of my policy.

I agree that I will not initiate a chargeback or payment dispute for charges that I knowingly authorized and that are consistent with the terms of my Booking Agreement and this Credit Card Authorization.  If I initiate a chargeback that is determined to be inconsistent with this agreement, Caribbean Travel Queen, LLC reserves the right to contest the dispute and seek recovery of any unpaid amounts, together with any reasonable attorney's fees, court costs, bank fees, collection costs, and other recoverable expenses as permitted by applicable law.

This Credit Card Authorization shall be governed by and construed in accordance with the laws of the State of Florida. Any legal action arising out of or relating to this authorization shall be brought exclusively in a court of competent jurisdiction located in Duval County, Florida, and I consent to the jurisdiction and venue of those courts.

Electronic Signature

By signing electronically, checking the acceptance box, or submitting payment, I acknowledge that I have carefully read and understand this Credit Card Authorization and my Booking Agreement, that I was provided the opportunity to ask questions before authorizing payment, and that I voluntarily agree to all of the terms contained herein. I understand and agree that my electronic signature is the legal equivalent of my handwritten signature pursuant to the Electronic Signatures in Global and National Commerce Act (E-SIGN Act) and applicable Florida law.

Payment Authorization
By providing my credit card, debit card, or bank account information — or by enabling the autopay feature — I authorize Caribbean Travel Queen, LLC to charge the payment method indicated on this invoice for the noted amount. This payment is for the travel services described on the invoice, including any mandatory credit card transaction fees.
Non-Refundable Payment Policy
I understand and agree that ALL PAYMENTS made to Caribbean Travel Queen, LLC are strictly non-refundable for any reason, unless the trip is canceled directly by Caribbean Travel Queen, LLC. This non-refundable policy applies without exception, including but not limited to events of force majeure — such as natural disasters, pandemics, epidemics, government-imposed travel restrictions, acts of war, terrorism, civil unrest, political instability, or any other circumstances beyond Caribbean Travel Queen, LLC's control. In the event of force majeure, Caribbean Travel Queen, LLC's sole obligation shall be, at its sole discretion, to offer a future travel credit.
Travel Insurance Acknowledgment
I confirm that I was offered the option to purchase travel insurance through an independent insurance provider. If I elected to purchase insurance, I understand that in the event of a cancellation I must: (1) submit my cancellation request in writing via email to Caribbean Travel Queen, LLC, and (2) contact my insurance company directly to file a claim. If I chose not to purchase travel insurance, I acknowledge that my payments remain non-refundable under all circumstances.
Chargeback & Dispute Agreement
I certify that I am an authorized user of the payment method provided. I agree that any chargeback or dispute filed with my financial institution that is inconsistent with the terms of this authorization shall constitute a breach of this agreement. I acknowledge that in such event, Caribbean Travel Queen, LLC shall be entitled to recover from me all amounts disputed, plus any and all costs incurred in recovering those funds, including but not limited to attorney's fees, bank fees, collection costs, and court costs, without limitation.
Governing Law & Jurisdiction
This agreement shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law principles. I agree that the exclusive venue for any dispute, claim, or legal proceeding arising out of or related to this agreement shall be the courts of competent jurisdiction located in [Your County], Florida. I hereby irrevocably consent to personal jurisdiction in such courts and waive any objection to venue therein.

E-SIGN Act Compliant
By signing below, I acknowledge that I have read, understood, and agreed to all terms of this Credit Card Authorization and Payment Agreement. I was informed of the non-refundable payment policy prior to making any payment and had the opportunity to ask questions before signing. This electronic or written signature constitutes a legally binding agreement under the Electronic Signatures in Global and National Commerce Act (E-SIGN Act) and applicable Florida law.
