Custom Quote Request Process
Concierge Care Fee

I have a luxury Signature Concierge Care service that I provide to all the clients who hire me. This means I am your go to resource from start to finish for your vacation. I take a limited number of clients per month, per year so I can offer higher levels of care, especially when you are in destination. In order to continue to provide exclusive personalized service, I do charge research, planning and Concierge Care fee which is based on the complexity of your group trip.

My Signature Concierge Care includes: 

Proposal details: 

  • All detailed research, planning and itinerary details from the time you hire me until you come home.
  • Ongoing follow up and support via email the entire time answering all your questions during my business hours.
  • I will send my first and best proposal with my top recommendations followed by a text.
  • If needed, you will be provided with 2 additional quotes. If any additional quotes are needed an additional fee will apply. 
  • Total package pricing, deposit amount, due dates, all taxes, fees, transfers, flights, resort and what payment plans are available.
  • Top recommendations for your room at preferred resort, based on your preferences.
 
 

If you have points to use, you’ll have to purchase airfare on your own. Send a copy of the flight to me prior to booking to ensure appropriate connection times. 

I track flights during your travel days.

I can and will assist with your airfare issues if it cannot be resolved at the airport, regardless of how it is booked as long as I have the record locator. 

For Charter Flights only, I include pricing that includes luggage costs and seat pricing so you can choose your optimal seat. 

Added Extras: Prior to departure, I am happy to assist with pre-booking all or some of your extras, if the resort or cruise line allows it.

  • Wellness services: Arrange in-room massages, spa appointments, personal training, private yoga instruction

  • Dining: some destinations allow for reservations before arrival. I will make dinner reservations and/or book something offsite for a unique experience in the area.

  • Tickets, Shows and Sporting Events

  • Celebrations

  • Upgraded Amenities: private transfers, drinks in the transfer, VIP airport service or lounge options if available. 

  • Photography: Find, arrange and book a photographer on or off the property for you and your travel party. 

  • Childcare: Arrange childcare onsite or find a local service

  • Meeting with the Chef: Arrange a meeting for special meals or allergies.

 

Payments: Please note that until a deposit is placed on the booking, the proposal pricing is dynamic, can and will change. It is imperative that prior to sending a proposal, you are prepared to place your deposit within 3-5 business days as it can fluctuate even during that time. If the pricing changes, we will discuss your options.

  • Deposits: Typically, there is a deposit due right away for the hotel or cruise, insurance and full payment airfare at the time of booking.

  • Payment Plan: A customized payment plan can be arranged.

  • Final Payment: Depending on the vendor, it can be due from 45-90 days prior to departure.

  • Final Payment Reminders: If I am traveling when your payment is due, I will request it before I leave to avoid any issues while I am gone.

  • 1 month prior to final payment

  • 2 weeks prior to final payment

  • 1 week prior to final payment

  • 2 days prior to final payment

 

Things to know before you go: Approximately two weeks prior to travel you’ll begin receiving information from me to prepare your vacation.

  • Travel documents with confirmation number:1-2 weeks prior to travel, these will be emailed depending on the vendor.

  • Transportation info: name of company, phone number and a voucher.

  • Detailed itinerary if extras were purchased.

  • Customized packing list: based on weather, destination and time of year

  • Destination information: The must do excursions, restaurants and hidden gems in the area

  • Manager Email: 1 week before you arrive at your destination, I confirm all the details and email the hotel, transfers and excursions with your information, celebrations, allergies, etc.

Check in Scheduling During Travel: The week of travel, I will be checking in often via text. I am available via text or what’s app during your vacation in case of questions, concerns, travel delays or issues with transportation, hotel, airline, etc. Please inform me right away if you have any issues during travel. 

  • 5 -7 days prior to travel

  • 1 day before

  • Morning of travel

  • 3rd day of the trip

  • Sometimes the day before you leave paradise

  • Welcome home

 

While you are away: I do my best not to schedule personal travel while you are traveling; however, sometimes it cannot be avoided. 

  • 24/7 concierge care during your vacation

  • If I’m unavailable, I’ll send another agent’s details for emergencies.

  • Provide emergency contact info from the vendor, insurance, hotel and airline.

 

My Working Hours: 

7:30pm to 9:30pm Monday thru Friday

12:00pm to 3:30pm on Saturdays

I’m not available on Sundays

If you need to reach me outside of those hours, please request an appointment

If I am traveling, I will respond to all emails when I return

 

Things I do not do, I do not price match online tour companies, compete with fellow advisors, show a breakdown of pricing for a package, except insurance details. My service is not focused solely on providing the cheapest price as the service I provide is focused on providing the best experiences which may not always be the cheapest.

 
 

 
Delivery Timeline
  • Standard Quote: You will receive one tailored quote with one travel option within 3-5 business days once your travel request form and planning fee have been received unless you have submitted a request and paid a fee for multiple quotes. 
  • Group & Specialty Trips: Complex itineraries, group travel, or special event requests may require 7-14 business days for completion.
  • Communication: Quotes will be sent to the email address provided in your request form. Please ensure accuracy and check your inbox regularly for updates
 
Securing Your Trip
To confirm your booking and lock in pricing and availability, a trip deposit is required at the time of receiving your quote. Deposits range from $50 to $1,000 per person, depending on the total trip cost. Prices and availability are subject to change until a deposit is paid. For this reason, we ask that you be deposit-ready when requesting a quote and paying your Concierge care fee.
 
 
 Cancellation Policy
The Concierge Care Fee is non-refundable and non-transferable under any circumstances and cannot be reimbursed through travel protection.

Terms and Conditions: I authorize Remarkable Travel Experiences and/or its suppliers to charge the credit card indicated on this invoice for the noted amount on today's date. This payment is for the services described on the invoice. I certify that I am an authorized user of this credit card and that I will not dispute the payment with my credit card company, so long as the transaction corresponds to the terms indicated on this invoice.

This white-glove planning fee allows us to plan, research and book every element of your vacation for your entire group, all while staying within your budget and in alignment with your personal travel style. A group consists of 10 booked rooms or 8 booked cruise cabins. We will provide you with a customized quote between 7-14 business days. 
 
Travel quotes require a non-refundable fee of $250 per group. A $100 deposit is due at the time of starting services. The remaining planning fee balance will be collected at the time of booking. Providing your signature/or submitting this form   acknowledges that you understand the terms of this fee.
All prices provided in quotes are subject to change until a deposit is received. *
