We are The Hylton Way Travel Agency, and we are excited to assist you with your upcoming travel. The following Terms & Conditions (the “Agreement”) outline what you can expect from us and what we expect from you as our valued client. The terms “we,” “us,” and “our” refer to The Hylton Way Travel Agency, while “you” refers to the individual(s) signing this Agreement.

Next Steps

As discussed on our recent phone call, the next steps are simple:

  1. Review and agree to these Terms & Conditions.

  2. Pay the Trip Planning Fee invoice.

Once these two steps are completed, I will move forward with preparing and sending you personalized quotes for your trip.


Trip Planning Fee

  • The Trip Planning Fee is required before any research, quotes, or proposals are provided.

  • This fee compensates us for the time and expertise invested in designing your trip. It is non-refundable.

  • If you cancel, the fee remains non-refundable.

Trip Planning Fee Schedule

Large Weddings 81+ 46+ rooms $525

Returning clients receive a 20% discount on future Trip Planning Fees.
Research fees are valid for 30 calendar days from the date of payment.


Key Terms & Conditions

Passports

  • All travelers, including children and infants, must have a valid passport (not a Passport Card) for international travel.

  • Passports must be valid for at least 6 months beyond the return date.

  • Travelers without proper documentation will be denied boarding with no refunds.

  • The Travel Advisor is not responsible for obtaining passports.

Honeymoon & Anniversary Travelers

  • A copy of your marriage certificate is required for complimentary honeymoon/anniversary packages.

  • Resorts typically honor packages within 30 days before or after your honeymoon/anniversary date.

Changes to Reservations

  • All changes are subject to current rates, promotions, penalties, and terms at the time of modification.

Final Payment

  • Final payment must be received by the due date provided.

  • Payments are not automatically charged—mark your calendar.

Cancellation Penalties

  • Cancellation penalties vary by supplier.

  • Airline tickets are 100% non-refundable and subject to airline policies.

Travel Insurance

  • Strongly recommended to protect your investment.

  • Discuss options with your Travel Advisor.

Traveling with Children

  • Minors traveling without both parents may need a notarized permission letter.

  • It is the parent/guardian’s responsibility to secure all required documentation.

Travel Documents

  • To maintain our signature standard of excellence, travel documents are distributed within 2–3 weeks prior to travel, once all confirmations and arrangements are finalized.

  • Review immediately for errors and notify your advisor.

Baggage Fees

  • Baggage fees are not included in all-inclusive packages.

  • Always check with your airline for the latest fees and policies.

Airline Schedule Changes

  • Airlines may change or cancel flights beyond our control.

  • For changes under 2 hours, airlines update automatically. For major changes, your advisor will notify you.

Flight & Resort Check-in

  • Domestic flights: arrive 90 minutes before departure.

  • International flights: arrive 3 hours before departure.

  • Resorts: standard check-in is 3:00 PM local time.

Dress Codes

  • Some resorts enforce dress codes—confirm prior to packing.


Office Hours

  • Monday – Friday: 12:00 pm – 5:00 pm

  • Saturday: 9:00 am – 12:00 pm (by appointment only)

  • Sunday: Closed

Messages received outside office hours will be handled the next business day. If you are traveling, you may reach out anytime through the Trip Plans App or via text.


Payments & Authorization

  • By signing this Agreement, you authorize The Hylton Way Travel Agency to charge your credit card for the amount specified in your invoice.

  • Payment must be received in full unless a payment plan has been arranged.

  • Declined payments may result in automatic cancellation.

Payment Plan Terms

  • Payments follow the agreed schedule.

  • $10 late fee applies after a 5-day grace period.

  • You may pay more than the minimum to reduce your balance early.


Refunds, Cancellations & Chargebacks

  • Refunds follow the supplier’s cancellation policy.

  • Chargebacks: clients are responsible for reimbursing the agency for any fees and disputed amounts. Legal action may be pursued to recover funds if necessary.


Liability & Travel Documents

  • The Agency acts only as an intermediary between clients and third-party suppliers (airlines, resorts, etc.).

  • We are not liable for errors, negligence, or issues caused by third-party providers.

  • Clients are responsible for ensuring valid passports, visas, and health documents.


Governing Law

This Agreement is governed by the laws of the jurisdiction where The Hylton Way Travel Agency is located. Disputes will be resolved exclusively in those courts.
