TERMS AND CONDITIONS
“Travel Advisor” refers to Sola Journeys, LLC, it’s affiliates, and/or independent contractors
“Traveler” refers to the signed party below and all Travelers within their party.
Sola Journeys, LLC offers retail travel services to Travelers, which are provided by separate and independent vendors of travel services. Sola Journeys, LLC does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, the Traveler agrees that Sola Journeys, LLC acts only as agent for the Traveler in acquiring transportation, hotel accommodations, sightseeing, and other privileges, or services for the Travelers’ benefit, and on the express condition that Sola Journeys, LLC shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.
Transportation of Hazardous Materials
Federal law forbids the carriage of hazardous materials aboard aircraft in your luggage or on your person. A violation can result in five years' imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives and radioactive materials. Examples: Paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radio-pharmaceuticals. There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in your luggage and certain smoking materials carried on your person. Important U.S. Department of Transportation Required Notification
Prices are subject to increase prior to the time you make full payment for your air-inclusive tour. By authorizing this payment, you give the acceptance of these conditions (i.e. increases before full payment and increases attributable to government-imposed taxes or fees after full payment) applicable to their purchase.
Travel Insurance
Travel protection and insurance is strongly recommended to protect your investment. Unless specifically noted, travel insurance is not included in the cost of Traveler’s itinerary.
Please note many ‘adventure destinations’ such as the Galapagos and/or African safaris may require a minimum level of travel insurance.
A waiver may be required to refuse travel protection.
The travel advisor may add travel insurance/protection to the booking and send a description of coverage to the Traveler. The travel advisor is not authorized to answer specific questions about coverage. It is the Traveler’s responsibility to contact the insurance provider if they wish to clarify the coverage before or after purchasing.
The Traveler acknowledges and understands that: (a) purchase of travel insurance is not required in order to purchase other travel products or services offered; and (b) no employee or independent contractor is qualified or authorized to: (i) answer technical questions about the benefits, exclusions and conditions of any of the travel insurance offered, or (ii) evaluate the adequacy of my existing insurance coverages. I acknowledge that I have reviewed and understand the Description of Coverage that provides coverage details, including but not limited to, cancellation and claims processes, and agree to accept electronic fulfillment of the Description of Coverage and receive electronic communications.
Planning Fee
Sola Journeys, LLC provides travel planning services for a Planning Fee. Once the fee is paid in full, Sola Journeys, LLC will begin work on your itinerary, then secure and confirm travel arrangements as agreed. This fee is separate from the cost of your trip and is non-refundable. The Traveler agrees and accepts for themselves and the Travelers included in their party the Sola Journeys, LLC Planning Fee. The Traveler understand that the Planning Fee is non-refundable and paid for the advisor's time and expertise spent quoting, planning, booking, and coordinating this trip.
Sola Journeys, LLC may charge additional fees for reasons including but not limited to additional destinations, last minute changes, additional travelers, last minute bookings, tour guide, tour planning, and change of destination.
Traveler(s) agrees that the itinerary purchased is the intellectual property of Sola Journeys, LLC and as such, Traveler(s) will not share the information with other parties. Traveler(s) understands that each itinerary is built individually with only the Traveler(s) in mind and is not meant to be shared with any other party.
Traveler Responsibilities
The Travelers are solely responsible for checking their passport expirations, verifying the entry requirements for their destination, and applying for any necessary visas. Valid passports are required for all international destinations.
Please note that many destinations require your passport to be valid 6 months after the date of your return. Some countries require that your passport have two to four blank visa/stamp pages. Some airlines will not allow you to board if this requirement is not met.
It is each Traveler’s responsibility to make certain that they have proper immunizations before travel – please see your health provider for advice. The CDC website has a list of required immunizations and/or other health notes for each country.
When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) advise that everyone carry at least two forms of acceptable identification in order to board a flight. (See this link.) Examples: DHS designated enhanced driver’s license, USA Passport, a foreign government passport. The name, date of birth and gender that appears on the identification card must exactly match the same such data that is listed on airline ticket(s) and booking records. Additionally, a visa and vaccinations may be required.
Please note that even when a visa is issued, a Traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors including past criminal record may contribute to the decision of the local immigration official(s). Should a visa not be issued, Sola Journeys, LLC is not responsible for lost payments made toward the contemplated trip.
If traveling to or through Canada, Travelers with a Driving While Intoxicated (DWI) or other conviction record should always check whether current rules exclude admission. The final decision of entry rests with the immigration or border services officer. For more information see Canada's government site and the Canadian Immigration facts.
Visit the USA State Department Web site www.travel.state.gov on a regular basis for information regarding the incidence of disease, terrorism, safety issues, crime, the need for travel documentation (such as passports, visas, proof of health/vaccination certificates), health hazards, and other restrictions regarding travel to your domestic and/or international destination(s), and re-entry into the United States. Required or advised inoculations you decide to obtain upon the advice of your personal physician may need to be administered in a series of doses months ahead of your planned departure and such time element should be taken into account by you when making deposits and/or non-refundable final payments. Quotes and Expiration of Quotes
Availability and price quotes are applicable to the date and time at which they are requested and cannot be guaranteed until payment is made. Pricing is never guaranteed and is dependent upon availability.
Quotes in a foreign currency fluctuate with exchange rates and international payments may carry a foreign transaction fee. Sola Journeys, LLC will make every effort to honor the price as originally quoted, however, under certain circumstances, additional costs by a supplier or government may be imposed due to an increase in the cost for one or more of the travel components.
Flight confirmation is subject to availability and prices are subject to change after the date of deposit, including price increases in the fee for a seat assignment, fee for baggage, applicable fuel surcharges, or an increase in a government imposed fee or tax.
Passport copies are required to confirm international air reservations.
Prices include: Items selected, government taxes and fees and service fees. Unless specified otherwise, rates are quoted in USD.
Prices do not include: Airline imposed baggage or other fees charged directly by the airlines, hotels, car rental companies and other travel suppliers.
Flight Check-In & Departure Responsibilities
It is strongly recommended that you check in a minimum of 2 hours prior to scheduled departure for domestic flights and 3 hours prior to scheduled departure for international flights. It is the Traveler’s responsibility to reconfirm flight times at least 24-72 hours prior to scheduled flights. travel advisor does not assume responsibility for any air or schedule changes. Certain countries require departure taxes that require payment in cash. *Recommended check in times are subject to change without notification. It is the Traveler’s responsibility to remain abreast of changes in condition or airport rules that might require earlier arrival times. This information can be found when entering your confirmation number on the airline website.
Information Provided by Traveler
Correct legal names, birth dates, and any other information that match identification to be used for travel must be provided by the Traveler to Sola Journeys, LLC. Name changes are not permitted on airline tickets. Travelers are responsible for providing accurate information. Sola Journeys, LLC is not responsible for costs incurred by incorrect information provided for travel planning including reservations and airline tickets.
Once purchased, US air transaction prices will not increase, except for potential charges resulting from government imposed taxes or fees. I consent to pay for such charges and authorize Sola Journeys, LLC to charge my credit card for such additional amounts.
Certain suppliers reserve the right to increase prices to cover increased costs, fuel surcharges, tariffs and taxes, and to reflect fluctuations in foreign exchange markets.
Limitations for Concierge and Optional Services
The travel advisor is not liable/responsible for any reservations the Traveler has made directly with the resort/hotel/tour company/ship, such as: dining reservations, concierge requests, upgraded rooms/airline seats, independently booked tours, private guides, and so on.
In certain circumstances the travel advisor may assist with restaurant recommendations and/or limited reservations for special events. In the event that the Traveler cannot attend these events once their trip has begun, the Traveler is responsible for contacting the in-country partner to cancel or change the reservation themselves.
The travel advisor is not liable for any cancellation fees or delay in processing changes/cancellations.
While the Traveler is traveling, the travel advisor retains the right to refer assistance to a more qualified party to help the Traveler. Sola Journeys, LLC will refer an adequate concierge service if these services are needed.
If the Traveler is in an emergency situation, the Traveler is advised to call the nearest emergency services, hospital, or the local police.
Due to time differences, the travel advisor might not always be available immediately. Direct contact and information will be provided in the app for the Traveler to have access to answers on their own time. This usually provides a more timely and knowledgeable response. The Traveler is strongly advised to call the supplier directly to resolve emergency issues while on trip.
Chargebacks and Credit Card Fraud
ALL CHARGES ARE FINAL.
If for any reason the credit card charges are later declined, reversed, or Sola Journeys, LLC is unable to receive payment for the travel plans and services, I acknowledge that this is a binding contract between myself and Sola Journeys, LLC, as well as any other supplier affected, shall be entitled to recovery, including reasonable attorneys’ fees in connection with collection.
The Traveler agrees that the term “non-refundable” in any quotes, bookings, or invoices means that the booking cannot be refunded under any circumstance, including for reasons of pandemic, war, force majeure, or other unforeseeable events.
The Traveler waives their right to sue or institute a credit card dispute or “charge back” to travel advisor or its partners for said penalties, fees, or real or alleged damage related to non-refundable deposits/payments or any other transaction. The travel advisor must be reimbursed by the Traveler for any financial penalties incurred due to credit card “chargebacks”.
Gratuities and Additional Fees
Hotel taxes may appear on travel vouchers at time of confirmation, and are not always able to be shown during the initial quote. The travel advisor is not responsible for any omissions of additional fees during the quote process.
These types of fees include, but are not limited to:

Gratuities, including guides, hotel staff, and/or drivers

Onboard service charges/gratuities for cruises

City taxes payable directly at the hotel (very common in Europe)

Costs for transport if not included in quote

Breakfasts or other meals at hotels unless they are specifically included in quote

Last minute changes or alteration to the itinerary

Cancellation fees
Sola Journeys, LLC is not responsible for any increases due to fuel surcharges, government imposed taxes/fees or supplier-imposed increases.
Payments
If the Traveler fails to make a payment on a trip, they may be subject to penalties including full cancellation of the trip. It is the Traveler’s responsibility to note the final payment dates and plan accordingly. Sola Journeys, LLC is not responsible for missed payment dates or failure to pay. *Suppliers may have deadlines of 5pm, 9pm, or midnight for their cutoff dates. It is the Traveler’s responsibility to take this into account and not assume that their payment meets the deadline.
Any cancellations that result from the Travelers’ missing a payment are the travellers’ responsibility and reinstatement may have additional costs.
Sola Journeys, LLC does not directly accept payments or any moneys on behalf of Travelers. All money authorized, including service fees, is paid to affiliates, suppliers, and vendors upon receipt. Funds can be paid directly to the supplier or held in escrow while the travel supplier is confirmed. Sola Journeys, LLC does not hold money on behalf of travelers or accept money directly from travelers.
Payments may be subject to credit card processing fees, sometimes called “Convenience Fees”. If charged, Sola Journeys, LLC defers these fees directly to the Traveler.
Cancellation
Penalties for cancellation is dependent upon the booking cancellation policies negotiated by each supplier or vendor.
Traveler further acknowledges that the supplier’s own cancellation, rebooking and refund policies, subject to any applicable law that is now or may later be in effect, will govern their rights and remedies, including their right to receive a refund, in such an event. Moreover, they understand that should they elect to purchase travel insurance, the terms of the policy will dictate whether, and to what extent, coverage for any financial loss may exist under the circumstances.
Sola Journeys, LLC reserves the right to charge a cancellation fee.
Group Bookings
When Travelers do not live at the same address, the travel advisor will correspond with the initial group leader (the person who made the first contact) throughout the quote process.
The group leader will be responsible for communicating the details of the quote and/or any questions to the rest of the group.
The travel advisor is not responsible for any dissatisfaction with the itinerary by group members: the group leader accepts responsibility for checking the itinerary. By agreeing to move forward with the deposits, the group leader acknowledges that all parties have been informed of necessary details.
All quotes, unless otherwise specified in writing on the proposal, assume that Travelers will arrive at destinations together. If Travelers arrive separately on different flights, they will be responsible for the additional cost of airport transfers.
Trip Documents
Documents will be available in the trip plans app and delivered by email. While most suppliers provide tickets, vouchers, or confirmation numbers, the Traveler understands that some vendors do not provide any documentation. In these cases, Sola Journeys, LLC will provide direct contacts and any communication with said vendor as a confirmation. If paper copies are required by the Traveler, shipping fees for documents shipped to the Traveler from Sola Journeys, LLC may be billed to the Traveler.
Travelers’ Responsibility to Communicate
The travel advisor is not liable for any errors or omissions arising from Travelers’ delay in responding to requests for necessary information including but not limited to:
The travel advisor reserves the right to decline to book optional services when information is not received in a timely manner.

Supplier Terms
Sola Journeys, LLC works with many different travel vendors and suppliers who each have their own terms and conditions. It is the Traveler’s responsibility to review the terms and conditions attached to their proposal. The Traveler agrees to all supplier terms and conditions connected to this booking.
Travel advisor is not the source or supplier of the travel services requested and acts solely as a booking agent for disclosed principal supplier cruise lines, hotels, airlines, ground transportation and other companies providing accommodations, transportations, and/or other services. Each of these suppliers is an independent entity with its own management and is not subject to the travel advisor.
Limited Liability
Sola Journeys, LLC is not responsible nor liable for any error, omission, injury, property loss, accident, act of terrorism, disappointment, or any other unforeseeable event. Travel advisor is not responsible for missed connections, schedule changes, aircraft changes, or trip interruption. It is the Traveler’s responsibility to have proper travel documents for all trips including but not limited to vouchers, passports, visas, marriage licenses, or birth certificates. Travel insurance should be purchased to protect you in these circumstances. Change and cancel fees may apply. Hotel and tour operator fees may apply at the time of a change or cancellation of existing schedule. PLEASE NOTE: all rates are subject to change without notice until deposit is made.
Travel advisor shall not be liable for any accident, injury, property damage or personal loss to Traveler or tothose traveling with Traveler in connection with any travel services we have booked, including but not limited to acts of God, weather conditions, natural disasters, acts of governments or other authorities, wars, civil disturbances, riots, strikes, epidemics, acts of terrorism, breakdown in equipment, theft, delay, fuel increases or cancelation or change in intermarry or schedules.
With this electronic signature, I acknowledge that I have read and agree to Sola Journeys, LLC Terms & Conditions and understand and accept the above agreement on behalf of myself and for all Travelers included in my party.
