LowKey Abroad Terms & Conditions

1. Acceptance of Terms

These Terms and Conditions govern the relationship between LowKey Abroad (“LowKey Abroad,” “we,” “us,” or “our”) and the client or traveler (“Client,” “traveler,” “you,” or “your”). LowKey Abroad operates as an independent travel advisor affiliated with Travelmation LLC. By requesting travel planning services, approving itineraries, submitting payment information, or confirming travel bookings through LowKey Abroad, you acknowledge and agree to these Terms and Conditions. LowKey Abroad acts solely as a travel advisor and booking agent for third-party travel suppliers including airlines, cruise lines, tour operators, hotels, transportation providers, and other service providers (“Suppliers”).

2. Role of LowKey Abroad

LowKey Abroad does not own, operate, manage, or control the travel services provided by Suppliers. Suppliers are independent entities responsible for providing travel services. LowKey Abroad is not responsible for the acts, omissions, or performance of any Supplier. LowKey Abroad will make reasonable efforts to assist clients should travel disruptions occur but cannot guarantee outcomes related to:

  • Schedule changes

  • Cancellations

  • Refunds

  • Supplier operational issues

3. Travel Planning & Professional Fees

LowKey Abroad may charge planning, research, or consulting fees for certain travel services, including but not limited to:

  • Custom itinerary design

  • Multi-destination trip planning

  • Travel consultations

  • Destination research

  • Reservation management

  • Supplier coordination

Planning fees compensate for professional time and expertise and are separate from the cost of travel services.

All planning fees are:

  • Non-refundable

  • Not applied to supplier bookings

  • Due prior to beginning research or itinerary development unless otherwise stated.

4. Payments & Booking Authorization

By submitting a credit card authorization or approving a booking, you authorize LowKey Abroad to use your payment information to secure travel services from Suppliers on your behalf.

Payments for travel services are typically made directly to Suppliers.

Clients are responsible for:

  • Deposits

  • Final payments

  • Supplier cancellation penalties

  • Taxes and fees

  • Currency fluctuations

Failure to make payments by the supplier’s deadline may result in cancellation of reservations and forfeiture of funds.

5. Cancellation & Changes

All cancellation requests must be submitted in writing.

Supplier cancellation policies vary and may include partial or full penalties.

LowKey Abroad may charge administrative service fees for:

  • Reservation changes

  • Rebooking travel

  • Applying future travel credits

  • Supplier negotiations or refund assistance

These service fees are non-refundable.

6. Travel Document Responsibilities

Travelers are responsible for obtaining and carrying all required travel documentation, including:

  • Valid passports

  • Visas

  • Entry permits

  • Health documentation

  • Government-issued identification

The Transportation Security Administration requires government-issued identification to board domestic flights. Many international destinations require passports valid for six months beyond the return date. Travel requirements may change without notice. Travelers should review information from the U.S. Department of State before departure. LowKey Abroad is not responsible for travelers denied boarding or entry due to insufficient documentation.

7. Confirmation Review Requirement (Advisor Protection)

Upon receiving booking confirmations or travel documents, clients must review all information carefully.

This includes:

  • Names

  • Dates

  • Destinations

  • Travel times

  • Passenger details

Clients must notify LowKey Abroad of any errors within 24 hours of receiving documents. Failure to notify LowKey Abroad within this period releases LowKey Abroad from responsibility for correction costs or supplier penalties.

8. Travel Risks & Safety

Travel may involve risks including but not limited to:

  • Illness

  • Crime

  • Political instability

  • Natural disasters

  • Transportation disruptions

LowKey Abroad encourages travelers to review safety guidance from the Centers for Disease Control and Prevention and the U.S. Department of State prior to departure. Travel decisions ultimately remain the responsibility of the traveler.

9. Travel Insurance

LowKey Abroad strongly recommends purchasing travel insurance.

Travel insurance may cover:

  • Trip cancellation

  • Medical emergencies

  • Travel delays

  • Lost baggage

  • Trip interruption

Travel insurance is not automatically included in bookings. LowKey Abroad may provide access to insurance providers but is not a licensed insurance broker and cannot guarantee coverage or claims approval. Travelers who decline insurance accept full financial responsibility for potential losses.

10. Chargeback & Payment Dispute Policy (Major Advisor Protection)

By authorizing payment for travel services, you agree not to initiate a credit card chargeback or payment dispute for legitimate travel transactions. If a chargeback or payment reversal is initiated for a valid charge:

You agree to reimburse LowKey Abroad for:

  • Administrative costs

  • Supplier penalties

  • Legal fees

  • Collection costs

This policy protects against fraudulent disputes involving legitimate travel bookings.

11. Communication Consent

By engaging LowKey Abroad services, you consent to receive communication related to your travel plans, including:

  • Email updates

  • Text messages

  • Phone calls

  • Travel alerts

Clients may also receive marketing or promotional messages from LowKey Abroad. Consent may be withdrawn at any time.

12. Force Majeure

LowKey Abroad is not responsible for delays, cancellations, or disruptions caused by events outside our control, including but not limited to:

  • Natural disasters

  • Weather events

  • Pandemics or epidemics

  • Government restrictions

  • Airline operational issues

  • Political unrest

  • Supplier bankruptcy

Refunds or credits resulting from such events are determined solely by the travel Supplier.

13. Limitation of Liability

LowKey Abroad shall not be liable for any:

  • Personal injury

  • Property damage

  • Travel disruption

  • Financial loss

resulting from travel services provided by third-party Suppliers. Any recovery against LowKey Abroad is limited to the amount of planning fees or commissions received for the booking.

14. Client Conduct

Clients are expected to behave responsibly and comply with all Supplier rules, local laws, and regulations.Suppliers reserve the right to remove travelers from accommodations, tours, or transportation if their conduct is disruptive, unsafe, or illegal. No refund will be provided in such cases.

15. Changes to Terms

LowKey Abroad reserves the right to update these Terms and Conditions at any time. Updated versions will be posted on our website and apply to future bookings.

16. Governing Law

These Terms and Conditions are governed by applicable laws and regulations related to travel agencies and host agency affiliations through Travelmation LLC.
