Passport & Travel Requirements

A valid passport is required for all international CaraSouls Signature Journeys. It is the traveler's responsibility to ensure that their passport meets the entry requirements of each destination visited and remains valid for the required period beyond their travel dates.

Travelers are also responsible for obtaining any required visas, travel authorizations, vaccinations, or other entry documents applicable to their destination(s). CaraSouls Travel is not responsible for denied boarding or entry resulting from incomplete or invalid travel documentation.

Cancellation Policy

All payments made toward this journey are non-refundable and non-transferable.

To protect your investment, travel insurance is strongly recommended. If you purchase travel insurance and must cancel your trip for a covered reason, you may be eligible to file a claim directly with your insurance provider. Depending on your policy and the reason for cancellation, reimbursement may range from 80% to 100% of your eligible trip costs.

Insurance premiums vary based on your trip cost, age, state of residence, and selected coverage.

Refund Policy

By making a reservation, you acknowledge and agree that all payments made to CaraSouls Travel are non-refundable and non-transferable.

CaraSouls Travel enters into contractual agreements with hotels, airlines, transportation providers, destination management companies, excursion operators, and other travel suppliers well in advance of departure. These contractual commitments allow us to secure competitive pricing, offer convenient payment plans, and curate exceptional travel experiences for our guests.

Because these contractual payments are often non-refundable, CaraSouls Travel is unable to issue refunds for cancellations except as may be provided through a valid travel insurance policy.

Reservation Changes

A $50 administrative fee will apply to any approved reservation changes, including but not limited to:

• Name changes
• Room category upgrades or downgrades
• Roommate changes
• Other reservation modifications, when permitted by suppliers

Additional supplier-imposed fees may also apply and are the responsibility of the traveler.

Traveler Information

Reservations must be made using each traveler's full legal name exactly as it appears on the government-issued identification or passport that will be used for travel.

Any corrections or changes requested after travel documents have been issued may result in supplier penalties, airline fees, or administrative charges, all of which are the responsibility of the traveler.

Itinerary & Accommodations

CaraSouls Travel carefully curates every Signature Journey to provide an exceptional travel experience. Hotels, accommodations, transportation providers, excursions, restaurants, and other itinerary components are planned well in advance; however, they remain subject to availability, weather conditions, operational requirements, local circumstances, and events beyond our control.

CaraSouls Travel reserves the right to modify the itinerary or substitute accommodations, transportation, excursions, restaurants, or other travel components with alternatives of comparable or greater quality when necessary. Such changes may be required to enhance the guest experience, address operational needs, or respond to unforeseen circumstances.

While every effort will be made to deliver the itinerary as advertised, the order of activities, timing of excursions, specific accommodations, restaurants, or included experiences may be adjusted as necessary to ensure the best possible travel experience.

Any substitutions made will not diminish the overall quality, value, or integrity of your Signature Journey and shall not constitute grounds for cancellation, refund, or compensation.

Payments

CaraSouls Travel utilizes secure third-party payment processors, including TravelJoy, to securely process credit card and electronic payments.

Flexible monthly payment plans may be available for your convenience.

Final Payment

Final payment is due on the date listed in your payment schedule.

A $50 late payment fee may be assessed for payments received after the final payment due date.

Payment Plan Requirements

Travelers participating in a payment plan are responsible for remaining current on all scheduled payments.

All balances must be paid in full by the final payment deadline, and no traveler may miss two (2) consecutive scheduled payments.

Reservations that remain unpaid for more than seven (7) days after the final payment due date, or that fail to comply with the agreed payment schedule, including missing two (2) consecutive scheduled payments, may be cancelled.

Any cancellation resulting from missed payments will remain subject to the Cancellation and Refund Policy outlined in these Terms & Conditions.

Roommate Reservations

Reservations based on double occupancy require both roommates to remain in good financial standing throughout the payment period.

If one roommate cancels, fails to make required payments, or otherwise defaults on their reservation, the remaining traveler will be responsible for any applicable increase in the room rate or single occupancy supplement unless a replacement roommate is secured.

CaraSouls Travel will make reasonable efforts to assist in locating a replacement roommate; however, roommate placement cannot be guaranteed.

Booking Agreement

By submitting a reservation, paying a deposit, signing this agreement, or making any payment toward this journey, you acknowledge that you have carefully read, understood, and accepted these Terms & Conditions.

You further acknowledge that you are accepting these Terms & Conditions on behalf of yourself and every traveler included in your reservation, including any minor travelers for whom you are legally authorized to act.

Credit Card Chargeback Policy

At CaraSouls Travel, your satisfaction is extremely important to us. If you experience any concern regarding your reservation or our services, we ask that you contact us directly so we have the opportunity to resolve the matter promptly and professionally.

By completing your reservation, you agree not to initiate a credit card or bank chargeback as a means of avoiding the agreed-upon cancellation, payment, or refund policies.

Chargebacks filed without first providing CaraSouls Travel the opportunity to resolve the matter may be considered a breach of this agreement. CaraSouls Travel reserves the right to dispute any chargeback, provide supporting documentation to the payment processor, and pursue recovery of any associated costs, including reasonable attorney's fees, administrative expenses, and other costs permitted by applicable law.

Force Majeure

CaraSouls Travel shall not be liable for any delay, cancellation, modification, loss, injury, or expense resulting from circumstances beyond our reasonable control. Such circumstances include, but are not limited to, acts of God, severe weather, natural disasters, government actions, travel advisories, civil unrest, labor strikes, pandemics, epidemics, supplier bankruptcy, transportation interruptions, or any other unforeseen event affecting travel operations.

In such circumstances, CaraSouls Travel will make every reasonable effort to provide suitable alternatives; however, refunds or compensation cannot be guaranteed when prevented by circumstances beyond our control.
