BOOKING TERMS AND CONDITIONS
UNDISCOVERED FRONTIERS, LLC

Thank you for choosing Undiscovered Frontiers for your journey of discovery and adventure. Participation in our tours is subject to these Booking Terms and Conditions ("Terms"), our Reservation Form, and the signed Release and Waiver of Liability, Assumption of Risks, Covenant Not to Sue, and Binding Arbitration Agreement ("Waiver"). Please read these Terms thoroughly and contact us if you have any questions.

1. Reservation & Booking Confirmation

  • Your booking is confirmed only after Undiscovered Frontiers receives all required forms: the completed and signed Reservation Form, the signed Waiver, and the required initial deposit as specified for your tour.
  • Forms may be submitted online, via email, or via postal mail.
  • Bookings are subject to availability. You will receive a confirmation email and invoice. The remaining balance is due 90 days prior to departure.
  • If booking less than 90 days prior to departure, full payment is required at the time of booking.

2. Payments & Deposits

  • A deposit is required per person: $750 for tailor-made private tours, $1,000 for scheduled group tours (unless otherwise specified).
  • Balance payments must be received 90 days before departure. Failure to complete payment by this date will result in cancellation and forfeiture of all payments made.
  • We accept major credit cards, bank transfers, and checks; all payments are in U.S. dollars.

3. Planning Fee for Custom Tailor-Made Private Itineraries

Undiscovered Frontiers charges a Planning Fee of $350 per itinerary for the preparation of custom tailor-made private itineraries developed from scratch in accordance with your specific requests, including preferred sightseeing activities and experiences, trip duration, and other details. This fee accounts for the considerable time, specialized expertise, and resources expended in planning the detailed logistics, curating appropriate activities and immersive experiences, and obtaining accurate quotations for all ground services as per the proposed draft itinerary.

The Planning Fee is non-refundable, even if you decide not to proceed with booking the draft proposal. Once the initial draft of the itinerary and proposal has been presented, should you wish to proceed or request modifications, an initial deposit of $750 per person shall be required (unless otherwise specified in the travel brochure). Upon receipt of this deposit, we will make any necessary adjustments, convert the draft into a detailed itinerary, and commence the booking process.

The initial deposit is subject to our cancellation policy as detailed in Section 4 (Cancellations by Traveler). When the final balance is due, both the Planning Fee and the initial deposit will be applied as a credit towards the total balance to be paid.

4. Cancellations by Traveler

Changes or cancellations must be sent to Undiscovered Frontiers in writing via email to info@undiscoveredfrontiers.com or by calling +1 (586) 447-2643. The date on which we receive your written cancellation will determine the cancellation cost.

The date of departure is defined as the date of the first flight from the United States of America or the day of the trip's departure as specified on our Trip Schedule, whichever occurs first. If you must cancel your tour reservation before departure, please be aware that Undiscovered Frontiers will assess cancellation charges under its cancellation schedule to cover non-refundable, non-recoverable tour expenses, such as fees paid to hotels, airlines, railways, local Destination Management Companies ("DMCs"), government bodies, and other ground suppliers on your behalf, as well as other expenses. Cancellation charges will apply as detailed below:

  • 91+ days before departure: 50% refund and 50% future credit of deposit
  • 90-60 days: deposit non-refundable + 25% of land cost
  • 59-31 days: deposit non-refundable + 50% of land cost
  • 30-0 days: deposit non-refundable + 100% of land cost
  • No refunds for unused portions of the tour or if you leave early.
  • No liability for any expenses incurred by travelers in preparation for the tour (e.g., flights, visas, insurance, gear), even if the tour is canceled.
  • We strongly recommend you obtain comprehensive "Cancel for Any Reason" travel insurance.

5. Cancellations or Changes by Us

  • We reserve the right to cancel, modify, or postpone a tour for safety, insufficient enrollment, Force Majeure, or other reasons beyond our control.
  • If canceled due to insufficient enrollment, you will receive a full refund of the tour cost or travel credit.
  • If canceled, modified, or delayed for reasons outside our control/Force Majeure, we will refund or credit you minus any unrecoverable costs or reasonable fees, including our Tour Planning Fee.
  • We are not liable for incidental expenses, airline penalties, or additional services purchased outside of Undiscovered Frontiers.

6. Force Majeure

  • Undiscovered Frontiers is not liable or in breach for delay or nonperformance due to Force Majeure (e.g., acts of God, government restrictions, war, pandemic, natural disaster, labor strikes, etc.).
  • Where such events occur, we may alter, postpone, reschedule, or cancel your tour, and offer refund or credit minus unrecoverable costs and reasonable fees.

7. Tour Costs, Inclusions, and Exclusions

  • Tour costs are based on double occupancy and include only items listed in your itinerary.
  • Exclusions (typically): international & segment airfare, visa/passport fees, travel insurance, certain gratuities, some meals, baggage fees, personal expenses, any items not mentioned in the included section of the tour itinerary or increases in tariffs/exchange rates after booking.

8. Travel Insurance

Undiscovered Frontiers suggests you obtain a Trip Protection Plan or travel insurance that is sufficient to provide coverage for your travel investment, personal possessions, and health during your travel program. This can help you avoid considerable financial risk and travel with less stress. Numerous travelers benefited from obtaining and maintaining travel insurance since the insurer absorbed risks that would have been the traveler's responsibility otherwise. In today's changing travel environment, it's important to protect your travel investment so you can relax and enjoy your trip. Unforeseen events such as flight delays, baggage loss or even a sudden sickness or injury could impact on your travel plans. For your convenience, we recommend Travelex Insurance protection plans to help protect you and your travel investment against the unexpected. For more information on the available plans, or contact Travelex Insurance at 1-800-228-9792 and reference our location number 22-0359.

  • You are responsible for purchasing adequate travel insurance. If you decline coverage, you do so at your own risk and may be required to send a declination letter.
  • Undiscovered Frontiers is not liable for any uninsured losses.

9. Documentation & Entry Requirements

  • Valid passport (minimum six months beyond return date) and required visas/immunizations are your responsibility. Undiscovered Frontiers disclaims any liability for entry denial or associated charges.

10. Special Arrangements (Single Supplements, Accommodation, Dietary Needs)

  • Single supplements apply as outlined in the itinerary, subject to availability. Roommate matching is not guaranteed.
  • Special accommodation or dietary requests must be made in writing and will be accommodated where possible but are not guaranteed. Failure to meet a request does not constitute a breach of contract.

11. Tour Participation, Fitness, & Health

  • You are responsible for assessing whether the tour is suitable for your fitness and abilities.
  • We reserve the right to remove participants unfit for the tour or whose behavior affects group enjoyment/safety.
  • No refunds will be given if you are unable to participate in any part of the tour, including due to illness, quarantine, or denied entry.

12. Audio/Visual Release

  • You consent to use of your likeness in photos, video, or audio recordings from the tour for promotional purposes unless you notify us in writing before travel.

13. Complaints & Time Limits

If dissatisfied during your tour, notify your tour manager, your local guide and Undiscovered Frontiers promptly so we may address the issue. Unresolved issues must be submitted in writing within 7 days of tour end or are deemed waived.

14. Responsibility & Assumption of Risk

By making a reservation with "Undiscovered Frontiers," I understand and agree that "Undiscovered Frontiers" will make purchases or reservations for travel-related services on my behalf from independent service providers ("Supplier" or "Suppliers") who will offer, among other tour services, transportation, lodging/hotels, meals, activities, touring, equipment/gear, guide, or tour manager services. "Undiscovered Frontiers" is not responsible for any delay, inconvenience, accident, financial cost, injury, loss, death, damage, or irregularity of any kind caused by any such person's or entity's careless or willful act, failure to act, or default (financial or otherwise). This includes various entities that may use the "Undiscovered Frontiers" name or logo. I understand and agree that "Undiscovered Frontiers" tour itineraries are subject to change without notice or refund due to changing field conditions, and that "Undiscovered Frontiers" may, as it deems necessary, substitute any mode of transportation, accommodation, Tour manager, or guide. I understand and agree that any additional charges or costs incurred as a result of changes to my trip or itinerary (e.g., delay, postponement, extension, or adjustment) as a result of weather, equipment, flight schedule changes, illness, government action, or any other cause beyond the control of "Undiscovered Frontiers" are entirely my responsibility. I am engaging in the Tour with full awareness of the inherent dangers and risks associated with travel and the activities in which I choose to participate willingly. Traveling in remote, dangerous, or politically unstable areas; terrorism, forces of nature; acts of God; physical exertion for which I am unprepared; transportation failures; equipment failures, motor vehicles, aircraft, trains, boats, and all other modes of conveyance; roads, trails, and accommodations that are not maintained or operated to U.S. standards; Schedule changes, overbooking or downgrading of accommodations, insolvency or financial default by third parties, disfigurement, temporary or permanent disability, including paralysis, death, quarantine, epidemics or pandemics, border closures, government travel restrictions or warnings, actions or inactions of any governmental entity or official, diplomatic or health organization (e.g. WHO) warnings, foodborne, airborne, and communicable illness and diseases; negligence by the tour operator. I realize that adventure travel's delight and thrill are based in part on these and other inherent hazards. I expressly agree to be personally responsible for my welfare and to completely assume all of the hazards listed above, as well as all additional dangers, known and unknown, freely and deliberately, to the fullest degree permissible by law.

15. Release and Waiver of Liability & Covenant Not to Sue

I acknowledge that I have received full disclosure of these terms, have had the opportunity to consult with legal counsel, and that I am voluntarily and knowingly agreeing to this Release. By signing and delivering this Release, I, for myself and on behalf of my heirs, successors, assigns, beneficiaries, agents, and legal representatives, hereby forever release, discharge, indemnify, and hold harmless Undiscovered Frontiers, LLC, its owners, employees, agents, and affiliated suppliers from any and all liability, claims, actions, causes of action, demands, costs, damages, losses, or suits of any nature, to the fullest extent permitted by law, arising from or in connection with my participation in any tour or travel services. I further agree not to initiate any legal action or lawsuit against Undiscovered Frontiers, LLC, except solely for the purpose of enforcing the arbitration agreement herein, which shall govern the resolution of all legal claims.

16. Binding Arbitration Agreement

I agree that any dispute, claim, or controversy arising out of, in connection with, or relating to this agreement, any tour or travel services, tour itineraries, materials, or my participation in any tour organized by Undiscovered Frontiers, LLC shall exclusively be resolved by binding arbitration. The arbitration will be conducted by the American Arbitration Association in Oakland County, Michigan and shall be governed by the laws of the State of Michigan, USA. If, for any reason, this arbitration clause is held unenforceable or invalid, I agree that any legal action may only be brought in a state court located in Oakland County, Michigan, or in the United States District Court for the Eastern District of Michigan. In any arbitration or legal proceedings, the prevailing party shall be entitled to recover reasonable attorney fees and costs.

17. Governing Law and Updates

These Terms and all rights and obligations hereunder shall be governed by and construed in accordance with the laws of the State of Michigan, USA. We reserve the right to update these Terms at any time. The most current version will be published on our website and will apply to your booking.
