Terms & Conditions

We are Cultured Vacations and are excited to help you with your travel. The following terms & conditions (the "Agreement") describe what you can expect from us. The terms "we", "us", and "our" refer to Cultured Vacations and the term "you" refers to the individual who signs this agreement.

A deposit, as indicated in your quote, along with a completed registration form is required for all new reservations with Cultured Vacations. All payments made towards elected trip are non-refundable and non-transferable. Please be sure your calendar is free and you are able to take your planned Cultured Vacation prior submitting a deposit. This is because Cultured Vacations, has contractual agreements with hotels, airlines and other vendors that will not allow us to obtain any refunds or transfer any funds without the election of trip insurance.

All final payment dates are clearly noted on the invoice and/or website of the event you have selected as well as listed in your monthly statements. All late payments will be assessed a late fee of $25. If you are paying late, you must send your request by email and give us the date you will make your late payment. If you fail to make your final payment by the final payment date, your reservation will automatically cancel and all previous payments will be forfeited.

Method of Payment

We accept credit card payment only. Payments are received via an online credit card authorization form. Once completed, that form will stay on file during the duration of the trip. We also accept payments by phone versus completing the online form, however please note that all payments taken over the phone will be assessed an additional $25 fee.

Cancellations and Change Fees

All cancellations must be made in writing and emailed to Unfortunately without the purchase of trip insurance, all payments are non-refundable and non-transferable. The best way to guard yourselves against any unforeseen circumstances is by purchasing trip insurance.

There is a cancellation fee of $99/person if someone needs to cancel their trip.  That fee will be processed before cancellation can occur.

If multiple people are in a reservation and one person needs to cancel, the trip will need to be re-booked and will be re-quoted at the current rate. This may mean an increase in rate for those that are remaining on the reservation. It is the responsibility of he travelers within the same reservations to ensure payments are being made.

There is an agency change fee of $50/person for all changes above the change fee charged by the airline or supplier.

Other Terms

Cultured Vacations will work with you in great detail to ensure you have an epic Cultured Vacations experience. All of this planning will happen prior to travel. If you need assistance while traveling, you may reach Cultured Vacations during our standard business hours. If you have an emergency situation while traveling, please call the 24/7 customer support line on your travel documents. Any calls/texts received after standard business hours will be assessed a $50/call fee that will be charged to the card on file.

As of August 1, 2018, Cultured Vacations now offers assistance with expense report management. Completed expense reports will be delivered within 5 business days from receipt of payment, receipts, and business expense reporting template. Any Cultured Vacationers interested in this service will be charged $99/person/Cultured Vacation expense report.

Cultured Vacations reserves the right to make changes and substitutes in any itinerary as it deems necessary for the comfort, safety, or the convenience of the group travel participants and the proper carrying out of the event, and to withdraw any or all tours announced in this program should conditions warrant. If a group experience, hosted by Cultured Vacations is cancelled, a full refund of all monies paid to the company by the participant will constitute full settlement.

Any disability requiring special attention must be reported to Cultured Vacations at the time the reservation is made. Cultured Vacations will make reasonable attempts to accommodate the special needs of travelers, but is not responsible in the event it is unable to do so nor is it responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers.

All travelers’ passports must be valid for at least 6 months beyond the conclusion of your trip. You should apply and obtain a passport far in advance for any group travel outside the United States. Please be sure your passport arrives at least 3 months prior to travel if applying for a new one or getting a renewal.

The accommodations listed with our group travel packages are intended to be used with each tour. If changes become necessary for any reason, the accommodations substituted will be equivalent in standard to those shown. Unless requested otherwise, we will book non-smoking rooms.

Cultured Vacations is not responsible for time changes made the airlines, bus conductor and railways. Flight time, seat assignments are solely at the discretion of the airlines. Hotel room location is also the sole discretion of the hotel. Requests for bedding type, floor can be made but are not guaranteed. Baggage fees of the airlines are not included in our package prices. If you decide to check baggage you must pay this fee directly to the airline. The carriers, accommodations and other suppliers providing services are independent contractors and are not agents, employees of Cultured Vacations. Cultured Vacations assumes no responsibility and will not be held liable for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity by reason of (1) any wrongful or negligent acts or omissions on the part of its suppliers, (2) any wrongful, negligent, or unauthorized acts or omissions on the part of any employee of these suppliers, (3) any defect in or failure of any vehicle, equipment or instrumentality owned, operated, or used by any of these suppliers, or (4) any wrongful or negligent acts or omissions on the part of any other party not under the control, direct or otherwise, of Cultured Vacations, or (5) acts of God.
