Terms & Conditions

We are Dragonfly Travel Planners and are excited to help you with your travel. The following terms & conditions (the "Agreement") describe what you can expect from us. The terms "we", "us", and "our" refer to Dragonfly Travel Planners and the term "you" refers to the individual who signs this agreement.

1. INTRODUCTION & ACCEPTANCE OF TERMS

These Terms and Conditions (“Terms”) govern all travel planning services provided by Dragonfly Travel Planners, LLC, owned and operated by Teresa Ellard, an Alabama-based travel agency (“Agency,” “we,” “us,” or “our”).

By booking travel, requesting services, submitting payment, or otherwise engaging with Dragonfly Travel Planners, LLC, you (“Client,” “you,” or “traveler”) acknowledge that you have read, understood, and agreed to these Terms in full.

2. AGENCY ROLE & LIMITATION OF RESPONSIBILITY

Dragonfly Travel Planners, LLC acts solely as an agent for third-party travel suppliers, including but not limited to:

Airlines
Cruise lines
Hotels & resorts
Tour operators
Transportation providers
Travel insurance providers

We do not own, operate, or control these suppliers and are not responsible for their acts, omissions, errors, delays, injuries, losses, or failures to perform.

3. CLIENT RESPONSIBILITIES

Clients are responsible for:

Providing accurate personal information (legal names, dates of birth, passport details, etc.)
Ensuring travel documents are valid (passports, visas, REAL ID, vaccinations)
Reviewing all confirmations and documents upon receipt
Understanding supplier policies (cancellation, change fees, penalties)
Complying with laws, customs, and regulations of all destinations

Dragonfly Travel Planners, LLC is not responsible for errors resulting from incorrect information supplied by the client.

4. PAYMENTS, FEES & AUTHORIZATION

a. Payments

All payments are subject to supplier terms. Deposits and final payments are non-refundable unless otherwise stated by the supplier.

b. Planning & Service Fees

Dragonfly Travel Planners, LLC may charge non-refundable planning, consultation, or service fees, which will be disclosed prior to booking.

c. Payment Authorization

By providing payment information, you authorize Dragonfly Travel Planners, LLC to charge your payment method for approved travel services, supplier payments, and agreed-upon fees.

5. CANCELLATIONS, CHANGES & REFUNDS

All cancellations and changes are subject to supplier policies
Refunds (if any) are processed by the supplier, not the Agency
Processing times vary and may take weeks or months
Agency service fees are non-refundable

Dragonfly Travel Planners, LLC has no control over supplier refund decisions.

6. TRAVEL INSURANCE (STRONGLY RECOMMENDED)

Travel insurance is highly recommended to protect against:

Trip cancellation or interruption
Medical emergencies
Supplier bankruptcy
Delays or lost luggage

If you decline travel insurance, you accept full financial responsibility for any losses incurred.

7. FORCE MAJEURE / UNCONTROLLABLE EVENTS

Dragonfly Travel Planners, LLC is not liable for delays, changes, cancellations, or losses caused by events beyond our control, including but not limited to:

Acts of God
Weather events
Pandemics or epidemics
Government actions
Labor strikes
Mechanical failures
Terrorism or civil unrest

8. HEALTH, SAFETY & ASSUMPTION OF RISK

Travel may involve risks to health and safety. By booking travel, you:

Assume all risks associated with travel
Agree that Dragonfly Travel Planners is not responsible for injury, illness, death, or property damage
Agree to comply with health and safety requirements of destinations and suppliers

9. PASSPORTS, VISAS & ENTRY REQUIREMENTS

Clients are responsible for verifying entry requirements for all destinations, including:

Passport validity
Visa requirements
Vaccinations or health documentation

The Agency is not responsible for denied entry or travel interruptions due to documentation issues.

10. PRICING, ERRORS & OMISSIONS

Prices are subject to change until paid in full. Dragonfly Travel Planners, LLC reserves the right to correct pricing errors, typographical mistakes, or supplier discrepancies at any time.

11. USE OF ELECTRONIC COMMUNICATIONS

By engaging with Dragonfly Travel Planners, LLC, you consent to receive communications via:

Email
Phone
Text message
Electronic documents

Electronic signatures and approvals are legally binding.

12. PHOTO & MARKETING CONSENT (OPTIONAL)

Unless otherwise requested in writing, clients grant Dragonfly Travel Planners, LLC permission to use non-identifying travel photos, testimonials, or reviews for marketing purposes.

13. INTELLECTUAL PROPERTY

All content, branding, logos, documents, and materials created by Dragonfly Travel Planners, LLC are protected intellectual property and may not be copied or used without written permission.

14. LIMITATION OF LIABILITY

To the fullest extent permitted by Alabama law, Dragonfly Travel Planners, LLC liability shall be limited to the amount of agency fees paid by the client. We shall not be liable for indirect, incidental, or consequential damages.

15. INDEMNIFICATION

You agree to indemnify and hold harmless Dragonfly Travel Planners, LLC, its owner, agents, and affiliates from any claims, damages, or expenses arising from your travel or breach of these Terms.

16. GOVERNING LAW & JURISDICTION

These Terms are governed by the laws of the State of Alabama. Any disputes shall be resolved exclusively in the courts of Alabama.

17. SEVERABILITY

If any provision of these Terms is found unenforceable, the remaining provisions shall remain in full force and effect.

18. MODIFICATIONS

Dragonfly Travel Planners, LLC reserves the right to update or modify these Terms at any time. Updated Terms will apply to future bookings.
