Gurvy Travel – Terms & Conditions (Effective 2026)

Thank you for booking with Gurvy Travel (“GT,” “we,” “us,” or “Gurvinder Ravery”). These Terms and Conditions outline your rights and responsibilities and constitute a binding agreement between you and Gurvy Travel. Please read carefully.

1.0 Booking & Payment – Custom & Group Travel

1.1 Planning Fees for Individual, Family, Solo, or Couples Travel

Custom travel planning for individuals, families, solo travelers, or couples requires a non-refundable planning fee due before itinerary development begins. This fee covers the time, research, and professional expertise involved in curating your trip.

  • Planning fees are non-refundable, non-transferable, and non-creditable, regardless of cancellation.

  • Planning fees apply per itinerary. Significant revisions outside the original scope may require an additional fee.

1.2 Planning Fees for Predefined Group Trips

Predefined Gurvy Travel group trips do not incur planning fees. All participants must adhere to published payment schedules and cancellation policies.

1.3 Deposits & Payment Terms

A deposit is required to confirm your travel arrangements. Until your deposit is received, pricing and availability are not guaranteed.

  • Payment schedules are outlined in your invoice and/or itinerary.

  • Payments must be made by the due dates shown on the invoice(s).

  • Late or missed payments may result in cancellation, forfeiture of payments, and applicable supplier penalties.

Invoice-Based Payments (No Auto-Charge). GT does not automatically charge stored payment methods. Client will receive invoices via TravelJoy and/or GT’s payment link(s), and client is responsible for submitting payments through those links by the stated deadlines.

Authorization to Apply Funds. By submitting payment to GT, client authorizes GT to apply and transmit those funds to third-party suppliers (including hotels, tour operators, cruise lines, and other vendors) to purchase and confirm travel components on the client’s behalf, consistent with the itinerary and invoice.

Failed/Returned Payments. If a payment is declined, reversed, charged back, or otherwise not received by the due date, GT may cancel the reservation and client may incur supplier penalties and/or forfeiture of funds. A reasonable administrative fee may apply for returned payments where permitted by law.

1.4 Currency

All payments must be made in USD unless otherwise specified in writing by Gurvy Travel.

1.5 Virtuoso Travel Packages & Pricing Transparency

As a proud Virtuoso-affiliated advisor, Gurvy Travel partners with vetted, high-quality tour operators, cruise lines, resorts, and destination specialists to curate value-rich travel packages for clients.

These packages often include bundled components such as accommodations, transportation, tours, activities, and added amenities. Due to the nature of these pre-negotiated packages:

  • Itemized pricing for individual components is not available.

  • Pricing is provided as a total package cost as presented by the tour operator or supplier.

  • Requests for line-by-line breakdowns will be respectfully declined.

Clients acknowledge and accept that by booking through Gurvy Travel, they are purchasing a package curated for overall value, experience, and convenience, not individual price transparency.

1.6 No Guarantees / Special Requests / Pricing Errors

GT will communicate special requests (e.g., bedding, adjoining rooms, early check-in/late check-out, dietary needs, accessibility requests), but such requests are not guaranteed and remain subject to supplier confirmation and availability.

Prices are not guaranteed until ticketed/confirmed by the supplier. GT reserves the right to correct pricing errors and cancel or rebook reservations affected by an error, with client approval where required.

2.0 Contractual Agreement

These Terms and Conditions form a binding contract between you and Gurvy Travel.

  • By confirming your itinerary or submitting any payment, you confirm that you have read and agree to these terms.

  • You must approve your itinerary via TravelJoy or GT’s website before final arrangements will be confirmed.

2.1 Changes After Booking

Changes requested after booking (name corrections, date changes, routing changes, room changes, etc.) may incur supplier penalties and additional GT service fees. Many components may be nonrefundable and nonchangeable. Client acknowledges that GT may be required to pay suppliers promptly to secure reservations, and supplier policies may limit changes, refunds, or credits once booked.

Traveler Name Accuracy. Client is responsible for providing traveler names exactly as they appear on passports/government-issued IDs. Name corrections may result in supplier change fees, re-ticketing, fare increases, and/or denial of boarding. GT is not responsible for costs or losses arising from incorrect traveler information provided by the client.

3.0 Cancellation Policy

3.1 Client-Initiated Cancellation

All cancellations must be submitted in writing. Cancellation penalties apply based on the date of cancellation and are outlined in your reservation confirmation and supplier terms.

3.2 Cancellation by Gurvy Travel / Force Majeure

GT is not responsible for, and shall have no liability for, delays, changes, cancellations, or additional costs caused by events beyond GT’s control, including but not limited to acts of God, weather, pandemics/epidemics, public health emergencies, quarantine, war, terrorism, civil unrest, government restrictions, transportation interruptions, supplier insolvency, or labor actions.

Refunds, credits, or rebooking options are subject solely to supplier policies and may not be available. Refunds depend on the timing and the terms of third-party suppliers and are not guaranteed unless permitted by those suppliers or covered by your insurance.

3.3 Refunds

GT planning fees and GT service fees (if any) are non-refundable. Supplier refunds (if permitted) are subject to supplier terms and processing timelines. GT does not control supplier refund timing.

4.0 Travel Insurance

Gurvy Travel strongly recommends purchasing comprehensive travel insurance (quotes available upon request).

  • Failure to purchase adequate coverage may result in the loss of all payments made.

  • Filing a claim requires prior written cancellation via GT’s cancellation process.

  • If you intend to file an insurance claim, you must notify GT in writing and submit cancellation in writing so GT can provide required documentation. GT is not responsible for claim outcomes.

  • Many U.S. health plans (including Medicare) may provide limited or no coverage abroad; travel insurance can help with emergency medical care and evacuation.

5.0 Disputes & Chargebacks

  • Prior to initiating any chargeback, client must contact GT in writing and allow GT a reasonable opportunity to investigate and respond.

  • A $500 dispute fee may apply per charge. Arbitration and/or collection action may result.

  • If a chargeback is filed for an authorized charge and later resolved in GT’s favor, client agrees to reimburse GT for chargeback fees, administrative time, and any reasonable collection costs and attorney’s fees as permitted by law.

  • If your insurance denies your claim, you are not entitled to reverse charges or demand refunds from GT.

6.0 Forms & Communication

All bookings, payments, and required documents must be submitted via TravelJoy and/or email to escape@gurvytravel.com.

  • GT communicates primarily through email.

  • You are responsible for reading emails and responding to deadlines.

  • Failure to read or respond to emails does not release you from these Terms.

6.1 Privacy

GT collects personal information (e.g., passport data, DOB) solely for travel booking and service delivery. GT will share information only with suppliers as necessary to fulfill the trip.

7.0 Documentation & Entry Requirements

  • You are responsible for securing valid passports, visas, vaccines, and entry/exit documentation.

  • GT is not liable if you are denied boarding or entry due to documentation issues.

  • Passport validity requirements vary by destination and carrier; client is responsible for meeting the most restrictive requirement applicable to their itinerary.

8.0 Group Travel Terms

8.1 Agency / Independent Contractor + Supplier Responsibility

Gurvy Travel (“GT”) acts solely as a booking agent for the client in arranging travel services provided by independent third-party suppliers (including airlines, hotels, tour operators, cruise lines, transfer providers, and activity vendors). GT does not own, operate, manage, or control these suppliers and is not responsible for their acts or omissions. All services are subject to the suppliers’ terms and conditions, which the client agrees to review and accept.

8.2 Limitation of Liability

To the fullest extent permitted by law, GT shall not be liable for any injury, loss, damage, expense, accident, delay, inconvenience, or other irregularity arising from:

  • any act, omission, or negligence of any supplier;

  • mechanical breakdowns;

  • weather or natural events;

  • strikes or labor disputes;

  • government actions;

  • criminal activity;

  • quarantine or public health measures;

  • changes in schedules, routing, or accommodations;

  • lost, stolen, or damaged luggage or personal items.

Cap on Liability. To the fullest extent permitted by law, GT’s total liability for any claim arising out of or relating to these Terms or any travel arrangement shall not exceed the total amount of fees paid directly to GT (excluding amounts paid to third-party suppliers).

8.3 Indemnification

Client agrees to indemnify and hold harmless GT from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorney’s fees) arising from: (i) client’s breach of these Terms; (ii) incorrect or incomplete information provided by client; (iii) client’s acts or omissions during travel; or (iv) client’s improper or unauthorized chargeback/dispute.

9.0 Behavior & Safety

GT reserves the right to remove a traveler from any group trip due to:

  • non-payment or missed deadlines;

  • failure to submit required forms or documents;

  • disruptive, unsafe, or inappropriate behavior.

No refunds will be issued in these cases.

9.1 Medical/Health Acknowledgement & Fitness to Travel

Client acknowledges that travel may involve risks including illness, injury, or exposure to communicable diseases. Client is responsible for determining fitness for travel, consulting medical professionals as needed, and carrying any necessary medications. GT does not provide medical advice. Client agrees to comply with supplier and destination health requirements.

10.0 Images & Promotion

Client grants GT a royalty-free license to use trip photos/videos for marketing unless client opts out in writing by the final payment due date.

11.0 Legal

Governing Law. These Terms are governed by the laws of the State of Maryland, without regard to conflict-of-law principles.

Mandatory Binding Arbitration. Except as stated below, any dispute, claim, or controversy arising out of or relating to these Terms, GT’s services, or any travel arrangements (including issues involving payments, cancellations, refunds, or performance of services) shall be resolved by binding arbitration administered by the American Arbitration Association (“AAA”) under its Consumer Arbitration Rules (or other applicable AAA rules then in effect). Before initiating arbitration, the party bringing the dispute must provide written notice to the other party and allow 30 days to attempt informal resolution.

Location. Arbitration shall take place in Maryland (in person, by video, or by documents, as permitted by AAA rules).

Small Claims Exception. Either party may bring an individual claim in small claims court in Maryland if the claim qualifies and remains in that court.

Class Action Waiver. To the fullest extent permitted by law, disputes must be brought only in an individual capacity, and not as a plaintiff or class member in any purported class, collective, or representative proceeding.

Attorneys’ Fees and Costs. Each party will bear its own attorneys’ fees and costs unless the arbitrator determines that an award of fees/costs is permitted under applicable law.

Time Limit to Bring Claims. All claims must be submitted to GT within 60 days of trip completion, or the claim may be deemed waived to the extent permitted by law.

Entire Agreement. These Terms constitute the entire agreement between the parties and supersede all prior discussions or communications, whether written or oral, relating to the travel arrangements.

Severability. If any provision of these Terms is held invalid or unenforceable, the remaining provisions remain in full force and effect.

No Waiver. GT’s failure to enforce any provision of these Terms does not waive GT’s right to enforce it later.

Updates. GT may revise these Terms at any time. By confirming your itinerary and submitting payment, you agree to be legally bound by the most current version.

By confirming your itinerary and submitting payment, you acknowledge that you have read, understood, and agree to be bound by Gurvy Travel’s Terms and Conditions.
